Use NYC Open Data’s official Citywide Payroll Data (Fiscal Year) dataset, provided by the City’s Office of Payroll Administration (OPA). Search or filter the records by fiscal year, agency, employee name, title and other fields, then read each pay measure separately. The file is an annual, fiscal-year record—not a live view of anyone’s current paycheck.

The listing reported 6.78 million rows and 17 columns when checked on October 4, 2026. Its latest-update date was April 16, 2026, but both the row count and available years can change. Check the live dataset page before citing a year as the newest available.

What the NYC payroll dataset contains

Each row represents an employee payroll record for a particular fiscal year. OPA says the respective city agencies enter the information into the City’s Personnel Management System. The dataset exists to show how the municipal budget is being spent on salary and overtime pay for city employees.

NYC Open Data dataset description

The official listing includes fields for:

  • Fiscal year
  • Payroll number
  • Agency
  • First and last name fields
  • Agency start date
  • Work-location borough
  • Civil-service title description
  • Leave status as of June 30
  • Base Salary
  • Pay Basis
  • Regular Hours
  • Regular Gross Paid
  • Overtime Hours
  • Overtime Paid
  • Other Compensation, including lump-sum and/or retroactive payments

Those fields let you examine an employee, agency or title for a defined fiscal year. They do not provide a continuously updated paycheck balance, a guaranteed current salary, or a complete explanation of every payroll transaction.

Step-by-step: find an employee or agency

1. Open the authoritative listing

  1. Go to NYC Open Data and search for Citywide Payroll Data (Fiscal Year).
  2. Select the dataset published by NYC Open Data with OPA identified as the data provider.
  3. Use that official listing as the reference point. Community-created views can be useful for exploration, but they are not the authoritative dataset page.

2. Confirm the time period

Look at the fiscal-year values available in the listing and note the page’s latest-update date. NYC payroll data is updated annually. The April 16, 2026 update date reported on October 4, 2026 is a point-in-time metadata value, not a promise that every future visit will show the same years or row count.

3. Narrow the records

Use the page’s search and filter controls to combine the fields that identify the records you need:

  • Fiscal year: select one year before comparing pay.
  • Agency: limit the result to a department or office.
  • First name and last name: search an employee. Try spelling variations and inspect more than one year when a name is common.
  • Title Description: find employees in a civil-service title.
  • Work Location Borough: restrict the geographic work location.
  • Leave Status as of June 30: identify the status recorded at the fiscal-year cutoff.

Combining agency, fiscal year and name is usually more reliable than searching a name alone. A name that does not appear can reflect spelling, redaction, a different fiscal year or an agency-record issue; it does not by itself prove that the person had no city payroll record.

4. Open the complete record

Read the row’s identifying fields together before looking at dollars. Confirm the fiscal year, agency, employee name, title and pay basis. Then record the exact labels and values for base salary, regular gross paid, overtime and other compensation. Preserve the row’s context if you quote or publish a figure.

How to read the pay fields

The most common error is treating every dollar column as “salary.” The dataset separates the measures, and each answers a different question.

Field What it represents How to use it
Base Salary The salary value associated with the employee’s position and pay basis. Use it to describe the stated base rate, not the amount necessarily paid during the year.
Pay Basis Whether the pay is hourly, per diem or annual. Check this before comparing salary figures. An hourly or per-diem amount is not directly comparable to an annual rate without additional context.
Regular Hours Hours recorded as regular work for the fiscal-year record. Use with pay basis and regular gross paid to understand ordinary paid work.
Regular Gross Paid Regular pay actually recorded as paid in that fiscal year. Use when the question is how much regular pay was paid, rather than the employee’s stated base rate.
Overtime Hours Overtime hours recorded for the fiscal year. Pair with overtime paid; do not infer overtime from base salary alone.
Overtime Paid Overtime compensation recorded for the fiscal year. Use the exact field name when discussing overtime spending.
Other Compensation Other payments described by the listing as lump-sum and/or retroactive payments. Keep separate from regular and overtime pay because its timing and reason can differ.

A base-salary figure can therefore be higher or lower than regular gross paid, and total compensation can include overtime or other payments. Do not add columns into a new “salary” number unless you clearly define the calculation and retain the original fields.

Fiscal year is not a calendar-year paycheck

Every record is tied to a city fiscal year. Use the fiscal-year label exactly as shown when writing a headline, chart or comparison. A fiscal-year amount can include payments made during that reporting period even when the underlying salary rate changed, an employee worked only part of the year, or a lump-sum or retroactive payment was posted.

The annual update schedule also means a newly hired employee, a recent raise or a current overtime shift may not appear until a later release. If you need the latest available information, verify the listing’s update date and the newest fiscal-year value on the day you make the claim.

Comparing employees, agencies or years

Make comparisons on matching dimensions. A useful comparison record includes the following:

Comparison item Why it matters
Fiscal year Prevents mixing reporting periods.
Agency Confirms that similarly named employees or titles belong to the same organization.
Pay basis Separates annual, hourly and per-diem values.
Base Salary Shows the stated base rate.
Regular Gross Paid Shows regular pay recorded as paid in that fiscal year.
Overtime Hours and Overtime Paid Shows both the amount of overtime work and its recorded compensation.
Other Compensation Captures lump-sum or retroactive payments that can change totals.

For a year-over-year comparison, keep the employee and agency consistent, put each fiscal year in its own row, and report the same field in every column. If the employee changed titles, agencies or pay basis, show that change instead of presenting the numbers as a like-for-like salary trend.

Exporting data for a spreadsheet or Tableau

You can inspect a few rows in the web interface or move a larger, repeatable analysis into a spreadsheet or Tableau. NYC Open Data documents an OData connection that can refresh on demand. Tableau users should choose the OData v2 endpoint option described in that documentation.

  1. Start from the official Citywide Payroll Data (Fiscal Year) listing.
  2. Use the listing’s documented OData access route rather than treating a screenshot or manually copied table as a permanent data source.
  3. In Tableau, select the OData v2 option when prompted.
  4. Apply fiscal-year, agency and other filters in the workbook, and retain the source field names.
  5. Record the refresh date and the dataset update date alongside any chart or exported result.

The OData route is an optional workflow for analysis. A paid application is not required to view the public dataset.

Redactions and missing names

The listing notes that some NYPD records and records for the Manhattan, Kings, Queens, Richmond, Bronx and Special Narcotics District Attorneys’ Offices are redacted. Its notes cite public-safety and law-enforcement exemptions under New York Public Officers Law § 87.

Redacted names may appear as a redaction marker. A masked or missing name does not show that no payroll record exists. You can still evaluate the non-name fields that are published, but do not attempt to identify a person from a redacted row or imply that the row is an ordinary named employee record.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Data-quality checks before publishing a number

  • Quote the fiscal year: Never present a fiscal-year amount as a current paycheck without qualification.
  • Use the exact field label: Say “Overtime Paid” or “Regular Gross Paid,” not an undifferentiated “salary,” when that is what the row contains.
  • Check pay basis: Annual, hourly and per-diem values require different interpretation.
  • Inspect hours: Regular and overtime hours can explain why gross paid differs from a base rate.
  • Check other compensation: Lump-sum or retroactive payments can materially affect a year’s total.
  • Confirm the agency and title: Similar names and titles can produce misleading matches.
  • Preserve the update date: Note when the listing was last updated if the number is likely to change in a later annual release.

When a value is consequential or surprising, retain the row’s fiscal year and exact field names and seek confirmation from the responsible agency or OPA. The agencies enter the information into the Personnel Management System, so a follow-up question may need to go to the agency that supplied the record.

Common mistakes and how to fix them

Calling base salary “annual pay received”

Why it fails: Base Salary and Regular Gross Paid are separate fields, and Pay Basis may be hourly or per diem.

Fix: Report the base rate with its pay basis, then report regular gross paid separately if the question concerns money paid during the fiscal year.

Adding overtime to base salary without explaining the calculation

Why it fails: Overtime Paid and Other Compensation are distinct components, and a simple sum can hide the difference between a rate and payments recorded in a period.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Fix: Show each component with its original label. If you calculate a total, identify the included fields and fiscal year.

Treating the file as a live payroll lookup

Why it fails: The dataset is updated annually, not continuously.

Fix: Check the page’s update date and newest fiscal year, and describe the result as a fiscal-year record.

Assuming a missing name means no record exists

Why it fails: Certain law-enforcement and public-safety records are redacted.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Fix: Look for the redaction notation and apply the listing’s disclosure note before drawing conclusions.

Comparing unlike records

Why it fails: Different fiscal years, agencies, titles, pay bases or hours can make a numerical comparison misleading.

Fix: Align those dimensions first and explain any change in job, agency or pay basis.

Build a reproducible lookup

For a one-person check, write down the search choices before opening the row: fiscal year, agency, first and last name, and title if known. This prevents a similarly named employee in another agency from being mistaken for the target record. If the name is common, review the payroll number, agency start date, work-location borough and title description as additional identifiers.

For an agency or title review, begin with the fiscal-year filter and agency or Title Description filter, then inspect the remaining dimensions. Keep annual, hourly and per-diem records in separate groups. A title search can return records from multiple agencies, and a borough filter describes work location rather than a person’s residence.

Save the exact values you used, not just a browser link. Include the fiscal year, agency, payroll number when relevant, title, pay basis, all pay fields being discussed, the dataset update date and your access date. A saved screenshot can document what you saw, but a citation to the official listing and field names makes the result easier to reproduce after the annual update.

Interpreting differences between pay fields

Differences among Base Salary, Regular Gross Paid, Overtime Paid and Other Compensation are not automatically errors. Base Salary is a rate associated with a position and pay basis, while Regular Gross Paid records regular money paid during the fiscal year. A person who worked part of a year may have regular gross pay below the stated annual base rate. Recorded overtime hours and Overtime Paid address extra work separately. Other Compensation can contain lump-sum or retroactive payments, so it may appear even when the regular-pay pattern looks ordinary.

Do not estimate an hourly rate by dividing an annual base salary by Regular Hours unless you clearly explain the assumptions; the listing’s Pay Basis already identifies whether the value is hourly, per diem or annual, and the fields are not presented as a single calculation. Likewise, do not assume that Regular Gross Paid plus Overtime Paid plus Other Compensation is an official “total salary” field. If you present such a sum for a defined purpose, label it as your calculation and list every included field.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How current is the listing?

The dataset is released on an annual schedule rather than continuously. The page showed a latest update of April 16, 2026 when checked October 4, 2026. That date describes the listing at that time; it does not guarantee that a later visit will show the same update date, row count or fiscal-year range. Always read the live metadata before calling a year the latest.

The listing showed 6.78 million rows and 17 columns on that access date. These are changeable metadata counts, not a citywide salary total, an employee headcount or a measure of spending. Rows can represent different fiscal years and employment circumstances, and the count alone cannot establish how many people worked for the City or how much the City paid.

Free access and optional analysis tools

The official NYC Open Data page is a public web resource, so a dedicated lookup product, payroll book or paid software license is not required to search it. The browser interface is sufficient for individual records. For repeatable spreadsheet or Tableau work, use the documented OData connection and refresh it on demand. Tableau users should select OData v2, as directed in NYC Open Data’s access documentation.

Whether you work in the browser, a spreadsheet or Tableau, retain the source URL, update date and filters. A paid tool may change how you analyze the rows, but it does not change the official field definitions or the annual nature of the release.

A publication checklist

  1. Name the official Citywide Payroll Data (Fiscal Year) listing and identify OPA as the provider.
  2. State the fiscal year, agency and title or employee identifier used.
  3. Use the exact field label for every dollar or hour figure.
  4. State the Pay Basis before comparing salary values.
  5. Separate regular pay, overtime and other compensation.
  6. Note the listing’s update date and your access date for time-sensitive claims.
  7. Explain any redaction, masked name or missing value that affects interpretation.
  8. Do not turn row counts into salary totals or headcounts.
  9. For surprising values, ask the responsible agency or OPA to confirm the record.

What the row count does—and does not—tell you

The listing showed 6.78 million rows and 17 columns on October 4, 2026. Those are metadata counts for that access date and can change when the annual dataset is updated. A row count is not a citywide salary total, an employee headcount, or evidence that every row represents a full-year worker. Do not derive a citywide spending statistic from the count alone.

A practical citation format

For a chart, article or public-record request, identify the dataset and preserve the record’s context. A clear description includes:

  • NYC Open Data’s Citywide Payroll Data (Fiscal Year) dataset
  • OPA as the data provider
  • The fiscal year
  • The agency and title, when relevant
  • The exact field name, such as Base Salary, Regular Gross Paid or Overtime Paid
  • The dataset update date or the date you accessed the listing

This format lets readers distinguish a stated salary rate from money actually recorded as paid and gives them enough information to reproduce the lookup.

Frequently Asked Questions

Is NYC’s payroll dataset a live salary lookup?

No. Citywide Payroll Data (Fiscal Year) is an annual fiscal-year record. Check the listing’s update date and newest fiscal-year value; a current paycheck or recent overtime shift may not appear until a later release.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What is the difference between Base Salary and Regular Gross Paid?

Base Salary is the stated salary value associated with the position and pay basis. Regular Gross Paid is regular compensation recorded as paid during that fiscal year. They are separate fields and should not be presented as the same amount.

How do I compare two NYC employees’ pay?

Match the fiscal year, agency, title and Pay Basis, then compare the same field—such as Base Salary, Regular Gross Paid or Overtime Paid—for each record. Keep overtime hours and Other Compensation separate.

Why does a person’s name appear as a redaction marker or not appear at all?

The listing says some NYPD records and records from the Manhattan, Kings, Queens, Richmond, Bronx and Special Narcotics District Attorneys’ Offices are redacted under public-safety and law-enforcement exemptions in New York Public Officers Law § 87. A masked name does not mean there is no payroll record.

Can I use the row count as the number of city employees?

No. The reported 6.78 million rows include records across fiscal years and employment circumstances. The count is changeable metadata, not an employee headcount or salary total.

Free tools Windows power users keep installed

One-click scans. No signup required.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do I need paid software to view NYC payroll data?

No. The public NYC Open Data page can be searched in a browser. OData and Tableau are optional workflows for larger or repeatable analysis; Tableau users should select the documented OData v2 endpoint.

Who enters the payroll information?

OPA says the respective city agencies enter the information into the City’s Personnel Management System. For a consequential or surprising value, preserve the fiscal year and exact field labels and ask the responsible agency or OPA to confirm it.

What should I cite when publishing a payroll figure?

Cite the official Citywide Payroll Data (Fiscal Year) listing, identify OPA as provider, and include the fiscal year, agency or title, exact field name, and the listing’s update date or your access date.

The Bottom Line

For an NYC public-employee salary lookup, start with the official NYC Open Data Citywide Payroll Data (Fiscal Year) listing. Filter by fiscal year and identifying fields, check Pay Basis, and keep Base Salary, Regular Gross Paid, Overtime Paid and Other Compensation distinct. Treat the annual file as a historical fiscal-year record, account for redactions and changing metadata, and document the exact row and update date behind every published number.
