Back up Xbox data in two separate ways: supported game saves synchronize between the console and Xbox cloud storage, while screenshots and video clips must be exported from the Captures app. Keep the console online and signed in to the same Microsoft/Xbox account before moving to another console. For media you want to keep, copy it to OneDrive or an external USB storage device rather than leaving it only on the Xbox network.

What gets backed up automatically—and what does not

Xbox treats game progress and game media as different types of data. A supported game’s save is stored locally first and synchronized with Xbox cloud storage when the console is connected. That synchronization is what normally restores progress on another Xbox. Screenshots and video clips are managed separately in the Captures app. They are not protected by the game-save synchronization process, so you need a separate export or backup workflow for them.

  • Game saves: local save data plus cloud synchronization for supported titles.
  • Screenshots and clips: media managed in the Captures app and copied to OneDrive or external storage when you want a lasting archive.

This distinction matters when replacing a console, resetting one, or trying to preserve older clips. A cloud-synced save can usually be restored by signing in and allowing synchronization to finish. A capture that remains only in the Xbox capture service is subject to that service’s retention policy and should be exported independently.

How Xbox game-save synchronization works

Microsoft describes Game Saves as local-first storage with cloud synchronization. While you play, the console writes progress to its local storage. When it has an internet connection, Xbox can upload newer local data, download newer cloud data, or ask you to resolve a conflict if both copies changed. Offline play continues using the local copy; the console synchronizes that data after connectivity returns.

  • Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.

Synchronization is designed to happen in the background, but you should allow it to complete before shutting down, disconnecting the console, or beginning a move to another device. A game that has just been played may still have pending data. Closing the game and leaving the console connected gives the service an opportunity to finish the upload.

Before you change consoles

  1. Connect the current Xbox to the internet.
  2. Sign in with the Microsoft/Xbox account that owns the game progress.
  3. Open each recently played game and let its synchronization finish before switching devices. If the game or console displays a synchronization status, wait for it to complete.
  4. On the replacement Xbox, sign in with that same account and install or start the game.
  5. Allow the replacement console to complete its cloud synchronization before playing far enough to create new progress.

The same-account requirement is important: cloud saves are associated with the account and the title, not simply with whoever is holding the controller. If a different account is used, the expected progress may not appear.

When a save-conflict dialog appears

A conflict means Xbox found a local copy and a cloud copy that both changed. The console cannot safely assume that the newest device contains the progress you want, so it asks you to choose. Compare the timestamps and the visible progress information, then select the copy that represents the desired state. Do not automatically choose the replacement console’s local copy simply because it is the device you are using; it may be an older or newly created file.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If you are uncertain, stop before confirming a choice and determine which session was your last successful play. A conflict decision can replace the other version, so treating the dialog as a routine “newest device wins” prompt can discard progress.

Back up Xbox screenshots and clips before they disappear

Xbox announced on September 27, 2023, that game captures stored on the Xbox network will be deleted after 90 days. The announcement from Jonathan Hildebrandt, Principal Group Product Manager, Xbox Experiences, says users should back up clips and screenshots they want to keep indefinitely. The 90-day rule applies to captures left on the Xbox network; it does not describe files that you have already copied to your own OneDrive storage or an external drive.

Use the console’s Captures app to move media out of that retention window. Xbox’s documented navigation path is:

Xbox button → My games & apps → See all → Apps → Captures

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

From Captures, use the backup and management flow to select media and bulk upload or move it. Xbox names two supported destinations for this purpose: OneDrive and an external storage device. You can handle a few important files individually or use the bulk tools when an account contains a large backlog.

Export captures to OneDrive

  1. Press the Xbox button on the controller.
  2. Choose My games & apps, then See all.
  3. Open Apps and launch Captures.
  4. Use the Captures app’s backup or management controls to select screenshots and clips.
  5. Choose OneDrive as the destination and start the upload. For a large collection, use the bulk-upload option instead of repeating the operation for every file.
  6. Wait for the transfer to finish before deleting local or network copies.

Xbox also offers automatic OneDrive backup for future captures. Enabling that option in the Captures app means new media can be sent to OneDrive without requiring a separate manual upload each time. The exact amount of storage and any account limits are determined by your OneDrive account; the Xbox announcement does not establish a particular capacity or price.

Important OneDrive setting caveat

Microsoft Support’s article “Save screenshots to OneDrive automatically” describes OneDrive’s general screenshot-folder behavior, not the Xbox Captures app. That support article says the general OneDrive Save screenshots to OneDrive setting is no longer available and advises making sure the Pictures folder is included in OneDrive for that workflow.

Do not use that Windows setting as a substitute for the Xbox process. For Xbox screenshots and clips, configure the backup from the Xbox Captures app, then verify the resulting files in OneDrive. The two workflows have similar names but operate in different places.

Copy captures to an external USB storage device

An external USB storage device is the direct option when you want a physical, offline copy of screenshots and clips. In the Captures app, open the backup or management flow, choose the external-storage destination, select the media, and start the move or copy. Keep the device connected until the operation reports completion, then open the drive on a computer or compatible device to verify that the files are present.

Xbox’s cited announcement identifies an external storage device as a destination but does not specify a current retail model, filesystem, minimum capacity, or a universal compatibility certification. Before buying, check the drive listing against your console’s supported storage requirements and estimate the space needed for your own capture volume. A drive intended only for a small screenshot archive has different capacity needs from one holding many high-resolution videos.

Label the drive and store it separately from the console if it is your archival copy. An offline drive protects against an online-retention deadline, but it can still be lost, damaged, or overwritten; for irreplaceable media, a second copy in another location is safer.

OneDrive or an external drive: which destination fits?

Consideration OneDrive External storage device
Xbox-supported capture destination Yes; named by Xbox for capture backup Yes; named by Xbox for capture backup
Connection model Online upload and account-based access Direct copy to a physical USB device
Automatic future capture backup Available through the Xbox Captures app Requires connecting the device and running the copy workflow
Offline copy Not while the files exist only in the cloud; download them for offline use Yes, once the files have been copied and the device is disconnected
Capacity and recurring cost Depends on your OneDrive account; the cited Xbox guidance gives no universal capacity or price Depends on the drive you choose; Xbox’s cited guidance gives no universal model, capacity, or filesystem
Best fit Convenient ongoing uploads and access from devices signed in to the account A tangible archive, offline access, or a copy kept separately from the account

You can use both destinations. OneDrive reduces the chance that a newly created capture is forgotten, while an external drive supplies an offline copy. The key decision is whether convenience and automatic uploads or physical separation from the online service matters more for a particular collection.

  1. Finish recent game sessions. Close or exit each game after saving, then leave the console online so local progress can synchronize.
  2. Check the account. Confirm that the current console and the replacement console use the same Microsoft/Xbox account.
  3. Resolve any save conflict deliberately. If a prompt presents local and cloud versions, compare progress and timestamps before choosing one.
  4. Open Captures. Follow Xbox button → My games & apps → See all → Apps → Captures.
  5. Prioritize irreplaceable media. Select family moments, achievement clips, or other files that cannot be recreated.
  6. Upload or move the selection. Choose OneDrive for online access, an external storage device for a physical copy, or both.
  7. Use bulk management for the remainder. The Captures app supports bulk upload and move operations, which is faster than handling a large collection one file at a time.
  8. Verify the destination. Check OneDrive from another signed-in device or inspect the external drive on a computer before deleting anything from the Xbox.
  9. Set up future protection. If OneDrive is your preferred destination, enable automatic OneDrive backup for future captures in Captures.
  10. Only then reset or disconnect the old console. Keep the old device available until both the save synchronization and media verification are complete.

Troubleshoot missing saves

The replacement console shows no progress

  • Confirm that you signed in with the same Microsoft/Xbox account used on the original console.
  • Connect the console to the internet and start the game so it can check cloud data.
  • Allow synchronization to finish instead of immediately creating new progress.
  • If a conflict appears, compare the local and cloud versions rather than selecting one reflexively.

Supported-title coverage matters: the documented Game Saves behavior applies to supported games. A title that does not use the expected save system may require its own account or transfer procedure, which is outside the Xbox Game Saves flow described here.

Recent offline progress is missing

Offline play keeps data locally until a connection is restored. Reconnect the original console, use the same account, and allow the game to synchronize before relying on the replacement console. If you moved devices before that upload occurred, the cloud copy may not contain the latest session, so the original local copy is the one to protect first.

Troubleshoot captures and screenshots

A capture cannot be found in Captures

Open Captures from the documented path and review the media there before assuming the file is gone. If it is present, start the backup or management flow and select the intended destination. If the file is no longer present on the Xbox network and more than the retention period has elapsed, the announced deletion policy may explain why it cannot be recovered from that service.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

OneDrive does not show the uploaded file

  • Return to Captures and check whether the upload or move completed.
  • Refresh OneDrive on another signed-in device and look in the location where uploaded captures were placed.
  • Do not rely on the general OneDrive screenshot setting; Xbox capture backup is configured in the Xbox Captures app.
  • For the general OneDrive screenshot-folder workflow, Microsoft Support advises including the Pictures folder in OneDrive because the old automatic screenshot setting is no longer available.

The external-drive copy is incomplete

  • Reconnect the drive and run the Captures backup or management operation again for the files that were not copied.
  • Keep the console powered and the drive connected until the operation finishes.
  • Inspect the drive on another device and compare the copied files with the selection made in Captures.
  • Check the drive listing against your console’s current storage requirements; the cited Xbox guidance does not provide a universal filesystem, model, or minimum-capacity rule.

What to remember

  • Game saves and captures are separate backup jobs.
  • Supported game saves use local storage plus Xbox cloud synchronization; internet access is needed for the cloud copy to update.
  • Use the same Microsoft/Xbox account on a replacement console and wait for synchronization to finish.
  • When local and cloud saves conflict, choose by progress and timestamps, not by device alone.
  • Manage screenshots and clips in Xbox button → My games & apps → See all → Apps → Captures.
  • Xbox names OneDrive and an external storage device as capture-backup destinations.
  • Export media you want to keep rather than leaving it only on the Xbox network, where Xbox announced a 90-day deletion policy.
