On Windows, press Print Screen for the whole display or Alt+Print Screen for the active Outlook window, then paste the copied image into an editor and save it. If you need a printable record rather than an image of the screen, use Outlook’s print workflow or print to PDF instead.
First choose the file you actually need
“Screenshot” can mean two different outputs. Decide before capturing so you do not end up with the wrong format.

The exact commands and menus vary between classic Outlook, new Outlook, Outlook on the web, Windows, and macOS. The steps below identify where the workflow is dependable and where the client matters.
Capture the open email on Windows
Capture the entire screen
- Open Outlook and open the message. Scroll to the part you want visible.
- Press Print Screen. Windows copies the screen contents to the clipboard.
- Open Paint, an image editor, or a document, and press Ctrl+V.
- Crop out unrelated windows or sensitive information, then save as PNG or JPEG.
This method includes everything visible on the display, so check for notifications, other open windows, and account details before sharing the file.

Capture only the Outlook window
- Click the Outlook window so it is the active window.
- Press Alt+Print Screen. Windows copies the active window rather than the whole desktop.
- Paste into Paint or another editor, crop if necessary, and save.
This is usually the cleanest built-in option when you want the message and Outlook chrome but not the rest of the desktop.
Capture a selected region
Use Windows’ screen-snipping shortcut if you need only the message pane or a specific portion of it. Select the rectangular region after opening the message, then annotate or save the resulting image. The exact snipping interface depends on the Windows edition and configured keyboard shortcuts, so verify that the selection includes the sender, subject, date, and required body text before closing Outlook.
Insert a screenshot with Outlook or Office
Supported Outlook and Office versions provide an in-app capture route while you are composing a message. This is for inserting an image into a message body, not for exporting a received email as a standalone screenshot file.
- Start a new message or reply.
- Place the insertion point in the message body.
- Open the Screenshot command in the Office ribbon.
- Choose an open program window from Available Windows to insert the whole window, or choose Screen Clipping and drag over the region you want.
The email you want to show must be open, and the cursor must be in the body of the message you are composing. If the Outlook window does not appear in the gallery, bring it to the foreground and try again. Save the inserted image separately if you need a file outside the draft.

Use Outlook’s print workflow when a document is better
Classic Outlook
In classic desktop workflows, open the message and choose File > Print. Review the print preview, select the printer, and adjust available page options before printing or selecting a PDF printer. Preview matters because long messages, signatures, tables, and attachments can flow across several pages.
New Outlook and Outlook on the web
These clients generally expose a message-level Print action rather than the same classic ribbon path. Open the message, use its print command, and inspect the browser or application print preview. Menu names and placement can change as Microsoft updates the clients.
Save a Windows PDF
Choose the print command, select Microsoft Print to PDF, and save the resulting file. Microsoft’s guidance notes that new Outlook and Outlook on the web do not provide PDF as a default Save as type; printing to the Windows PDF printer is the practical workaround. A PDF preserves a printable document, not the exact pixels of the Outlook interface.
Make the capture readable and safe
- Show context: Include the sender, subject, date, and enough of the body to establish what the message says.
- Reveal long content: A screenshot captures only what is currently visible. Scroll and take multiple images, or use print/PDF for a complete multi-page record.
- Hide confidential data: Crop or redact addresses, phone numbers, account identifiers, tracking links, and unrelated messages before sending.
- Check scaling: Enlarged browser or Outlook text can make a screenshot easier to read but may exclude more content from the viewport.
- Preserve the original: Keep the original email or exported file when the screenshot may be used for compliance, support, or dispute documentation.
- Use lossless output for text: PNG normally keeps small text sharper than JPEG. Use JPEG when file size matters and minor compression is acceptable.

Troubleshooting common capture problems
Nothing appears after pressing Print Screen
The key copies an image; it may not automatically open a file. Paste with Ctrl+V into Paint, an editor, or a document. On some keyboards, use the function-layer combination required by the hardware.

The screenshot includes too much of the desktop
Click Outlook first and use Alt+Print Screen, or select only the required rectangle with a snipping tool. Close or minimize unrelated windows before capturing.
The message is cut off
A screenshot records the current viewport. Scroll and capture additional sections, or switch to print preview/PDF when the entire message is required.
The Office Screenshot command is unavailable
Confirm that you are composing a message, that the insertion point is in its body, and that the email window you want to capture is open. The command and gallery are not identical in every Outlook or Office release.
The PDF looks different from the screen
That is expected. Printing creates a paginated document and can reflow text, signatures, tables, and images. Use an OS screenshot when visual fidelity to the interface is the priority.

Print menus do not match these steps
Identify whether you are using classic Outlook, new Outlook, or Outlook on the web, then follow that client’s message-level print command. Microsoft changes labels and layouts, so rely on the preview to verify the result.

Not reliably. The capture represents what is visible, so open the message and expand any content you need first.
Is a screenshot legally equivalent to the original email?
Not necessarily. Retain the original message and relevant metadata when authenticity or records retention matters; a screenshot is a visual copy.
