To price managed IT services profitably, first calculate your real cost to deliver each promise, then package only work your team can perform consistently, define the scope in writing, and charge for the labor, software, security, overhead, risk and support capacity the contract consumes. There is no universal per-user rate or guaranteed margin: profitable pricing depends on your service design, staffing, utilization, client environment and local market.

This guide shows how to turn that principle into a repeatable managed-services practice, from selecting an initial catalog to calculating unit costs, choosing a billing model, writing boundaries, onboarding clients and reviewing prices as conditions change.

What a profitable MSP practice actually sells

Managed services are an ongoing operating commitment, not a bundle of occasional fixes. A client pays for a defined level of management over time, while the provider accepts responsibility for performing recurring work and responding within agreed limits. That distinction matters because an apparently attractive monthly fee can lose money when preventive maintenance, security alerts, documentation, travel, after-hours calls or project interruptions are included informally.

A practical service may combine network monitoring, endpoint management, security operations, patch management, backup, disaster recovery, cloud administration, compliance assistance, security awareness training and user support. You do not need to offer all of them. Start with the services your staff, processes and tools can deliver repeatedly, and state exactly what the client receives.

  • Exclusions: unsupported hardware, new installations, major migrations, third-party outages, user training beyond the allowance and other work billed separately.
  • Escalation ownership: which issues your team handles, which go to a vendor, and which remain the client’s responsibility.

Subscriptions create predictable revenue only when the obligation is predictable. A vague “all IT support” promise transfers unlimited demand to your business without giving you a reliable cost basis.

Choose a focused service catalog before you set prices

Build a minimum viable package

List the outcomes a typical target client needs and map each outcome to concrete activities. For example, an entry package might include endpoint monitoring, operating-system patching, malware protection, backup checks, ticket support during business hours and a monthly service report. A higher package could add security monitoring, vulnerability remediation, cloud administration, compliance assistance and faster response targets.

Document every package in a service description and a statement of work. Include covered users, endpoints, servers, networks, cloud tenants and sites; maintenance windows; included requests; limits on projects; and the conditions that trigger a change order. If a task is not listed, decide whether it is excluded or separately priced before selling the package.

Add extensions only when delivery capacity exists

Security operations, security-awareness training, network security, cloud services, backup and disaster recovery, and compliance are natural extensions of a managed-services catalog. They also add tooling, specialist labor, escalation paths and quality-control work. A service should not be added merely because it appears in a competitor’s menu.

Barracuda’s 2024 survey illustrates the expansion trend without proving that expansion is profitable for every provider: 97% of surveyed MSPs said they expected to enlarge their portfolio by about six services on average in 2024. The sample contained 700 MSP decision-makers or experienced technical workers at organizations with 5–350 employees across 11 countries. Treat that as a dated expectation, not as a target for your own catalog.

MSP Global’s Summer 2025 report lists AI- and automation-driven services, Microsoft 365 or Google Workspace services, public cloud, security operations and compliance-as-a-service among planned or existing areas. Respondents used both standardized and customized offers. Standardization makes staffing and quality control easier; customization can improve fit but raises training, integration and support complexity. Price those consequences before committing.

Calculate the complete cost to deliver

The answer to “What costs should I include when pricing managed services?” starts with every resource consumed by the recurring promise. Atera identifies technician labor, the software stack—including remote monitoring and management, professional-services automation and security tools—and fixed overhead as core inputs. Huntress likewise notes that environment, service breadth, geography and expertise affect rates.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Cost group What to include How to allocate it
Technician labor Wages or contractor fees, payroll taxes, benefits, training, management time and escalation specialists. Use productive hours, not paid hours. Assign recurring labor to the unit that drives the work: user, endpoint, client, site or service.
Software and security stack RMM, PSA, ticketing, documentation, identity, backup, endpoint protection, monitoring, vulnerability and security-operations tools. Use the actual billing behavior of each license. Some scale per endpoint, some per user, some per technician and some by data or tenant.
Infrastructure and delivery Hosting, backup storage, test environments, spare equipment, connectivity, travel and telephone costs. Assign directly where possible; otherwise spread by expected client count or usage.
Fixed overhead Rent, insurance, accounting, legal work, sales administration, management, recruiting and general software. Allocate a defensible share to the managed-services line rather than hiding it in project revenue.
Risk and capacity Unplanned incidents, sick leave, on-call coverage, low-utilization periods, rework and vendor escalations. Model realistic demand and reserve capacity. Do not assume every paid hour is billable or that every client consumes the average.

Measure productive capacity realistically

Start with the hours a technician is paid for, then subtract holidays, leave, training, internal meetings, documentation, management, sales assistance and unavoidable non-client work. The remaining hours are the capacity from which recurring commitments can be delivered. If your plan assumes every remaining hour is available for tickets, it will understate cost and create an overloaded queue.

Track time by client and activity for a representative period. Separate proactive maintenance, reactive support, security response, account management, reporting and project work. The resulting pattern is more useful than an industry-wide labor percentage because it reflects your tools, processes and customer mix.

Separate recurring work from one-time work

Onboarding, remediation, network redesigns, migrations and major deployments consume concentrated labor. Put them in a separately priced project or an explicit onboarding fee. If the recurring price must recover that work, calculate the recovery period and show the client what is included; otherwise a new contract can begin with a hidden loss.

Pick the billing model that matches the work

No pricing model is universally best. Compare each option by client fit, billing clarity, variability of delivery effort, software-cost behavior, scope control and your ability to deliver consistently.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Model Works well when Watch for
Per user Support is primarily for people and their identities, applications and collaboration tools; the client wants a simple bill. Shared devices, servers, locations and unusually complex users can fall outside the apparent unit. Define whether service accounts and contractors count.
Per device Endpoints and infrastructure represent the main work and can be inventoried accurately. Device counts fluctuate, and a single high-maintenance workstation can consume more effort than several standard ones. Specify device classes and exclusions.
Tiered packages Clients have different risk or service requirements and can choose among clearly separated scopes. Overlapping inclusions create confusion. Keep the differences operationally real, not merely marketing labels.
Co-managed An internal IT team retains selected infrastructure or strategic responsibilities while you provide defined specialist or operational services. Handoffs, ownership and after-hours expectations must be explicit. Price coordination and duplicated tooling, not just the tasks you perform directly.

Atera presents per-user pricing paired with technician-based RMM software costs as one way to prevent software expense from rising in lockstep with endpoint volume. That is vendor guidance, not an independently validated universal profit strategy. Test the model against your own license terms, user-to-device ratios and support history.

Use a hybrid only when the units are clear

A user fee can cover help-desk access while separate device, server, site or security charges cover assets that create distinct work. This can improve fairness, but every additional line makes the agreement harder to explain. If you combine units, publish a simple inventory rule and a process for adding or removing them.

Turn costs into a defensible price

  1. Define the service unit. Choose user, endpoint, client, site or another unit that tracks the work. Use a separate unit for a component whose cost behaves differently.
  2. Estimate recurring effort. Use observed tickets, maintenance time, alert volume, reporting and account-management time. Include expected incident and escalation work.
  3. Load labor correctly. Divide total employment cost by realistic productive capacity, then multiply by the hours the service consumes.
  4. Add variable tools. Apply per-user, per-device, per-technician, tenant, storage or data charges according to the actual contract terms.
  5. Allocate overhead and risk. Add the managed-services share of fixed costs and a capacity allowance for absence, rework and demand variation.
  6. Price onboarding separately. Include discovery, documentation, remediation, agent deployment and transition work in a project or stated onboarding charge.
  7. Choose a required contribution. Set an internal financial target after considering growth plans, financing, taxes and owner compensation. Do not copy an unverified “standard” margin.
  8. Stress-test the result. Recalculate with higher ticket volume, a security incident, slower onboarding, license increases and a lower utilization rate. Reject a price that fails under a plausible operating case.

A simple internal formula is price = fully loaded recurring cost ÷ (1 − required contribution rate). The contribution rate is your management decision, not an industry fact. For illustration, if a service costs $420 per month to deliver and you require a 30% contribution on revenue, the calculated price is $600 per month. Label such arithmetic as an internal scenario; it is not a market quote.

Check the price against the contract, not just the spreadsheet

Ask what happens when the client adds 20 users, opens a second site, adopts a new cloud workload or requires weekend response. If the unit price does not reflect the additional work, define a change trigger or a separate charge. Conversely, if automation reduces effort, decide whether the saving funds capacity, improves service or supports a planned price review rather than assuming it must immediately become a discount.

Write boundaries that protect both sides

Huntress recommends clear service boundaries, contracts or subscriptions, statements of work and regular pricing review as the environment or service changes. Put those recommendations into operational language:

  • Inventory: identify covered users, endpoints, servers, network devices, cloud tenants, sites and supported operating systems.
  • Hours and channels: state business hours, emergency routes, maintenance windows and whether monitoring operates continuously.
  • Response: define severity levels, acknowledgement targets, dependencies on client access and the difference between response and resolution.
  • Included maintenance: list patching, alert handling, backup verification, reporting and routine changes.
  • Excluded work: list projects, unsupported systems, new deployments, major remediation, vendor charges and travel.
  • Client duties: require timely approvals, accurate inventories, supported hardware, licences, backups or access needed for delivery.
  • After-hours and excess use: state rates or approval rules for emergency work, hours beyond an allowance and work outside the covered scope.
  • Review triggers: permit a review when users, assets, locations, risk, regulatory obligations, service levels or third-party costs materially change.

Do not promise “unlimited” support unless you have modeled a genuine upper bound. A fair alternative is unlimited access within defined channels and hours, with projects and excluded conditions priced separately.

Make onboarding a paid delivery phase

Before the first recurring invoice, discover the environment and remove avoidable uncertainty. A disciplined onboarding sequence protects the client and reveals whether the proposed recurring price is realistic.

  1. Confirm the inventory, business-critical systems, users, sites, vendors and compliance obligations.
  2. Assess identity, endpoint health, patch status, backups, security controls, network diagrams and documentation.
  3. Record remediation that must occur before normal support begins and price it as a project where appropriate.
  4. Deploy and test monitoring, ticket routing, alert thresholds, backup checks, remote access and escalation contacts.
  5. Agree on maintenance windows, approval workflows, emergency contacts and reporting format.
  6. Run a service-readiness review with the client, then start recurring measurement only after the agreed baseline exists.

Use onboarding findings to revise the service unit count and the risk assumptions in your cost model. A client with obsolete systems or incomplete backups should not be priced like a standardized, healthy environment.

Manage utilization, client mix and service quality

Recurring revenue is not the same as recurring profit. Monitor the relationship between contracted revenue and the capacity consumed to provide it. Useful internal measures include:

  • Recurring revenue and fully loaded delivery cost by client, package and service unit.
  • Technician utilization based on productive client work, not raw logged-in time.
  • Ticket volume, alert volume, reopen rate, escalations and after-hours events.
  • Onboarding hours and remediation cost compared with the amount collected.
  • Gross contribution by client after software, subcontractors, travel and account-management time.
  • Contracted response performance and recurring work completed within the maintenance window.
  • Churn, expansion, price changes and the number of exceptions requiring manual handling.

Client mix matters. A portfolio of small, high-touch environments may require more account management and travel than a larger standardized client base. Co-managed accounts can add coordination even when the task list appears smaller. Segment clients by complexity, risk and support behavior, then use those segments in capacity planning.

Control the tool stack and integration work

Tools are delivery infrastructure, not free features. Distinguish among an in-house tool set, a vendor platform and a combined stack. Compare each approach by integration effort, control, delivery capacity and consistency of quality. MSP Global respondents identified multiple-tool integration and consistent service quality as scaling challenges; adding another product can increase reconciliation, training, alert tuning and documentation work.

Before adopting a tool, calculate its license cost and the labor required to administer it. Define the source of truth for clients, assets, tickets, passwords, alerts and reports. Test whether an alert creates a usable ticket, whether duplicate notifications can be suppressed, and whether technicians can follow one documented workflow. If a service depends on manual copying between systems, include that time in the unit cost.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Review the stack when a contract changes. A new security service may require a different escalation role, reporting cadence or on-call arrangement. If the operational design changes, the recurring price may need review under the contract’s change provisions.

Expand toward security and automation deliberately

Security is a major industry theme, but survey interest is not proof of local demand or profitability. Barracuda reported that respondents expected managed services to represent 44% of their total revenue in 2024, up from 34% in 2023. Those figures describe expectations from its 2024 survey of 700 MSP respondents, not audited results for every provider.

MSP Global’s 2025 report found 58% of respondents selected building recurring revenue streams and 58% selected automation and AI among strategic priorities for the next 12–24 months. The strategy question had only 64 respondents, so use it as directional context rather than a forecast.

For each proposed security or automation offer, specify the detection sources, human review, response authority, coverage hours, evidence retention, reporting, client approvals and liability boundaries. Estimate the specialist labor and escalation cost before setting a per-user or per-device fee. An automated alert that no one can investigate is not a complete security service.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Review and reprice on a defined cadence

Set a quarterly operational review and a formal contract-pricing review at least annually, or sooner when a trigger occurs. Compare actual effort, license invoices, ticket patterns, incident frequency, asset counts and service-level performance with the assumptions used to price the contract.

When the environment expands, present the changed inventory and the corresponding price or scope adjustment. When costs rise, identify whether the cause is a vendor increase, additional coverage, higher risk or inefficient delivery. When automation lowers effort, decide how to use the capacity before reducing the fee. A transparent review is easier to defend than a surprise increase after a loss has accumulated.

A practical first 90 days

Days 1–30: establish the economics

  • Select a target client profile and list the systems and risks it commonly contains.
  • Define one core package and one optional extension with explicit inclusions and exclusions.
  • Inventory labor, software, security and overhead costs.
  • Set up time tracking by client and activity, even if the initial data is imperfect.

Days 31–60: document and test delivery

  • Write the service description, statement of work, escalation map and onboarding checklist.
  • Configure monitoring, ticketing, documentation, reporting and backup-verification workflows.
  • Run a pilot with a controlled environment and record every exception and unplanned task.
  • Recalculate unit costs using observed effort rather than assumptions.

Days 61–90: sell with guardrails

  • Present a small number of packages and a separate price for onboarding or projects.
  • Use an inventory and complexity assessment before issuing a final recurring quote.
  • Include review triggers, change control and client responsibilities in the agreement.
  • Schedule the first service and financial review before the contract starts.

Common failure modes and corrections

Failure Why it loses money Correction
Copying a competitor’s per-user rate Their labor, tooling, geography, scope and client mix may be different. Build your own cost-to-deliver model and use market information only as a reasonableness check.
Bundling projects into the monthly fee Migration and remediation work consumes concentrated capacity that recurring revenue cannot recover. Use a project statement of work or a clearly priced onboarding phase.
Calling support unlimited Demand and after-hours work become uncapped. Define hours, channels, response targets, exclusions and excess-use rules.
Ignoring non-technician labor Account management, reporting, documentation and sales assistance remain real costs. Allocate all delivery and overhead roles to the service line.
Adding tools or services too quickly Integration, training and quality-control effort grows faster than revenue. Run a capacity and workflow test, then price the added operating work.
Never revisiting the agreement Users, assets, risk and vendor costs change while the fee remains fixed. Use scheduled reviews and objective change triggers.
