Choose a data loss prevention (DLP) tool by first identifying the sensitive information you need to protect and how it could be exposed—through email, shared files, endpoints, cloud apps, or removable media. Then match those workflows to the product’s coverage, verify that your users’ licenses include the required features, and make sure someone can test policies and review alerts. A built-in Microsoft 365 or Google Workspace feature may be enough for covered services; neither should be assumed to protect every device and app your organization uses.
What DLP does—and what it does not mean
DLP is a system for identifying, monitoring, and protecting data at rest, in motion, and in use. NIST’s CSRC glossary, attributing its definition to CNSSI 4009-2022, describes protection through content inspection and contextual security analysis within centralized management: NIST CSRC glossary: data loss prevention.
For a small organization, that can mean detecting sensitive information in a stored file, a message being sent, or an action taken on a device. A product labeled “DLP” may cover only some of those locations or actions. The useful question is not whether a product has DLP, but whether it can control the specific data paths and user actions that matter to you.
Choose a tool in five steps
1. Define the data and risky actions
Write down the information you need to protect and the events that would create harm. Examples include a customer record emailed to an external recipient, a sensitive file shared outside the organization, or an employee copying confidential content to an unapproved destination. Identify the people who own the data and the business processes that depend on it.

Microsoft recommends identifying stakeholders, describing sensitive-data categories, and setting DLP goals and strategy before designing policies. Its planning guidance is useful even if you choose another product: Microsoft Purview: learn about DLP.
2. Map where data is stored, used, and sent
Inventory the repositories and routes involved: email, cloud storage, shared drives, managed computers, mobile devices, third-party SaaS applications, removable media, and any other channel relevant to your work. Note which users and devices use each one.
Separate cloud-service controls from endpoint needs. A rule that protects files in Drive or SharePoint does not, by itself, establish coverage for a laptop action, a third-party application, or an unmanaged service. 3. Verify feature coverage and license eligibility
For every required location and action, confirm the exact product feature, supported operating systems, onboarding requirements, and license needed for every covered user or workload. Do not infer entitlement from a plan’s informal name or an old comparison chart; check current vendor documentation before purchase.

For Microsoft, the licensing table distinguishes DLP for Exchange Online, SharePoint Online, and OneDrive from Endpoint DLP. The latter is listed for E5 and specified Purview add-on plans, while core cloud DLP appears in several plans. Endpoint protection also depends on onboarding and supported-device setup. For Google Workspace, Drive and Gmail DLP are available only in eligible editions. Google’s pricing page labels DLP as an Enterprise feature, lists Enterprise as contact-sales, and states that Starter, Standard, and Plus have a 300-user maximum. 4. Assign policy and alert ownership
DLP requires ongoing administration, not just initial setup. Decide who will create and maintain rules, test changes, handle exceptions, investigate alerts, and explain policy changes to staff. Estimate this work alongside license costs: a broad feature set is less useful if no one has time to tune it and respond to incidents.
Microsoft’s guidance treats planning, alert investigation, and tuning as parts of deployment, and notes that DLP can change processes and user behavior: Microsoft Purview DLP planning and Microsoft Purview alert investigation.
5. Pilot, tune, then enforce
Test policies with representative data and real user workflows before applying broad blocking actions. Observe what matches, what is missed, and which legitimate tasks would be interrupted. Tune conditions and exceptions, then expand enforcement in a controlled way.

Detection is imperfect. Google states, “We can’t guarantee that all sensitive data will get caught and flagged,” and documents possible false positives, false negatives, and file types that are not eligible for scanning and evaluation. That is a reason to validate any DLP policy in your own environment, not evidence that another product detects everything: Google Drive DLP FAQ.
Compare candidates on the requirements that matter
Use the same checklist for each candidate so a polished feature list does not obscure gaps or operating costs.
- Data locations and channels: Which repositories, email services, endpoints, and apps are actually covered?
- Devices and setup: Which operating systems are supported, and what onboarding or connectivity work is required?
- Detection and actions: Can the tool identify the data types you care about, and can it warn, restrict sharing, block, or otherwise respond to the risky action?
- Licensing: Which plan or add-on is required for each user, device, and workload you intend to cover?
- Investigation: Can the responsible staff see alerts, investigate events, and retain an audit trail appropriate to their needs?
- Operational effort: How much time will policy design, tuning, exceptions, and incident review take?
- Work disruption: What legitimate work could be delayed or blocked, and how will users request exceptions?
These criteria reflect the differences in documented platform locations, eligibility, and policy operations; a vendor’s feature label alone does not answer them.

When built-in Microsoft or Google DLP may be enough
Microsoft Purview
Purview is a candidate when your organization already uses Microsoft 365 and the relevant data is in covered Microsoft locations. Microsoft describes DLP across Microsoft 365 locations and endpoint coverage after devices are onboarded. Its endpoint documentation lists Windows 10/11 and recent macOS releases for endpoint monitoring, alongside setup requirements. Cloud coverage and Endpoint DLP have different licensing boundaries, so match the plan to the exact users, devices, and controls you need rather than assuming one subscription includes all of them. Google Workspace
Workspace DLP is a candidate when the relevant workflows are in eligible Google services. Google documents Drive DLP rules for My Drive and shared drives, and Gmail DLP rules that scan messages and attachments. Availability depends on edition; Google’s pricing page identifies DLP as an Enterprise feature, and its Drive FAQ describes detection limitations. Confirm the current edition entitlement and test file types and workflows that matter to you: Drive DLP FAQ, Workspace DLP information, and Workspace pricing.
Decide whether you need a separate DLP product
Start by testing whether your current platform covers the data locations, actions, and devices on your map. If it does, and the required controls are included in licenses you can obtain and operate, native DLP may meet the need. Consider a separate or broader tool only when you have a documented coverage gap—for example, a channel, endpoint, or application outside the native feature’s scope—and can verify that the alternative covers it under terms and operating requirements that fit your organization.
Do not treat “more features” as a decision rule. A product that adds coverage you will not configure or monitor can add cost and administrative work without addressing the specific exposure you identified.
