Buy your first artwork by treating it as both a personal decision and a documented transaction: measure the space, set an all-in budget, compare gallery and auction terms, verify authenticity and ownership, inspect condition, and keep a permanent record after delivery. The checklist below takes you from first viewing to insurance without requiring specialist vocabulary.
1. Define what you are buying before you shop
A first purchase is easier when you decide what success means before a seller, countdown or bidding room sets the agenda. Your aim may be to live with an image you love, begin learning an artist’s work, mark an occasion, or build a collection around a theme. Those are legitimate reasons to buy. Future appreciation is possible but uncertain, so do not make an unverified investment promise part of your budget.
Measure the destination
Measure the wall, alcove, shelf or plinth where the work will go. Record the usable width and height, nearby furniture, hanging height, power outlets, direct sunlight and access route for delivery. For a sculpture, note floor strength, footprint and whether people or pets could knock it over. Keep the measurements beside you while browsing; a work that looks modest online can overwhelm a room once framed.

Set a complete-purchase ceiling
Write one maximum figure for the entire transaction, not just the displayed artwork price. Include framing, glazing, packing, delivery, installation, taxes or customs, insurance during transit, and any conservation or storage you may need. Ask the seller what the advertised price includes before you become emotionally committed to a piece.
Keep a separate “unplanned” reserve only if it is genuinely available; never treat a reserve as permission to exceed your ceiling in a competitive sale. At auction, set your maximum before registration. In a gallery, ask whether the price is fixed, whether a payment schedule is available, and how long the seller can hold the work while you check documents.
2. Take a deliberate first look
Make an exploratory pass through a fair, gallery, artist presentation or online catalogue without trying to choose immediately. Note the works you revisit, the artist’s name, the seller and the reasons each piece holds your attention. You do not need terms such as “provenance” or “medium” to begin a useful conversation; you can ask what it is made of, when it was made, where it has been, and what comes with it.

Build a short list
- Save the title, artist, date, medium and dimensions for every candidate.
- Record the quoted price and whether framing, delivery or taxes are included.
- Write a sentence about the work’s visual and physical fit in your space.
- Mark questions that must be answered before you pay, such as repairs, edition size or ownership history.
Return to the short list after a cooling-off period. A first purchase can be exploratory; you are allowed to learn from it rather than selecting the most famous or expensive option in the room.

3. Choose the buying channel
Galleries, direct artist sales and auctions can all be appropriate. Compare them on conversation, pace, fees, documentation and logistics rather than on a headline price alone.
| Channel | What it usually offers | What you must control |
|---|---|---|
| Gallery or direct artist sale | More time for questions about materials, framing, payment and the work’s history; an opportunity to inspect the piece in a calmer setting. | Confirm exactly what the quoted price includes, who owns the work, return terms, holding period, shipping risk and whether payment can be staged. |
| Auction | A published sale date, catalogue, registration process and, in established houses, specialist support, authentication work, provenance review, condition reporting and an estimate range. | Read the conditions of sale, buyer’s premium schedule, taxes, bidding deadline, payment deadline, collection or shipping arrangements and title-transfer terms. An estimate is guidance, not a guaranteed resale price. |
| Online catalogue or marketplace | Broad access and easy comparison of artists, sizes and prices. | Demand independent, high-resolution images and written records. Screen colour and scale can mislead; verify the seller, ownership, condition, delivery insurance and returns before paying. |
Christie’s describes a process that can include specialist support, authentication, provenance review, a condition report and an estimate range. Use those elements as a benchmark when questioning any seller, while remembering that an estimate describes expected auction positioning rather than a promised future value. Christie’s also states: “Every item comes with a condition report outlining its condition at time of auction, although we always recommend viewing items in person where possible.”
4. Apply a due-diligence mindset
The Responsible Art Market Art Transaction Due Diligence Toolkit recommends investigating the parties, the artwork and the transaction. Its central principle is that collecting as much information as possible protects collectors and helps manage financial and reputational risk. You can apply that principle to a modest first purchase as well as a major one.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteCheck the parties
- Identify the legal name and physical contact details of the seller, gallery, auction house or representative.
- Ask whether the seller owns the work or is acting as an agent, consignee or intermediary.
- Request the name and role of anyone providing authentication or condition advice.
- Use written communication for material promises about price, repairs, shipping, returns or timing.
Check the transaction
- Read the invoice, sale agreement or auction conditions before sending money.
- Confirm the currency, payment deadline, accepted payment methods and cancellation or return rights.
- Clarify when title passes, who bears risk in transit and who arranges insurance.
- For cross-border purchases, establish responsibility for export licences, import declarations, customs charges and cultural-heritage paperwork.
5. Request a complete document pack
Ask for the records before paying a non-refundable deposit. A reputable seller should be able to explain which documents exist, who issued them and why any item is unavailable. UBS’s 2022 Collectors’ Compass checklist includes the following categories; adapt them to the type and age of your work.

- Full factsheet: artist, title, date, medium, support, dimensions, framed dimensions and edition information where relevant.
- High-resolution recto and verso images: front and back views, labels, signatures, stamps, stretcher marks, inscriptions and frame details.
- Proof of ownership: evidence that the seller has the right to sell the work.
- Documented provenance: an ownership history with supporting invoices, gallery records, estate documents or other traceable evidence.
- Condition report: current condition, previous repairs, relining, overpainting, tears, fading, mount damage and conservation treatments.
- Appraisal or expert report: where the work’s attribution, value or complexity makes one appropriate.
- Certificate or authorship evidence: especially for editions, photographs, prints, multiples or works supplied with an artist, estate or institutional certificate.
- Exhibition and publication history: shows, catalogues and articles that can help corroborate the work.
- Catalogue-raisonné references: for established artists when a relevant catalogue exists.
- Transport and customs records: packing specifications, export or import documents and any cultural-heritage permissions for an international shipment.
- Written sale terms: price, payment stages, returns, framing, delivery, installation, insurance responsibility and the point at which title transfers.
UBS also recommends an insurance contract or inventory that identifies the work in detail. Keep copies of every document, not just the certificate that arrives with the frame.
6. Verify authenticity and attribution
“Authentic” can mean different things: an artist made the work, an artist’s studio produced it, an edition was authorised, or an expert considers the attribution plausible. Ask the seller to state precisely what is being guaranteed.
Questions to ask
- Who authenticated or attributed the work?
- What evidence was examined: signature, materials, technical analysis, estate records, gallery records or prior scholarship?
- Does the artist, estate, foundation, gallery or recognised specialist stand behind the attribution?
- Is there an official archive or foundation you can consult?
- What happens if credible new evidence challenges the attribution?
A certificate is evidence, not magic. Check its issuer, date, identifying details and relationship to the work. Match the certificate’s title, dimensions, medium, edition number and image to the object you receive. UBS recommends consulting an official archive or foundation where possible and obtaining more than one professional opinion when provenance or authentication is complicated.

Confirm the total edition size, the individual number, the publisher or printer, the date, the process and whether the certificate corresponds to that specific impression. Ask whether artist’s proofs, hors commerce examples or posthumous impressions exist and how they are counted. The Royal Academy notes that its editions come with an official certificate of authenticity and that it offers bespoke framing. That illustrates the value of institution-issued documentation, but you still need to read the particular seller’s terms and match the certificate to the work.

7. Read the condition report critically
Condition affects enjoyment, conservation cost and future value. A report should describe the work as it exists at a stated date, not imply that it is permanently unchanged. Look for both text and photographs, including close-ups of damage and the reverse.
Translate specialist wording
- Stable: no immediate change is observed; it does not mean flawless.
- Surface dirt or varnish discoloration: may require professional cleaning or varnish treatment.
- Retouching or overpaint: an area has been visually altered, often during restoration.
- Relined or mounted: the original support has been reinforced or attached to another support.
- Foxing, fading, tears or planar distortion: condition issues that can vary in severity and treatment cost.
Ask whether the report is independent, when it was prepared and whether the work has changed since inspection. Request an updated report if the object has been stored, transported or reframed after the report date. For a significant purchase, have a conservator inspect the work rather than relying on a seller’s summary.
8. Calculate the landed cost and responsibilities
Make a written cost sheet before committing:
| Cost or responsibility | Question to answer |
|---|---|
| Artwork price | Is the price fixed, negotiable, or an auction estimate subject to bidding? |
| Buyer’s premium and taxes | At auction, what percentage and taxes apply, and are they calculated on the hammer price or another base? |
| Frame and glazing | Is the displayed frame included? Is specialist or conservation glazing recommended? |
| Packing and shipping | Who selects the carrier, pays the charge and approves the packing method? |
| Installation | Does delivery include carrying upstairs, hanging, lighting or plinth assembly? |
| Customs and cultural-heritage paperwork | Who obtains permits and pays import, export, brokerage or storage charges? |
| Insurance in transit | When does cover begin and end, and who bears loss or damage risk? |
| Conservation or storage | Are any treatments, climate controls or temporary storage required? |
Ask when title transfers and obtain that answer in writing. A low initial price can become expensive after framing, specialist packing, customs and installation; a higher quote with those services included may be the cheaper complete transaction.
9. Decide without pressure
Set your maximum before a negotiation, sale countdown or live bidding begins. Do not increase it because another person is bidding, a seller says interest is strong, or you fear never seeing the work again. Ask for time to review the document pack and sleep on the decision. If a seller refuses reasonable questions about ownership, condition or terms, walk away.

A simple decision test
- Would you still want the work if its resale price never increased?
- Does it fit the measured space, lighting and care conditions?
- Can you pay the complete landed cost without using money needed for essentials?
- Are authenticity, ownership, condition and delivery responsibilities documented?
- Do the written terms match what was said in conversation?
If any answer is no, pause rather than rationalising the gap. A first purchase should teach you how you like to collect, not force you to accept avoidable uncertainty.
10. Plan delivery, installation and cross-border handling
Confirm the route from seller to destination before payment. Measure doorways, lifts and stair turns; tell the carrier about fragile glazing, unusual dimensions or restricted access. For works on paper, textiles, photographs or other light-sensitive materials, ask about protective materials and exposure limits.
For international purchases, clarify export and import rules before the sale closes. Some objects may require cultural-heritage documentation or specialist declarations. Establish who is responsible for each form, what happens if customs delays the shipment, and whether storage fees accrue. Keep copies of permits, commercial invoices, packing lists and tracking records with the artwork file.

11. Protect the work after purchase
Photograph the front, back, frame, signature, labels and any existing marks as soon as the work arrives. Compare it with the condition report and notify the seller or carrier immediately about damage. Do not discard crates or packing materials until the inspection period and any return window have ended.
Create a permanent collector’s file
- Invoice, sale agreement and payment receipt.
- Certificate, attribution statement and edition details.
- Condition report and arrival photographs.
- Provenance records, exhibition and publication history.
- Appraisal, expert reports and conservation invoices.
- Shipping, customs, insurance and installation documents.
- Care, hanging, light and humidity instructions.
Art Fairs recommends care and hanging instructions suited to the work. Follow those instructions for light, humidity, cleaning and mounting; never wipe a surface or glazing with household products unless a qualified professional says it is safe.
Insure and inventory it
Add the work to an appropriate policy or scheduled valuable-articles list, using the insurer’s required valuation and documentation. Record artist, title, date, medium, dimensions, purchase date, price, location and photographs. Update the inventory when the work moves, is reframed, undergoes conservation or changes value under a new appraisal.
12. Red flags and what to do
| Red flag | Response |
|---|---|
| Pressure to pay immediately or bid beyond your limit | Pause, restate your ceiling and request time for document review. |
| No proof of ownership | Do not pay until the seller establishes the right to sell. |
| Vague or missing provenance | Ask for supporting records and, for a complex history, seek an independent opinion. |
| Certificate with no issuer, identifying details or matching edition number | Ask for clarification and independent verification. |
| Condition described only as “good” with no report | Request a detailed written report and photographs, or arrange an inspection. |
| Unclear shipping risk, customs or return terms | Get responsibilities and deadlines in the written contract before payment. |
| Images that hide the reverse, frame or damage | Request recto/verso images and close-ups; treat refusal as a reason to defer. |
