Choose an AI meeting assistant by checking what participants are told, what the tool captures and saves, how it uses meeting content, who can access its outputs, and what administrators can control. A vendor’s general privacy statement is not enough: behavior can differ by feature, setting, plan, and meeting type, so verify the configuration your organization will actually use.
What to check before choosing an assistant
Compare products against the same privacy questions. Ask for answers that apply to the specific assistant feature and your organization’s configuration, not just a broad security or privacy overview.
- Notice and participant control: Is the assistant visibly present and identified? What does it tell participants, and when? Can the organizer or a participant pause or remove it?
- Capture mode: Does the assistant join as a bot, use the meeting platform’s native processing, or require recording or transcription? Can it help during the meeting without saving a transcript?
- Data and model use: Does it process audio, video, chat, screen content, transcripts, prompts, or responses? Does the provider use customer content to train its models, or send it to third-party model providers?
- Storage and deletion: Which transcripts, summaries, prompts, and responses persist, where, and for how long? Who can delete them? Ask about exceptions such as legal obligations, safety processes, account settings, or compliance retention.
- Access and governance: Who can see meeting outputs—the host, other workspace users, administrators, vendor support staff, or subprocessors? Can administrators disable the feature, restrict its use, or audit activity?
- Deployment fit: Is the assistant native to your meeting platform or a third-party bot? Which plans, integrations, platforms, and administrator settings are needed?
Consent: notice is not the same as permission
A visible notice helps participants understand that an assistant is present, but it does not establish that the meeting meets every organization’s policy or every jurisdiction’s legal consent requirements. The applicable rules depend on the meeting’s circumstances and location; the product documentation alone cannot answer that legal question.
For third-party Google Meet and Microsoft Teams meetings, Zoom describes optional pre-meeting email notifications and an in-meeting chat notice. Its assistant appears as a participant tile with Zoom branding, the owner’s name, and a transcribing status. These are specific notice mechanisms to assess, not proof that notice is sufficient for every use. See Zoom’s instructions for using AI Companion in third-party meetings.

Can an assistant work without saving a recording or transcript?
In a documented Microsoft Teams mode, Copilot can assist during a call or meeting without recording or transcribing it. Microsoft says temporary speech-to-text data used in that mode is not saved after the meeting. However, prompts and responses may still be subject to the organization’s Microsoft Purview retention policies, so “no recording or transcript” does not mean “nothing persists.”
When transcription is enabled, Copilot can use speech-to-text data and the transcript. Access to Copilot after the meeting depends on transcription or recording. Does the assistant train on meeting content?
Ask about the exact content types, product, and feature—not just whether a provider uses “your data” for training. Microsoft says Microsoft 365 Copilot interaction data, including prompts and responses, is not used to train foundation models. That statement concerns the organizational Microsoft 365 service; it should not be generalized to consumer Copilot or unrelated products. Microsoft also says interaction data is stored in line with contractual commitments for Microsoft 365 organizational content, encrypted at rest, and subject to relevant Microsoft Purview retention controls. How long are transcripts and other records kept?
Retention varies by product, feature, and administrator configuration. For example, Zoom says some content may be retained for up to 30 days for support and debugging, with exceptions including legal requirements, trust and safety, customer requests, or account settings. That is a product-policy duration with stated qualifications, not a general retention period for every Zoom AI Companion feature. The same documentation describes Zero Data Retention for certain temporary Meeting Summary inputs; do not treat that limited case as applying to all meeting data.
Zoom administrators can allow transcripts generated with meeting summaries to be retained. When retained, transcripts may be available to hosts and other participants within the organization when relevant features are enabled, and hosts can download them. Confirm the account’s actual retention setting and access scope in Zoom’s transcript-retention setup instructions.

Microsoft says administrators can manage retention for Microsoft 365 Copilot interaction records through Microsoft Purview. Ask whether prompts and responses, transcripts, summaries, or recordings fall under different policies, and whether compliance retention or legal holds affect deletion.

Questions to ask your administrator or vendor
- What data does this feature capture or process: audio, video, transcript, chat, screen content, prompts, or responses?
- What notice does each participant receive, when is it delivered, and what action can stop capture?
- Can the assistant work without retaining a recording or transcript? What information still persists, including prompts and answers?
- Is customer content used to train the provider’s models or third-party models? Does the answer change by feature, plan, or setting?
- What is the normal retention period, and what exceptions apply? Who can delete records, and how do legal holds or compliance policies affect deletion?
- Who can access transcripts, summaries, and assistant interactions, including administrators, vendor support, or subprocessors?
- Can administrators disable the assistant or limit it to approved users or meeting types? Are changes and use auditable?
- Which contract, data-processing terms, and organizational policies cover the meetings and information involved?
Make the decision in the environment where meetings happen
Once a product appears suitable, verify its behavior in the actual tenant, plan, meeting type, and integration you intend to use. Check the applicable contract and data-processing terms, test participant notices and stop controls, inspect retention and access settings, and confirm the administrator can enforce the organization’s rules. A vendor’s documentation describes stated product behavior; it does not independently confirm your configuration.
