Excel’s function-key shortcuts also depend on your platform and what you are doing in the workbook.
First, identify which behavior you want to change
There are three separate controls that can affect what happens when you press a function key:
- Excel’s shortcut: Excel responds to a function key with an action such as editing a cell or repeating a command. The shortcut can vary by platform and context.
- The keyboard’s mode: Fn or F Lock may switch the top row between standard F1–F12 keys and alternate commands such as volume or brightness.
- macOS keyboard settings: On a Mac, a system preference can make standard function keys the default across applications, not just Excel.
If a key performs a hardware action instead of an Excel shortcut, start with the keyboard mode or Mac setting. If Excel receives the key but calculates formulas differently than you expect, see Excel’s calculation settings.
Make function keys standard by default on a Mac
- Open the Apple menu and choose System Preferences > Keyboard. The precise label or location can differ by macOS version.
- Turn on Use all F1, F2, etc. keys as standard function keys.
- Press the function key in Excel to use its standard F-key action. To use the hardware feature printed on a key instead, hold Fn while pressing it; for example, Microsoft documents using Fn+F12 for a volume control when standard function keys are the default.
This setting applies to the Mac generally. Microsoft notes: “Changing system function key preferences affects how the function keys work for your Mac, not just Excel for Mac.” If a system shortcut conflicts with an Excel shortcut, review your Mac’s keyboard shortcut settings as well as Excel’s shortcuts.

Switch function-key modes on a Windows keyboard
Look for an Fn key, an F Lock key, or a function-lock setting on the keyboard. These controls are not identical across keyboard models, so check the key labels or the keyboard’s manual.
- If your keyboard has F Lock, toggle it and test the desired key in Excel. Microsoft’s guidance describes F Lock off as selecting alternate commands and F Lock on as selecting standard F1–F12 commands.
- If your keyboard uses Fn to access alternate commands, try holding Fn while pressing the key—or use the keyboard’s documented Fn-lock control if it has one.
- Return to Excel and test the shortcut. If the key still triggers a hardware command, consult the keyboard’s instructions for changing its top-row mode.
Microsoft explains the differences among Fn, F Lock, and alternate command keys in its keyboard guidance. A keyboard’s mode affects what it sends in other applications too; it is not an Excel-only setting.

Check what the function key does in Excel
Once the keyboard sends a standard function key, Excel’s action still depends on the key, platform, and context. Microsoft’s Excel shortcut reference separates Windows and Mac instructions and covers Microsoft 365, Excel 2024, 2021, 2019, and 2016, as well as mobile and web editions. Its listed shortcuts use a US keyboard layout, so combinations may differ with another layout.
- F2: Edit the active cell in common worksheet contexts.
- F4: Repeat the last command or action when Excel can repeat it. While editing a formula, it cycles through reference types.
- F9: Triggers a calculation-related action; check the platform-specific shortcut reference for the exact behavior and context.
If F4 does not work as expected, first check whether the keyboard is sending F4 rather than its alternate hardware command. Microsoft advises trying F-Lock or Fn where applicable. Also, not every action can be repeated.

Change formula recalculation behavior in Excel for Windows
If by “function key behavior” you mean when formulas recalculate—not whether the keyboard sends F1–F12—use Excel’s formula settings instead. In Excel for Windows desktop, open File > Options > Formulas to adjust recalculation and related formula options. This changes workbook calculation behavior; it does not change Fn or F Lock mode. See Microsoft’s instructions for recalculation, iteration, and precision settings.
