There is no universally correct number of days or months for every SaaS app. Document the reason for each period, then apply it to the original logs and every export, backup, archive, and temporary copy.
Why one retention period rarely fits every log
Authentication events, privileged actions, customer-data access, routine application errors, request logs, and temporary debug output do different jobs and may expose different information. Keeping all of them for one blanket period can leave investigators without useful security records while retaining low-value or sensitive data longer than necessary.
Start with the purpose of each stream. The UK National Cyber Security Centre (NCSC) advises SaaS users to decide where application activity logs will be retained and how long they will be kept, with enough activity information to investigate events and rectify unsanctioned changes. NIST describes log management as an end-to-end process that includes generating, storing, accessing, and disposing of log data. NCSC guidance on logging and monitoring and NIST SP 800-92 provide the underlying guidance.
How to set a period for each log class
1. Inventory the streams you actually produce
Make a list of log types, the system that owns each one, and whether you can export it. Depending on your product, this may include:

- Authentication and authorization events, including failed logons and access attempts.
- Privileged or administrative actions, tenant configuration changes, and third-party credential use.
- Access to customer data and security alerts.
- Application errors, request or infrastructure logs, and temporary debug output.
NIST SP 800-171 Rev. 3 gives examples of events organizations may select for logging, including password changes, privileged functions, failed logons or accesses, and administrative privilege use. Select events that support your app’s real security and operational needs rather than assuming every available field belongs in a log. NIST SP 800-171 Rev. 3
2. Write down the job and lookback for each stream
For each class, identify who needs it and what decision it supports: incident investigation, abuse response, customer audit evidence, security monitoring, debugging, or reliability analysis. Then define the practical lookback that use requires. Could your team reconstruct an unexpected or unauthorized action, identify the affected tenant, and investigate it in time to respond? 3. Check constraints before choosing a duration
Review the jurisdictions where you operate, the personal data in each stream, your role in processing it, customer contracts, sector-specific obligations, and any applicable assurance or payment-card scope. A requirement for one kind of record does not automatically apply to every log in your system.
For personal data covered by the GDPR, Article 5(1)(c) requires data to be adequate, relevant, and limited to what is necessary, while Article 5(1)(e) says identifiable data should not be kept longer than necessary for its processing purpose, subject to the regulation’s stated exceptions. PCI DSS is a scoped example, not a default for every SaaS app. Requirement 10.5.1 in the PCI DSS v4.0 SAQ D for Service Providers, dated April 2022, says entities to which it applies must retain audit-log history for at least 12 months, with the most recent three months immediately available for analysis. Confirm the current standard and whether your environment is in scope with your compliance professional before relying on that figure. PCI DSS v4.0 SAQ D for Service Providers
Do not assume SOC 2 sets a universal log-retention duration. Verify the specific control commitments, audit scope, and applicable criteria for your organization rather than repeating a generic month count.

4. Balance investigation value against privacy exposure and cost
Longer retention can give responders a wider lookback, but it also means keeping potentially sensitive information for longer. Minimize data at collection: OWASP cautions against logging values such as passwords and session identifiers, and recommends considering whether fields should be excluded, masked, sanitized, hashed, or encrypted. If a debug stream is useful only during a short troubleshooting period, give it a different schedule from security or administrative events. OWASP Logging Cheat Sheet
Storage cost can influence the storage tier or whether you sample low-value operational events, but it does not justify falling below a binding requirement or keeping personal data without a purpose. Compare options using the questions below; these are decision factors, not a formal scoring system:

- Usefulness: Can engineers or responders answer the questions they are likely to face over the required lookback?
- Availability: Is the data searchable immediately, restorable from an archive, or obtainable only through a provider request?
- Privacy and sensitivity: What personal or secret data do the events contain, and can collection or detail be reduced?
- Integrity and access control: Can an administrator or compromised application credential alter or delete the evidence?
- Requirements: Which law, contract, customer commitment, or scoped standard applies to this log class?
- Lifecycle coverage: Will exports, backups, archives, extracts, and temporary files expire on schedule?
- Cost and operating burden: What do storage, retrieval, and ownership require?
5. Record the decision as a policy entry
For every log class, record its purpose, retention period, source system, sensitivity, legal or contractual driver, storage tier, owner, deletion method, and review trigger. Explain why that period is long enough for the stated use and consistent with applicable constraints. This makes the decision reviewable when the app, customer commitments, or requirements change.

Set expiration or rotation in each system that stores the logs. If a SaaS provider’s native retention is shorter than the lookback you have justified, export the relevant activity logs to a controlled external store or security operations center (SOC). Protect access, guard against unauthorized modification or deletion, and test that exports can be retrieved and interpreted before relying on them for an investigation.
Apply the schedule to the entire lifecycle, not just the primary log store. OWASP says log data, temporary debug logs, and backups, copies, and extractions must not be destroyed before a required period or kept beyond it. OWASP Logging Cheat Sheet
When to review the policy
Revisit the periods when your incident-response experience, product architecture, data collection, customer commitments, applicable requirements, or storage economics change. NIST SP 800-171 Rev. 3 calls for organizations to specify event types and review and update those selections; NCSC recommends periodically exercising monitoring and detection tooling. A review should check both whether the logs still answer the intended questions and whether the data remains justified.
