This keeps video from becoming an output quota and gives each project a reason to exist.
1. Set a primary business objective
Start with the business result the video should support. Possible objectives include building awareness, explaining a product, earning trust, supporting a sales decision, prompting a response, or helping existing customers. A single video may contribute to several results, but choose one primary objective so the team can make clear decisions about format, distribution, and measurement.

2. Describe the audience and their situation
Define who needs the video and what is happening when they encounter it. Capture what they already know, what question they need answered, what obstacle they face, and what action should come next. Consider their needs, preferences, pain points, interests, motivations, and the language they use.

Use what you can learn from customers and prospects rather than relying only on internal assumptions. Wyzowl’s 2026 video marketing strategy guide suggests methods such as surveys, social polls, and focus groups. You do not need every method; choose a practical way to hear from the audience you intend to reach.
3. Choose a format that does the job
Match the format to both the audience’s question and the business objective. These are useful starting points, not guarantees that a particular format will perform well.

Use this as a decision aid, not a rigid taxonomy. A testimonial may also introduce a product, and an explainer may serve existing customers as well as prospects. Pick the format that answers the audience’s real question and is feasible for your team.

4. Scope the production before recording
Assign ownership, budget, and approvals
Decide who owns the project, what budget and time are available, who needs to approve it, and when each approval is due. Set a realistic timeline that includes planning, recording, editing, review, and publishing. Unclear ownership or late approvals can delay even a simple video.

Develop the story and production plan
Outline the point the viewer should remember, the information needed to make that point, and the next action to take. Write a script or a structured outline appropriate to the format. Identify supporting visuals, locations, participants, and any permits that may be required. For live-action shoots, prepare a shot list and schedule.
Choose in-house or outsourced work
Compare your team’s skills and available time with the video’s complexity, budget, deadline, and need for specialized expertise. You might produce and edit internally, outsource a specific task such as editing or voiceover, or bring in outside production help. HubSpot’s course covers both in-house and outsourced production; neither is a universal default.

Start with the equipment you have
A smartphone can be a low-cost way to begin. Treat a camera, lighting, or audio equipment as optional improvements that solve an identified problem, not prerequisites. For interviews or direct-to-camera videos, a smartphone lavalier microphone is one possible way to address voice capture; choose equipment for the actual recording conditions rather than buying a complete setup by default.
5. Plan distribution before filming
Decide where the intended audience can encounter the video, how it will be presented, and what viewers should do afterward. Possible destinations include your website, email, blog, social channels, and video-sharing platforms such as YouTube or Vimeo. Select based on audience habits, the objective, format requirements, and your capacity to publish and maintain the content.

Account for placement while planning the video: a piece intended for a social feed may need a different presentation from a demonstration embedded on a product page. Make the next step clear in the video or its surrounding page, and plan how people will find it. Paid promotion can be one distribution option when it fits the objective and budget; it is not necessary for every business.

For YouTube campaigns, distinguish the objective from the forecast
Google Ads describes a full-funnel structure for YouTube campaigns spanning awareness and reach, consideration and views, and action and conversions. Its Reach Planner documentation cautions that forecasts do not guarantee performance or outcomes. Actual results can vary with factors including ad quality and implementation, so use campaign forecasts for planning rather than as promised results.
6. Choose measures before publishing
Pick measures that correspond to the primary objective. Views or reach may help assess awareness; watch time can indicate how far people get; shares can show whether viewers pass the video along; clicks and conversions can track response. Define what counts as the desired action and where it will be measured before launch.
- Awareness: track reach or views in the relevant publishing or campaign context.
- Engagement or understanding: examine watch time alongside the point at which viewers stop watching.
- Distribution: look at shares and the channels bringing viewers.
- Response: track click-throughs and the conversions that match the intended next step.

HubSpot’s course also treats reporting as a way to define metrics and use data to inform next steps. Interpret the measures in context: a view alone does not establish that the video achieved a business result.

7. Use results to improve the next video
After publishing, compare the results with the objective and the audience action you planned. Note which topics, formats, calls to action, or channels appear worth revisiting, and where viewers disengaged or did not take the next step. Use those observations to adjust the next video’s brief, production plan, or distribution—not to assume that one result guarantees the same result for another audience or placement.
Wyzowl’s 2026 guide reports survey findings, including that 82% of marketers surveyed agreed video gave them a good return on investment. That is a reported opinion from marketers, not proof that video causes a particular return for every business. Your own strategy should be judged by the outcomes you defined and measured.
