It centers the heading across the selected cells without combining them, so the underlying columns remain separate. If cells in your records are already merged, find and unmerge them before sorting; merging can delete values, and unmerging does not restore them.
Why Merge & Center can disrupt sorting
Merge & Center combines selected cells into one larger cell. When multiple cells contain content, only the upper-left cell’s content remains in left-to-right languages; in right-to-left languages, the upper-right cell’s content remains. Content in the other selected cells is deleted. Microsoft documents this behavior in Merge and unmerge cells in Excel.
Merged cells can also prevent sorting: Microsoft says Excel does not sort data in a column that contains merged cells. Keep each record’s values in separate cells, and reserve merging for presentation areas that are outside the sortable records.
Center a heading without merging cells
Use Center Across Selection to make a heading appear centered over several columns while keeping those cells separate. In desktop Excel, the steps are:

- Select the cells across which the heading should be centered.
- Open Format Cells with Ctrl+1.
- Choose the Alignment tab.
- Set Horizontal to Center Across Selection, then confirm.
The heading remains in its own cell; the selected cells are not combined. Microsoft describes this workaround in its Analyze Data in Excel guidance. Menu labels and availability can vary by Excel platform.
Find and repair merged cells before sorting
For a worksheet that may already contain merged cells, Microsoft documents this Find All method in desktop Excel:
- Go to Home > Find & Select > Find.
- Choose Format, open Alignment, and select Merge cells.
- Choose Find All to list the matches.
- Review each result. In the sortable data area, unmerge the affected cells and verify the resulting records.
- Restore any missing values from a backup or earlier copy before sorting.
Finding and unmerging cells does not recover content discarded when they were merged. Check the retained value against the correct record field, and use a saved copy or other source to restore deleted values. Microsoft provides the locating steps and sorting warning in Find merged cells.
Choose the right alignment option

Keep records sortable and selections reliable
- Use one row of unique, nonblank column headers, with each record value in its own cell. Excel tables provide header controls for sorting and filtering; Microsoft also advises keeping data in a clean tabular structure.
- When sorting a range, select the whole record range rather than only one column. Sorting a partial range can separate values from their original records. See Microsoft’s Sort data in a range or table in Excel.
- If Merge & Center is unavailable, check that you are not editing a cell and that the selection is not inside an Excel table.
When merging is appropriate
Merging may suit a presentation label when the selected cells contain no other content that needs to be retained and the merged area is outside the records you sort. For a label above a data table, Center Across Selection avoids combining the cells. Microsoft lists merge instructions for Excel for Microsoft 365 and Excel 2024 and 2021 on Windows and Mac, Excel 2019 and 2016, and Excel Web App; the Find merged cells guidance lists Microsoft 365, Excel 2024, and Excel 2021. Check the controls available in your version if a menu path differs.
