For a market research report, capture the pages that answer a defined comparison question, then preserve the exact URL, capture date and time in UTC, method, and any limitations alongside each image or archive record. Use a screenshot for visible design and offers; use an archive snapshot or local web harvest when links, structure, or later replay matter. Treat every capture as evidence of what your method retrieved at one point in time—not proof that the site was complete or continuously available in that state.
Choose the capture method for the evidence you need
Start with the report question, not a tool. A pricing-page comparison may depend chiefly on the visible offer and layout; an analysis of navigation or linked content needs more than a static image. Compare methods by visual fidelity, structural and link preservation, replayability, timestamp clarity, handling of dynamic content, and effort.

Use a screenshot for visual evidence
Capture the page as a visitor would see it when the report concerns a headline, offer, visible pricing, or visual hierarchy. Keep the image with its URL and timestamp. A screenshot can make a comparison easy to inspect, but it cannot show every linked page or reproduce behavior such as menus, forms, and dynamic content.
Use an archive when dated replay matters
A public archive may provide a dated snapshot that readers can revisit. Its timestamp identifies the archived capture, not necessarily the date the content first appeared or proof that every element was available then. Archives may have gaps or incomplete resources. The European Union Intellectual Property Network’s Common Communication CP12: Evidence in Trade Mark Appeal Proceedings describes archives as potentially valuable for dating online content while noting limits such as access restrictions, blocking, partial captures, removal requests, and sporadic crawls.

Use a local web harvest when structure matters
A harvest can retain more of a site’s structure and navigation than a screenshot. The Library of Congress explains that a crawler starts from a seed URL and follows links to retrieve copies of content; images, CSS, and JavaScript can matter to a page’s appearance and functionality. It also cautions that “A crawler can only capture websites that it knows about.” A crawler that does not discover a page or resource cannot preserve it. A sitemap may help expose pages, but no harvest should be assumed complete without inspection.
The National Archives and Records Administration’s NARA Guidance on Managing Web Records says agencies must use capture methods retaining hypertext functionality, such as harvesting, for web content records appraised as permanent. That is agency records guidance, not a universal requirement for market research. It offers useful principles—reliability, authenticity, integrity, and usability—when deciding how to document your own evidence.
Follow a repeatable capture workflow
- Define the comparison. Write the question the report will answer, select only relevant public pages, and choose comparable page types across competitors where possible.
- Create a record before capture. Record the competitor name, exact page URL, page title, and the date and time you observed it in UTC.
- Choose and run the method. Save a screenshot for visible evidence, use an archive for an existing dated snapshot, or make a local harvest if linked structure or replay is needed. Record the method; for an archive, record its URL or capture identifier.
- Inspect what was actually captured. Check for missing images, scripts, embedded or dynamic content, inaccessible sections, redirects, and interactions you could not reproduce. Note each limitation rather than silently treating the result as complete.
- Preserve the evidence and its context. Keep the original URL, capture date, method, scope notes, and an unmodified copy of the capture where possible. Avoid replacing the original with a marked-up version; make annotations separately.
- Compare on a common basis. Capture equivalent page types over a common time window where possible, and use the same dimensions in your analysis. If a page could not be captured or behaved differently, record that rather than presenting the comparison as fully like-for-like.
Document the capture so readers can assess it
Put the provenance beside the capture—in a spreadsheet row, report appendix, or linked evidence log—not only in a filename that may become separated from the file.

- Time: observation or capture date and time in UTC. For an archive, retain its displayed timestamp and archive URL or capture identifier.
- Method and scope: screenshot, archive snapshot, or local harvest; what page or resources the method was intended to include.
- Limitations: missing resources, access restrictions, redirects, dynamic content, and interactions that could not be replayed.
- Interpretation: distinguish what the capture visibly shows from what you infer about the competitor. Label the observation date in the report so readers do not mistake it for the current state.
Web-archive formats such as ARC and WARC are useful evaluation vocabulary: the Library of Congress identifies features such as URL and chronology indexing, full-text indexing, and retaining original URLs and links for relationships and link-structure analysis. These are criteria to check, not guarantees that any particular tool or capture preserves them.
Use screenshots carefully as evidence
A screenshot is a useful visual record, but it is only a view of what appeared in the captured frame. It does not preserve the site’s linked structure or prove that an element worked. An archive date is evidence of a dated capture; it does not prove that all page elements were present then or establish when the content originated. A local harvest may offer more replayable structure, but missing or dynamic resources can still affect the result.
For every method, state the capture date, original URL, method, and known limitations. Keep observation separate from interpretation: for example, report that a captured page displayed a particular offer on the recorded date, rather than asserting that the offer was always available. For externally circulated reports, check the applicable copyright, privacy, terms-of-use, and republication rules for the jurisdiction and material involved. Public visibility alone does not settle permission to reproduce content.

What should I do if an archive snapshot is incomplete?
Document which elements or sections are absent, and avoid treating the snapshot as a complete representation. If the missing detail is material, make a new screenshot or local capture and record that method and time separately.

Does a screenshot prove what a competitor’s site is like now?
No. It records what appeared in a capture at a particular time. Include that date and distinguish the captured observation from any conclusion about the site’s current state.
