The right payment gateway is the one that matches how your customers pay, where they live, how quickly you need cash, and what each transaction really costs after GST and method-specific fees. For most small Indian businesses, shortlist two providers, obtain their written commercial terms, and run a controlled pilot before moving all orders.

Start with your payment mix and settlement needs rather than a headline “0%” offer. Introductory pricing, eligibility, risk reviews and settlement timing can change by business category and account.

What a payment gateway does

A gateway connects your checkout to payment methods such as UPI, cards, net banking, wallets, EMI and BNPL. It passes payment instructions to the relevant bank or network, returns an approval or failure response, and provides settlement and reconciliation reports. In India, gateways commonly operate within the payment-aggregator framework described by the Reserve Bank of India (RBI).

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The gateway is not the price of your product. Its platform, processing, settlement and dispute charges are separate business costs. RBI’s Master Direction on Regulation of Payment Aggregator requires: “A PA shall also ensure that any charges, other than the price of goods / service / investment amount, charged by a merchant, are distinctly displayed to the payer prior to the transaction.” Design your checkout so any customer-facing charge is visible before payment.

#1 Best Overall
Square Terminal - Credit Card Machine to Accept All Payments | Mobile POS
  • With Square Terminal, you can ring up sales, accept payments, and print receipts, all with one device. Use it at the counter or ring up customers anywhere in your store.
  • Accept all major credit and debit cards and pay one low rate with no hidden fees and no long-term contracts.
  • Process chip cards in just two seconds.
  • Get your money as soon as the next business day.
  • Use it cordlessly with the built-in battery, designed to last all day.

Think of the service as three connected layers. The checkout layer presents methods and collects payment details. The transaction layer authorises, captures, reverses or refunds the payment. The operations layer settles money to your bank account and gives you reports for orders, fees, refunds and disputes. A provider can be excellent in one layer and inconvenient in another, so assess the complete workflow.

Decide what your business actually needs

Map your monthly volume and order economics

Record monthly gross merchandise value (GMV), transaction count, average order value, refund rate and the share of domestic versus international sales. A 2% fee has a very different impact on a ₹300 order than on a ₹30,000 order, especially when a fixed fee, GST or a refund charge is added.

Separate sales into useful bands: low-value UPI orders, ordinary domestic card orders, high-value orders that may use EMI, and any foreign-card transactions. Calculate how many payments and how much value fall into each band. This prevents a provider that is cheap for UPI but expensive for your dominant card or international traffic from appearing cheaper overall.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

List every sales channel

Write down whether orders come from a custom website, Shopify, WooCommerce, mobile app, invoices, payment links, subscriptions or marketplaces. Confirm that the gateway has a maintained plugin or API for each channel, supports webhooks, and lets you export settlement data in a format your accountant can reconcile.

For a plugin, check the supported platform and version, installation steps, payment-method switches, tax display and update history. For an API, check sandbox access, authentication, signature verification, idempotency, webhook documentation and test credentials. If you sell through invoices or links, confirm that the link can show the right amount, expiry and customer reference and that payment status flows back to your order records.

Prioritise payment methods by customer behaviour

For domestic retail, UPI may dominate; higher-value purchases may require cards, EMI or net banking. Business buyers may prefer bank transfer or payment links. If you sell abroad, check foreign-issued cards, currency handling, refunds to the original instrument and documentation for exports. Do not pay for methods your customers will not use, but do not remove a method that materially improves approval rates.

Ask for the exact coverage of Visa, Mastercard, RuPay, American Express, Diners, wallets, BNPL and EMI rather than accepting “all cards” as an answer. Confirm whether a method is available on mobile and desktop, whether recurring payments support it, and whether the rate differs from the gateway’s standard domestic rate.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Set a cash-flow target

Decide whether normal T+2 settlement is acceptable, whether next-day settlement is necessary, and what you can pay for instant settlement. Settlement can be delayed by bank approval, transaction type, risk parameters, reserves or a change in business category, so obtain account-specific terms in writing.

Model a slow-settlement week as well as a normal week. If you must buy inventory or pay couriers before customer money arrives, ask how much working capital is needed when weekends, bank holidays or a risk review interrupt the usual cycle.

Compare the main options

Provider Most suitable when Published facts and qualifications
Cashfree You are a new domestic merchant focused on an introductory price, next-day or instant settlement, broad methods, marketplaces or international collections. Its pricing pages advertise 180+ payment modes and a limited-period 0% platform-fee offer for eligible new merchants up to ₹20 lakh GMV, valid through 31 March 2027. The same table shows a 1.95% platform fee outside the offer. Cashfree says it supports international collections and 140+ currencies; confirm eligibility, settlement and risk conditions for your account. Its RBI Certificate of Authorisation (No. 266/2025) authorises payment-aggregator operations from 16 December 2025.
Razorpay You want a mainstream gateway, broad integrations and a short introductory-fee period. Its February 2026 pricing article describes no setup or annual-maintenance charge for standard accounts, a 2% platform fee for most domestic methods and domestic settlement usually at T+2 business days. Eligible new merchants activated on or after 1 July 2026 can receive 0% platform fees up to ₹5 lakh cumulative GMV or 90 days, whichever comes first.
PayU You want a published domestic rate card, many payment modes or Shopify-oriented support. Its pricing page lists 2% for Visa, Mastercard, net banking, BNPL and wallets on domestic transactions; 3% for Diners, American Express, EMI and international transactions; and 18% GST on transactions. It advertises 150+ payment modes and identifies PayU as a licensed payment aggregator.
Stripe Your business is international-first and can obtain India access. Its India pricing page publishes 2% for India-issued cards, 3% for foreign-issued cards, coverage in 195 countries and 135+ currencies. The India page requests an invite, so confirm that your business can onboard before building around it.

These figures are published offers or rate descriptions, not a guarantee of your final invoice. Ask each provider for the current schedule for your legal entity, business category and expected volume. Keep a copy of the schedule and note its effective date so a later invoice can be checked against the terms you accepted.

Understand the real cost

Separate the fee components

  • Platform or processing fee: the percentage charged on a successful transaction, often varying by method and geography.
  • GST: tax applied according to the provider’s invoice. PayU’s published table explicitly shows 18% GST on transactions; ask other providers how GST appears on your invoice.
  • International and card-type surcharges: foreign-issued cards, American Express, Diners, EMI and other methods can have different rates.
  • Refund and chargeback costs: ask whether the original fee is returned, whether a failed refund has a charge, and what a dispute costs.
  • Settlement charges: next-day or instant settlement may be priced separately or restricted by risk limits.
  • Subscription and recurring-payment fees: tokenisation, mandate registration, retries and failed renewals may carry separate terms.

Calculate an effective rate

For each method, calculate (gateway fee + GST on that fee + fixed charges + settlement and dispute costs) divided by the customer payment amount. Run the calculation separately for UPI, domestic cards, international cards, EMI and refunds. A “0%” platform offer can still leave GST, excluded methods, settlement charges or post-offer pricing.

For illustration, a ₹1,000 payment at a 2% fee creates a ₹20 gateway fee. If 18% GST is applied to that fee, the tax is ₹3.60 and the combined cost is ₹23.60, or 2.36% of the customer payment. At a 3% rate, the fee is ₹30 and 18% GST on that fee is ₹5.40, producing ₹35.40. Use your provider’s invoice treatment, not these examples, when budgeting.

Build a monthly spreadsheet with columns for method, gross amount, number of transactions, percentage fee, fixed fee, GST, refunds, disputes, settlement charges and net settlement. A provider with a slightly higher percentage may still cost less if it improves approval rates or reduces manual reconciliation.

What “free UPI” means

The Government of India has said consumers will face no UPI transaction charges and that the vast majority of UPI transactions will remain free for merchants, with any future merchant discount rate limited and nominal. That does not mean every gateway invoice is zero: a provider can add a platform or processing fee. Compare the final invoice and contract, not just the UPI label.

Settlement speed and cash-flow risk

Compare the published baselines

Cashfree advertises next-day settlement and separate instant-settlement products. Razorpay describes domestic settlement as usually T+2 business days. “Next day” and “instant” are product claims, not universal guarantees: bank approval, transaction type, business category and risk parameters can change the schedule.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Ask whether the quoted cycle applies to all methods or only selected domestic transactions. Clarify whether the first settlement is slower, whether a new business has a reserve, and whether instant settlement is available immediately or only after account history. Obtain the answer in writing from the commercial or support contact handling your account.

Questions to ask before relying on fast settlement

  1. Which business days count, and are weekends and bank holidays excluded?
  2. Is there a minimum amount, a per-settlement fee or a daily limit?
  3. Can the provider hold a reserve or extend settlement after a spike in volume?
  4. When does the clock start: authorization, capture, refund completion or order shipment?
  5. What happens to settlements during a KYC review, fraud investigation or chargeback?
  6. Can you see a settlement ID, fee breakdown and expected credit date for every batch?

International payments from India

International acceptance requires more than switching on foreign cards. Stripe publishes 195-country and 135-currency coverage with separate India-issued and foreign-issued card rates. Cashfree describes RBI payment-aggregator cross-border (PA-CB) authorisation and acceptance in 140+ currencies. Verify that your Indian entity can onboard, receive export proceeds in INR, issue required export documentation, refund a foreign customer and account for foreign-exchange conversion and tax reporting.

Ask how the customer’s currency is displayed, who sets the exchange rate, what currency appears in your settlement report and whether a conversion spread or separate fee applies. Confirm whether partial refunds are returned in the original currency and how exchange-rate movement is reflected in the amount you receive.

Build an international test matrix

  • Test at least one India-issued card and one foreign-issued card.
  • Check the displayed currency, exchange-rate disclosure and the amount that reaches your settlement account.
  • Test a full and partial refund to the original payment instrument.
  • Confirm whether recurring international payments are supported for your customer location.
  • Ask who supplies transaction and export reports to your accountant.
  • Verify that your product category and website documents satisfy the provider’s cross-border review.

Onboarding, KYC and compliance

Prepare your legal name, PAN, business registration, bank proof, beneficial-owner details, website or app, refund policy, terms of service, privacy policy and a clear description of what you sell. Restricted-business rules can differ by provider and may be applied after initial approval. Keep invoices and shipping or service evidence that can answer a risk review.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Confirm whose name appears on the agreement and settlement account, what entity receives the invoice, and whether a change in directors, bank account or product category triggers another review. Do not treat a marketing-page approval as final authorization for a regulated payment service.

Show the product price and any customer-paid gateway or convenience charge distinctly before the payer confirms, as required by the RBI Master Direction. Make your refund window, cancellation terms and customer-support contact easy to find. Keep records of customer consent, payment references, refunds and communications so a dispute can be answered promptly.

Integration and reliability checks

For hosted checkout or plugins

Confirm the plugin’s supported platform and version, payment-method toggles, tax display, mobile behaviour, webhook support and update history. Use a staging site where possible and verify that an order is not marked paid solely because a customer returned to your success URL.

Test interrupted payments: a customer closes the browser, presses back, retries after a timeout or pays from a slow mobile connection. The order should have one clear state, and a late success notification should not create a duplicate shipment.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For a custom API

  • Use server-to-server signature verification and idempotency keys.
  • Record the gateway payment ID, order ID, settlement ID and refund ID.
  • Handle delayed webhooks, duplicate events and a customer closing the browser mid-payment.
  • Keep secret keys out of browser code and rotate them through a controlled process.
  • Provide a customer-visible retry path without creating duplicate orders.
  • Log requests and responses safely, excluding sensitive payment credentials from application logs.

Measure your own approval rate

Run low-value, authorised tests across UPI, domestic cards, foreign cards if relevant, net banking, refunds and deliberately failed payments. Track authorization rate, time to confirmation, duplicate orders, webhook delay and support response. A cheaper rate is not an advantage if failures send customers to a competitor.

Measure by method and device, not only as one blended percentage. Compare the provider’s dashboard with your order database and bank credit. Investigate payments marked successful in one system but pending in another before releasing goods or services.

Refunds, disputes and support

Obtain the written refund service-level agreement (SLA), the deadline for raising a chargeback response, evidence requirements and escalation contacts. Ask whether partial refunds, multiple refunds and refunds after settlement are supported. Reconcile gateway reports with your order system daily so a failed payment, reversed authorization or duplicate capture is found before the customer reports it.

Ask support how tickets are prioritised during an outage, whether phone or chat escalation exists, and which account details must accompany a payment investigation. Keep a simple incident log with payment ID, order ID, timestamp, method, error message and customer outcome. This shortens resolution time and reveals recurring failure patterns.

A practical selection process

  1. Document your baseline: monthly GMV, average order value, domestic/international share, recurring payments, refund rate and sales channels.
  2. Shortlist two providers: require matching coverage for your priority methods and customer geographies.
  3. Request the complete commercial schedule: platform fee, GST, international and EMI rates, refunds, chargebacks, instant settlement, subscriptions, minimums and post-promotion pricing.
  4. Complete KYC before launch: do not assume approval from a marketing page; obtain written confirmation for your business category.
  5. Run a controlled pilot: process real low-value payments through UPI, cards and net banking, then test refunds and failures.
  6. Reconcile and measure: match orders to settlement reports and compare approval, failure, refund and webhook metrics.
  7. Keep resilience: document a fallback provider or direct UPI option where operationally and legally appropriate.
  8. Review monthly: compare the agreed rate card with invoices, settlement timing, support performance and customer complaints.

Common mistakes and fixes

Choosing the lowest headline percentage

Fix: compare effective cost by payment method, including GST, refunds, disputes and settlement.

Assuming UPI means no gateway cost

Fix: inspect the provider invoice and contract for platform or processing fees.

Routing all traffic before testing

Fix: run a parallel pilot and preserve a documented fallback.

Ignoring settlement holds

Fix: request written rules for reserves, risk reviews and business-day calculations.

Launching international cards without documentation

Fix: confirm PA-CB or equivalent eligibility, export reports, INR settlement, refunds and foreign-exchange treatment first.

Trusting a success-page redirect

Fix: verify signed server notifications and make webhook processing idempotent.

Forgetting post-promotion pricing

Fix: record the offer’s GMV cap, activation date, end date and rate after the promotion, then model the month when the offer ends.

Decision guide

  • Choose Cashfree when the eligible introductory offer, next-day or instant settlement and broad domestic or international method coverage fit your account; verify the ₹20 lakh GMV limit and 31 March 2027 end date.
  • Choose Razorpay when mainstream integrations and a familiar 2% domestic-fee description matter more than the shorter ₹5 lakh-or-90-day introductory cap; plan around usual T+2 settlement.
  • Choose PayU when a published 2% domestic rate, 3% selected or international rate and 150+ methods make budgeting and method coverage straightforward; include the stated 18% GST in your model.
  • Choose Stripe when international payments are central and your Indian business can obtain an invite; validate onboarding before committing engineering effort.

Frequently Asked Questions

Is UPI free for a small-business merchant?

The Government of India says consumers will not pay UPI transaction charges and that most UPI transactions remain free for merchants. Your gateway may still charge a platform or processing fee, so use the final invoice and contract as the test.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Which gateway settles fastest in India?

Cashfree advertises next-day and instant-settlement products. Razorpay describes domestic settlement as usually T+2 business days. Your actual schedule can vary with bank approval, transaction type, business category and risk controls; obtain account-specific terms.

  • App sends deposits to your bank account within 1 to 2 business days, or enjoy instant deposits (fees apply).

Can an Indian small business accept international payments?

Yes, if the business and product qualify for the provider’s India onboarding and cross-border rules. Confirm foreign-card acceptance, export documentation, INR settlement, refunds, foreign-exchange treatment and tax reporting before launch.

Do introductory 0% offers last permanently?

No. Cashfree’s published offer is limited to eligible new merchants up to ₹20 lakh GMV through 31 March 2027. Razorpay’s described offer is limited to eligible new merchants activated from 1 July 2026, capped at ₹5 lakh cumulative GMV or 90 days. Recheck eligibility and post-offer rates.

Should I keep two payment gateways?

A tested fallback can reduce outage and onboarding risk, but it adds integration, reconciliation and support work. Pilot a second provider or direct UPI path only when the resilience benefit justifies that operational cost.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What documents are normally needed for onboarding?

Prepare your legal name, PAN, business registration, bank proof, beneficial-owner details, website or app, refund policy, terms of service, privacy policy and a description of your products. A provider may request additional evidence during risk or cross-border review.

How should I compare a 2% rate with a 0% promotion?

Check the promotion’s eligibility, activation date, GMV or time cap, excluded methods, GST treatment, settlement charges and post-promotion rate. Calculate the effective cost for each method and model the month after the offer ends.

What does T+2 settlement mean for planning?

It is a usual domestic settlement description associated with Razorpay, but your account’s clock can vary. Ask which business days count, whether holidays are excluded, when capture occurs and whether reserves or reviews can extend the schedule.

Does a gateway’s number of payment modes guarantee better conversion?

No. A published count such as 180+ for Cashfree or 150+ for PayU matters only if your customers can see and successfully use the methods you need. Test approval rates, mobile checkout, refunds and webhook reliability with your own traffic.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What should I verify for international refunds?

Test full and partial refunds to the original instrument, confirm the currency and exchange-rate treatment, ask how long the refund takes, and verify the reports your accountant needs for export and tax records.

Can I add a convenience fee to the customer’s payment?

If you charge anything beyond the goods or service price, display it distinctly before the payer completes the transaction, as required by the RBI Master Direction. Confirm the provider’s checkout and agreement support this presentation.

The Bottom Line

Choose by your actual payment mix, geography, settlement needs and effective invoice cost. Compare Cashfree, Razorpay, PayU and Stripe using written terms, complete KYC, test real low-value payments and keep a documented fallback where its operational value exceeds the extra complexity.
