Choose a courier by matching its routes and capabilities to the parcels you actually send, then verify reliability, delivery visibility, support, total cost and claims terms. Before committing, compare providers on the same routes and shipment examples, and trial a small batch. There is no universal best local courier: the right choice depends on your pickup points, destinations, goods and delivery deadlines.

1. Define what you need to ship

Start with a shipment profile, not a provider shortlist. Record:

  • What you send, including fragile, valuable or temperature-sensitive goods.
  • Typical and maximum parcel dimensions and weight.
  • How often you ship and where collections take place.
  • The postcodes or areas you need to reach and the delivery deadline.
  • Whether the recipient must sign or another form of confirmation is needed.

Check each candidate’s prohibited-item rules and packaging requirements. The UK Post Office recommends considering item type, size, weight, destination, urgency, tracking, compensation and special handling; Australian Government business guidance also advises checking delivery times, express options and whether the provider handles your parcel sizes and weights (Post Office: Choosing a Courier Service; business.gov.au: Shipping).

2. Verify route and operational fit

Ask the courier to confirm service to your actual pickup locations and customer or supplier postcodes. Check collection cutoffs, operating days, delivery windows and any service interruptions. Confirm that it accepts your packages and can meet their handling needs. A provider describing itself as “local” does not by itself establish that it serves your routes or has capacity for your volume.

3. Check reliability rather than relying on promises

Ask for performance evidence for the specific service and routes you would use. Useful details include on-time pickup and delivery rates, the period measured, how exceptions are counted and how delays are reported. Ask for references from businesses with shipment patterns like yours. Recent reviews can reveal recurring complaints about missed windows, parcel condition, communication or how problems were resolved, but they are signals—not audited performance data. The Post Office recommends checking a courier’s track record and reviews for delivery-time performance, handling and aftercare (Choosing a Courier Service).

4. Distinguish tracking from proof of delivery

Tracking tells you what shipment updates are visible and when; proof of delivery is the record available after delivery. Ask what both you and the recipient can see, how updates arrive, and what confirmation is provided. Depending on the service, a delivery record might be a scan, recipient name, photograph, location information or signature. Find out whether the record is included or costs extra.

For example, USPS says its proof-of-delivery response may include a recipient name, tracking number, signature image, printed name and address, delivery-location attribute, service details and package weight. USPS limits availability to qualifying service classes or purchased signature services, so this is an example of one postal service’s options—not a feature to assume every courier offers (USPS: What is Proof of Delivery?).

5. Compare the all-in cost

Request written quotes using the same sample parcels, routes and delivery windows. Compare the base charge with applicable pickup, waiting, fuel, remote-area, failed-delivery, return, minimum-volume and other fees. Ask whether useful features such as tracking, signature, declared value or guaranteed delivery are included or separately charged. The Post Office advises comparing like-for-like rates and additional charges (Choosing a Courier Service).

Fees vary by provider and place. As examples rather than a universal schedule, U.S. General Services Administration guidance for federal shipping lists charges such as fuel surcharge, detention, residential delivery and guaranteed service (GSA: Shipping process).

6. Read the compensation and claims terms

Do not assume that “insurance” covers the full selling or replacement value of your goods. Before sending valuable items, establish:

  • Who is responsible for handling a claim and what the liability or compensation limit is.
  • Which goods are excluded and what packaging rules apply.
  • Whether you must declare a value or buy additional cover.
  • What records or evidence are required, how long you have to file and how claims are resolved.

Compare any extra cover with the item’s value and the policy exclusions. USPS, for example, sets conditions for its own products and tells senders to retain mailing receipts and proof of value; those terms apply to USPS, not all couriers (USPS: Insurance & Extra Services). GSA guidance advises prompt damage claims and preserving evidence such as photographs (GSA: Shipping process). For the service you choose, rely on its contract and the rules that apply in your jurisdiction.

Use suitable boxes and packing materials to reduce the risk of damage. Australian Government business guidance recommends quality boxes and packing materials for shipping goods (business.gov.au: Shipping); packaging alone does not establish that a claim will be accepted.

7. Find out how exceptions are handled

Before signing up, ask how to reach support if a pickup is missed, a delivery is delayed or delivery fails. Clarify what notifications the courier sends, how redelivery or return is arranged and how a claim can be escalated. Decide who in your business will monitor exceptions and what customers will be told.

Australian Government guidance says delivery information should explain costs, expected times, how to make contact about problems and the business’s remedy policy. Any legal obligations or remedies depend on the jurisdiction; the Australian guidance is not a statement of rules elsewhere (business.gov.au: Shipping).

8. Compare finalists and run a small trial

For each provider that meets your requirements, compare the same sample shipment and route across these points:

  • Route coverage, collection cutoff, operating days and delivery window.
  • Fit for package size, weight, contents and handling.
  • Relevant evidence for on-time pickups and deliveries.
  • Tracking updates and the type and availability of delivery confirmation.
  • Quoted and invoiced cost, including surcharges and optional features.
  • Compensation limit, exclusions, packaging conditions and claims process.
  • Support responsiveness and clarity when an exception occurs.

There is no evidence-based universal score or weighting for these criteria. Set priorities according to what late delivery, loss, damage and staff time cost your business. Then trial a small batch of representative parcels before moving all deliveries to one provider. Record pickup punctuality, delivery against the promised window, usefulness of tracking, any loss or damage, time spent resolving exceptions and final invoiced cost. This trial is a practical way to assess your own shipments; the cited guides do not prescribe a sample size or duration.
