Use three separate safeguards for a PlayStation: PlayStation Plus cloud synchronization for saves, a FAT32- or exFAT-formatted USB drive for a local console backup and capture archive, and your signed-in Game Library for redownloading digital games. A PS4 can copy saved data directly to USB. A PS5 cannot copy individual PS5 saved-data files to USB, so use cloud storage, console-to-console transfer, or the PS5’s full Back Up and Restore workflow instead.
This arrangement protects against different failures. Cloud data survives a lost or broken console, a USB backup gives you a local recovery copy, and the purchasing account—not a USB file—proves your entitlement to download digital games again.
The three layers you need
Save files, media captures, and game licenses are handled by different PlayStation systems. Treating them as one kind of backup creates gaps.
| Layer | What it protects | Where recovery happens | Important limitation |
|---|---|---|---|
| PlayStation Plus cloud storage | PS4 and PS5 saved games | Download to a replacement or reset console after signing in | Requires an active PlayStation Plus benefit and successful synchronization |
| USB console backup | Console settings, selected games and apps, saved data, and captures supported by the backup process | Back Up and Restore on a compatible console | PS5 does not allow copying an individual PS5 save from console storage to USB |
| Game Library | Digital game downloads and ownership access | Sign in to the purchasing account and download again | It does not contain your save files or replace cloud/USB backups |
Use more than one layer for anything you cannot replace. For example, let a frequently played game synchronize to the cloud, include the console in a periodic USB backup, and keep irreplaceable screenshots and clips in a separate USB archive.

Prepare before copying anything
Check the account you will need later
Confirm the email address, password, sign-in method, and two-factor-authentication recovery details for the account that purchased your digital games. A replacement console can only show that account’s purchases after you sign in to it. Store recovery codes somewhere other than the console or the drive you are about to back up.
Choose a compatible USB drive
For a PS4 or PS5 console backup, format the drive as FAT32 or exFAT. The drive must have enough free space for the categories you select. Sony’s PS4 guidance says the drive should have at least twice the space required by the backup file, so check the estimated backup size and leave that margin available.
Do not confuse a backup drive with a USB extended-storage drive used to install games. Sony’s supported extended-storage guidance lists 250 GB as the minimum and 8 TB as the maximum for a game drive. Extended storage is primarily a game-storage solution; it is not automatically a safe copy of your saves, settings, or captures, and its format requirements differ from those of a PS5 backup drive.

Sync trophies first
Trophies are not included in a PS4 USB backup. Open the console’s trophy area and synchronize before starting the backup so that your earned trophies are associated with your account. Trophy synchronization is separate from saved-game copying.
Finish or pause active game activity
Close games and wait for downloads or updates that could change the data being copied. Connect the console to power, connect the USB drive directly rather than through an unpowered hub, and avoid removing it until the console reports completion.

Back up a PS4 to USB
A PS4’s documented backup can contain games and applications, saved data, screenshots and video clips, and system settings. It is a broad console image rather than just a folder of saves.
- Connect a FAT32- or exFAT-formatted USB drive to the PS4 and verify that it has the required free space.
- Open Settings > System > Back Up and Restore > Back Up.
- Choose the categories to include. If the drive is large enough, include saved data and captures as well as settings and applications.
- Start the backup and leave the console connected until the completion confirmation appears. A progress screen or activity light is not a substitute for the console’s completed message.
- Eject the drive through the PS4’s USB-device removal option before unplugging it.
What the PS4 backup gives you
- Saved data: the local game progress stored on the PS4 at the time of the backup.
- Games and applications: installed software, subject to the capacity of the backup drive and the restore process.
- Captures: screenshots and video clips selected by the backup workflow.
- Settings: console configuration that can reduce setup time after a restore.
Because trophies are excluded, synchronize them separately before you begin. Also keep a cloud copy when possible: a USB drive can be lost, damaged, overwritten, or corrupted along with the console.
Restore a PS4 backup
On the replacement or reset PS4, open Settings > System > Back Up and Restore > Restore, connect the drive containing the backup, and select the backup set. Restoration can overwrite data currently on the console, so read the confirmation screen carefully. If you only need a particular save and have PlayStation Plus synchronization available, downloading that save may be less disruptive than restoring the entire console.
Back up a PS5—and understand the save-data boundary
For a complete PS5 console backup, use the system software’s Back Up and Restore tool:
- Connect a FAT32- or exFAT-formatted USB drive with more free space than the selected backup requires.
- Open Settings > System > System Software > Back Up and Restore > Back Up Your PS5.
- Select the available categories, which Sony identifies as games and apps, saved data, screenshots and video clips, and settings.
- Start the process and wait for the console to confirm that the backup is complete before disconnecting the drive.
- Eject the USB device from the console’s storage controls.
There is a critical distinction between this full-console backup and an individual save-file copy. Sony separately states that PS5 saved data cannot be copied from the PS5 console to a USB drive. In practical terms, you cannot browse to a PS5 save and export it as a standalone file the way you can with PS4 saved data. Use the full Back Up Your PS5 workflow for a restorable console backup, or use PlayStation Plus cloud storage or console-to-console transfer when you need to move PS5 saves between systems.

Moving PS5 saves to another console
For a nearby replacement or an upgrade, the console-to-console transfer tool is designed to move data directly between compatible consoles on the same network. Keep both consoles powered and follow the on-screen transfer prompts. If the original console is unavailable, a synchronized PlayStation Plus save can be downloaded after you sign in on the replacement. A USB extended-storage game drive does not change this rule: it stores games, not an individually exportable PS5 save.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsRestoring a PS5 backup
On the destination PS5, open Settings > System > System Software > Back Up and Restore, connect the backup drive, and choose the restore command. Review the warning about existing data before confirming, because a full restore can replace content on the destination console. Keep the drive connected until the system reports completion.
Save screenshots and video clips safely
Use the console backup as a second copy
Both the PS4 and PS5 backup descriptions include screenshots and video clips among the categories the backup can preserve. Select that category when creating a console backup, but do not treat the backup as your only media archive. A failed drive, an accidental overwrite, or a restore operation can make a single copy unavailable.
Export irreplaceable PS5 captures
Sony’s PS5 support material identifies screenshots and video clips as copyable data. From the PS5’s Media Gallery, select the capture, open its options, and choose the USB-copy command shown by your current system software. Menu labels can change with updates, so follow the wording displayed on the console. Copy a small test file first, open it on a computer or another device, and then export the rest.
Maintain a separate capture archive
Keep exported captures in a folder structure that identifies the console, year, and game. Use a second local location for unique clips—another drive or a computer—rather than leaving every copy attached to the PlayStation. Before deleting a capture from the console, verify that the exported file opens and that the USB drive was safely ejected.

Use PlayStation Plus cloud saves correctly
PlayStation Plus cloud storage is the off-console layer that helps when a console is lost, stolen, damaged, or replaced. Sony’s current support guidance lists 100 GB of PS5 saved-data storage and 100 GB of PS4 saved-data storage, with a 1,000-file limit for PS4 saved data.
Enable automatic synchronization
On current system software, look in Settings > Saved Data and Game/App Settings for the saved-data synchronization controls. Enable automatic sync for PS5 saves and allow the console to connect to the internet in rest mode when the setting is offered. The console must be online for a new save to reach the cloud.
After a major play session, leave the console online long enough to synchronize. If a game shows a newer local timestamp than the cloud copy, do not select an older cloud file blindly; check which version contains the progress you want to preserve.
PS4 games played on a PS5
PS4-game saves used on a PS5 can upload automatically, but Sony notes that they may require a manual download to PS5 console storage before the game can use them. If a PS4 game starts without your progress on the new console, open the saved-data controls, select the PS4 saved-data cloud storage, and download the required file to console storage.
Verify the cloud copy
- Check the last-synchronized time for the game after closing it.
- Resolve any sync conflict by identifying which local or cloud timestamp is newer.
- Keep the original console online until the upload completes before resetting or selling it.
- Do not exceed the PS4 cloud file limit; remove obsolete files only after confirming that you no longer need them.
Recover digital games and download licenses
Digital ownership is tied to the purchasing account. A USB backup does not transfer a license to another account, and a saved game does not prove that a game can be downloaded.

- On the replacement PlayStation, sign in with the account that bought the games.
- Open Game Library and switch to the purchased or owned-games view.
- Select each title and choose the download option. Reinstall any required add-ons from that account’s library as well.
- After installation, start the game and confirm that the downloaded or transferred save appears.
Keep the purchasing account’s credentials and two-factor-recovery details available before you dispose of the old console. If a title appears with a padlock or is absent from the library, first confirm that you are signed in to the buying account and that the transaction was completed on that account. The Game Library path restores downloads; it does not restore saves, captures, or settings.
Choose the right USB setup
| Use case | Drive and format | What it can do | What it cannot replace |
|---|---|---|---|
| PS4 full backup | FAT32 or exFAT; Sony advises at least twice the backup-file size in free space | Back up selected games/apps, saves, captures, and settings | Trophy synchronization and cloud redundancy |
| PS5 full backup | FAT32 or exFAT; size must exceed the selected backup requirement | Back up the categories offered by Back Up Your PS5 for later restoration | Standalone copying of an individual PS5 save |
| USB extended storage for games | Supported game-drive specification; Sony lists 250 GB minimum and 8 TB maximum | Store and move compatible game installations | A general-purpose save backup or license record |
| Capture archive | FAT32 or exFAT USB storage with room for exported media | Keep independently viewable screenshots and clips | Automatic protection against loss unless you maintain another copy |
Buy capacity based on the data you actually intend to preserve, not only the console’s installed-game size. Video clips can consume space quickly, while a save-only archive is comparatively small. Label each drive with its purpose and date, and keep it disconnected when you are not backing up to reduce accidental formatting or overwrite.
Recovery plans for common failures
The console is lost or will not power on
Sign in to a replacement console, download cloud saves, and redownload digital games from Game Library. Your USB backup can restore additional PS4 content or a full PS5 console state if it was completed before the failure. Captures that were only on the dead console cannot be recovered without a backup or separate export.
You are replacing a working console
Leave the old console online, synchronize cloud saves, create the appropriate USB backup, and export unique captures. On the new console, use console-to-console transfer for PS5 data when both systems are available; otherwise use the cloud and restore workflows. Verify a game’s save and a sample capture before erasing the old system.
A save is missing after restoration
Check whether it is a PS4 or PS5 save. A PS4 save may be in cloud storage but still need a manual download to console storage on PS5. An individual PS5 save cannot be extracted from USB, so check the cloud timestamp or repeat console-to-console transfer rather than searching the drive for a standalone file.
A USB drive is not recognized
- Confirm that the drive is formatted FAT32 or exFAT for the backup workflow.
- Try a direct connection to another USB port and remove other USB devices temporarily.
- Check free space against the required backup size; for PS4, preserve the documented two-times margin.
- Do not reformat a drive containing the only copy of captures until those files have been opened elsewhere.
A digital game is unavailable
Open Game Library while signed in to the purchasing account, not a secondary account that merely used the console. Confirm the game is listed as owned and that the console is online. Do not expect a USB backup or cloud save to grant ownership to a different account.
Quick Recap
Maintenance schedule and final checklist
- After important play sessions, allow automatic cloud synchronization to finish.
- Before a console reset, sale, repair, or move, synchronize trophies and saves.
- Periodically create a fresh PS4 or PS5 USB backup and wait for its completion confirmation.
- Export irreplaceable screenshots and clips to a separate USB archive, then verify sample files on another device.
- Keep at least one backup disconnected from the console and maintain a second location for unique media.
- Label drives with their format, purpose, and backup date; never format one until its contents are duplicated or no longer needed.
- Keep purchasing-account credentials and two-factor recovery information accessible for Game Library redownloads.
