To capture an email, open the message, arrange the identifying details and text you need, use your computer’s built-in screenshot tool, inspect the image, and save it. A screenshot records only what is visible, so a long message may require several overlapping images. Protected-message settings can block capture; never bypass a restriction, and follow the sender’s or organization’s approved sharing process.
Before you capture: make the email legible and safe to share
- Open the individual message. Avoid capturing an inbox list when the message view contains the sender, recipient, date, subject and body you need.
- Arrange the view. Maximize the mail window, close unrelated tabs, expand collapsed quoted text only when it is relevant, and zoom so the text is readable without making identifying details disappear.
- Decide the capture scope. A whole window is more complete; a selected region exposes less unrelated information. Include enough context to identify the message.
- Check for sensitive material. Look for other addresses, inbox previews, notifications, account identifiers and confidential text. Crop or obscure information only when that does not misrepresent the message or undermine a record that must be preserved.

Capture an email on Windows
Use Print Screen for the entire display
Press Print Screen (sometimes labeled PrtSc). Windows copies the screen image to the clipboard. Open Paint, Word or another image editor, press Ctrl+V, then crop if necessary and save the result. This is useful when the email and surrounding context are both relevant.
Use Alt+Print Screen for the active email window
Click the mail window so it is active, then press Alt+Print Screen. Only that window is copied to the clipboard. Paste it into an editor, inspect the edges for missing text, and save it. This avoids capturing unrelated applications while retaining the window’s context.
Use Snipping Tool for a selected area
- Open Snipping Tool from the Windows Start menu.
- Choose a rectangular (or another available) snip and select the email area, including the sender, subject or date when those details matter.
- Use the editor’s crop or markup controls only if they preserve the meaning of the message.
- Choose Save and select a format and location, or copy the image for immediate pasting.
Snipping Tool is usually the clearest choice for sharing one message section because you control exactly what appears. Microsoft’s documented Windows routes are Print Screen, Alt+Print Screen and Snipping Tool with edit, copy and save options.

Capture an email on macOS
Open the Screenshot controls
Press Shift-Command-5 to open the Screenshot app and display the tools. Select a whole screen, a window or a portion of the display. For an email, choose the mail window or drag around the message content rather than the entire desktop.
Choose where and how to save
Use Options to select a save location and related settings. After capturing, use the floating thumbnail to open the image, mark it up or share it. Wait for the thumbnail action to finish before closing the mail window if you need to edit or annotate the image.
A window capture preserves application context; a portion capture reduces exposure of unrelated inbox content. Whichever you choose, verify that the sender, subject, date and required body text remain readable.

When the email is longer than one screen
A screenshot cannot include content that is below the visible viewport. Scroll through the message and take a sequence of captures when the body does not fit. Leave a small overlap between consecutive images so their order is obvious and no sentence falls into a gap.

- Scroll by less than one screen height and capture the next portion.
- Repeat until the required body and attachments or disclaimers are visible.
- Name files in order, such as
email-01.png,email-02.pngandemail-03.png. - Review the sequence at normal size to confirm continuity and legibility.
If a complete, searchable record is required, retain the original message or use the organization’s approved export or evidence process in addition to screenshots. A screenshot sequence is a visual record, not a replacement for the original email headers or metadata.
Protected messages: why capture may fail
Do not assume every email can be captured. Google says Gmail confidential mode restricts actions such as copying, printing and downloading, but recipients may still take screenshots or photos; Google explicitly warns that confidential mode is not screenshot-proof. Google’s client-side encryption documentation lists screenshots on Android mobile devices among feature restrictions. Microsoft documents that Outlook on the web can block screen capture for a browser window when a protected email has screen-capture protection enabled.

Actual behavior depends on the service, protection setting, device and account configuration. If the operating system or browser shows a blank result, warning or blocked-capture message, do not treat another capture method as an endorsed workaround. Ask the sender or administrator for an authorized copy, permitted sharing link or official export.
Inspect, save and share the result
- Readability: zoom the saved image to ensure small text, dates and addresses can be read.
- Completeness: confirm that the intended sender, recipient context, subject, timestamp and relevant body are present.
- Privacy: remove unrelated notifications, inbox previews and personal identifiers before ordinary sharing.
- Integrity: keep an untouched original when the image may be used in a complaint, investigation or dispute; make any redacted copy separately.
- File handling: use a descriptive filename and a secure location. PNG is suitable for crisp text; JPEG can be smaller but may introduce compression artifacts.

The image is blank or captures the wrong window
Bring the mail window to the foreground, wait for the message body to finish loading, and repeat the active-window or selected-region capture. A protected page may intentionally block capture; follow the approved-access route instead of trying to defeat it.
Text is too small
Increase the mail client’s zoom or window size before capturing, then use a selected region. For a long message, make several readable images rather than one tiny full-screen image.

The bottom of the message is missing
Scroll and create overlapping captures. A normal screenshot cannot include off-screen content.
The screenshot contains private information
Close notifications and unrelated tabs, recapture when possible, and inspect every image before sharing. Keep an unedited original separately if preservation matters.
