Build a consistent brand by keeping a small set of identity rules fixed—such as approved logos, core colors, typography, layout principles, and voice—while adapting the design to each medium and use. A brochure, event banner, and website should feel related, not look like copies of one another.
Decide what stays consistent—and what can change
Write down the identity elements every contributor must preserve, then separate them from campaign or event choices that can flex. Autodesk’s official event guidance treats logo, colors, typography, grid, and event-name treatment as fixed elements, while allowing themes, imagery, and layouts to vary by event (Autodesk event brand guidance).
- Keep fixed: approved logo versions and their integrity, core colors, type choices, basic layout principles, and brand voice.
- Allow to vary: imagery, themes, proportions, and composition where the audience, format, or purpose calls for a different treatment.
HP’s visual identity guidance is another example of documenting practical usage rules, including logo sizing for print and digital, vector logo files, color formulas, and different font choices for office use versus digital software and websites (HP visual identity guidance). The point is not to force every channel into one layout; it is to make the recognizable elements clear enough that people do not have to reinvent them.
Inventory the places your brand appears
Before designing templates, list the recurring materials and experiences contributors need to produce. Include both the obvious pieces and the handoffs between them.
- Print: brochures, catalogs, print advertisements, point-of-sale materials, merchandise, and handouts.
- Events: registration materials, stage graphics, directional signs, session information, booth displays, and other physical surfaces.

Give every channel usable specifications and assets
A brand guide works best when it answers both “what is the rule?” and “which file should I use?” Keep approved source assets easy to find and identify the versions intended for common outputs. Include examples of correct use and, where mistakes tend to recur, examples of what not to do.
- Provide approved logo files in appropriate formats, with placement and sizing guidance for print and digital.
- Record the approved color values needed for screen and print workflows, and identify which values apply to which output.
- Name the typefaces or approved alternatives for the relevant environments, including web or software interfaces where applicable.
- Supply channel-ready templates for common formats, while making clear which elements are required and which can be adapted.
- Document constraints such as minimum legibility, clear space, image use, or partner approval when they matter to production.
HP’s published materials illustrate the value of offering vector logo formats and color formulas alongside usage instructions (HP visual identity guidance). For smaller teams, a shared folder and concise guide may be enough. With many contributors or outside partners, a managed brand portal may make permissions and current versions easier to govern; this is an implementation choice, not a universally superior tool.

Translate color and design for the output process
Color values are specifications, not a promise that every screen, printer, paper stock, or production process will render an identical result. Record the values appropriate to the intended outputs, then inspect a physical proof for important print work rather than relying on a screen preview alone. Design the event as an attendee journey

Plan them around sight lines, likely movement, viewing distance, and the actual venue. Digital and virtual materials should also help remote participants understand where to go and what to do.

Review real proofs and assign an owner
Before release, review the asset in the conditions where people will actually encounter it. A screen preview cannot show exactly how a sign reads from across a room or how a printed color appears on its intended stock.

- For events: check sight lines, legibility, placement, and attendee movement in the venue or a realistic layout.
