Use three separate layers: copy each game’s real save folder, preserve its Steam Cloud files when available, and make Steam’s installation backup separately. Steam Cloud is title-specific synchronization—not a guaranteed archive—and Steam’s Backup Feature can omit saved games. Keep at least two dated copies outside the Steam installation, then restore with Cloud disabled until you have verified the recovered museum progress.
What Steam backs up—and what it may leave out
Steam offers several different mechanisms that are easy to confuse. A reliable preservation plan treats them as separate jobs rather than assuming one button captures everything.

Steam Support explains that developers can completely customize how Steam Cloud is used, including which user files are uploaded. A Store page showing the Steam Cloud feature therefore does not prove that every save, profile, or configuration file is protected. Check each title’s Store page and the developer’s documentation before deciding that Cloud alone is sufficient.

That convenience is useful, but synchronization can also propagate an unwanted state. If a damaged, empty, or older local file is treated as the newest version, Steam may upload it; if Cloud is considered newer, Steam may download it and replace a local copy. Independent, dated archives are the control you retain.

Build an inventory for every museum title
Start with a small record for each game instead of copying a single, unexplained Steam folder. A museum collection may contain titles from different developers, operating systems, and eras, each with a different save design.
- Game name and edition.
- Steam app ID, as it appears in that game’s Steam userdata directory.
- Operating system and the computer on which the save was created.
- Steam installation location.
- Whether the Store page advertises Steam Cloud.
- The developer’s documented save location and any separate profile, mod, or configuration folders.
- The date and time of the last verified play session.
Do not infer Cloud coverage from another game by the same publisher. Do not assume that a game in a museum collection uses Cloud simply because it runs through Steam. Record the title’s own documentation and note whether you found a local save folder, a Cloud directory, or both.
Find the actual save files
Close the game before searching. Many games write progress only when a checkpoint is reached or when the process exits normally. After quitting, allow Steam to finish any pending synchronization, then exit Steam itself before making the copy.
Common Windows locations
Look in the user’s Documents or My Games folder, AppDataLocal, AppDataLocalLow, AppDataRoaming, Saved Games, and the game’s installation directory. A title can use more than one of these: for example, a profile may be in AppDataRoaming while large world files sit in DocumentsMy Games. Copy the complete game-specific folder rather than only the file with the newest timestamp.
Common macOS locations
Check ~/Library/Application Support, ~/Documents, and any game-specific folder documented by the developer. The Library folder is hidden by default in Finder; use Finder’s Go menu while holding Option to open Library, then navigate to Application Support. Preserve the enclosing folder structure so a later restore can reproduce the path exactly.

Common Linux locations
Check the game’s directory under the home folder, the platform’s XDG data locations, and any title-specific directory documented by the developer. Linux games can store data in hidden directories, so enable hidden-file viewing in the file manager or use a terminal listing. Keep case and punctuation in filenames unchanged.
The Steam userdata tree
Cloud-enabled titles normally have files under the Steam account and app-ID hierarchy:

Inside userdata, the first numeric directory identifies the Steam account and the next identifies the game’s app ID. Copy the relevant account/app-ID directory with its filenames and timestamps intact. Do not rename numeric folders to the game’s title; those names are how Steam associates the files with an account and application.
Steamworks documentation also allows Auto-Cloud to use platform roots such as Documents, AppData, Saved Games, macOS Application Support or Documents, and Linux home or XDG data paths. Consequently, a game may have Cloud-managed files outside userdata. The developer’s path instructions take precedence over a generic folder list.
Create a durable local save archive
A local archive is the copy you can inspect and restore without relying on a server or a client decision. Use a dated folder outside the Steam installation, and keep a second copy on removable storage that is disconnected when you are not using it.

- Finish a clean session. Save in the game, return to its main menu if the title uses one, quit the game, wait for the process to disappear, then exit Steam. This lets pending writes finish.
- Copy every documented save location. Include the complete game-specific folder from Documents, AppData, Saved Games, the installation directory, or another developer-defined path. If you found more than one location, preserve each one.
- Copy the Cloud directory separately. For a Cloud-enabled title, include the account/app-ID directory under the operating system’s Steam
userdatapath. Keep its original hierarchy and file timestamps. - Name the archive unambiguously. A useful pattern is
GameName_YYYY-MM-DD_HH-mm_OS. Add a short text note with the app ID, Steam account identifier, source computer, and the original paths. - Verify the copy. Open the dated archive and confirm that files are present, have plausible sizes and modification times, and can be read from the removable drive. A folder that merely contains an empty directory is not a successful save backup.
- Make an independent second copy. Store it on a separate external hard drive or USB SSD, not in the same Steam library or on the same always-connected disk. At least two dated copies reduce the chance that deletion, corruption, or a mistaken restore destroys the only version.
Do not edit, open in a text editor, or “clean up” save files in the archive. Some games use binary or encrypted formats, and even a small change can make a file unusable. Keep the original copy immutable and work from a duplicate when experimenting.

Use Steam’s installation backup as a separate layer
Steam’s Backup Feature is useful for preserving installation data, especially when a museum machine must be rebuilt. It is not evidence that saves were included.
- Open Steam Library.
- Open the game’s Properties.
- Choose Installed Files.
- Select Backup game files and choose an external destination.
- After the archive is created, copy it to your preservation storage and record the date and the game edition.
Valve’s support documentation states: “Backups for Valve created games will not include saved games, custom multiplayer maps or configuration files.” Other games may also omit saves, so always retain the manual save-folder archive even when the installation backup completes successfully.
To use the installation archive later, choose Steam > Restore Game Backup. Restore or install the game first, then handle save files as a separate operation. Keeping installation archives and save archives in separate dated folders makes it clear which can reinstall software and which contains irreplaceable progress.
Restore a museum save without overwriting the wrong version
Restoration should be conservative: preserve what is currently on the computer, stop Cloud from changing files while you work, restore one known archive, and verify it before reconnecting synchronization.

- Install or restore the game. Use Steam normally or select Steam > Restore Game Backup if you have an installation archive. Launching once can create the expected folder structure, but do not begin a new campaign if you are trying to preserve an existing one.
- Make a safety copy of current files. Before replacing anything, copy the current local save folder and the current Steam account/app-ID directory to a separate folder named with the restoration date. This gives you a way back if the archive is incomplete or belongs to another edition.
- Disable Cloud for this title temporarily. In the game’s Steam Properties, turn off its Steam Cloud synchronization. The goal is to prevent an automatic download or upload while archived files are being placed.
- Restore the original paths. Copy the archived save folders back to the same locations from which they were taken. Preserve directory names, filenames, permissions where applicable, and timestamps. Do not merge files casually: if the archive contains a complete folder, replace the corresponding working folder only after its safety copy exists.
- Launch with synchronization disabled. Start the game offline or with Cloud still disabled. Load the expected profile and inspect the museum progress, unlocked exhibits, settings, and recent save date. Walk through more than the title screen; a game can start successfully while silently ignoring a misplaced save.
- Quit cleanly and inspect. Exit the game normally and confirm that it wrote back to the restored location. If the game created a new empty profile, stop and compare the path, edition, account, and filename casing before trying again.
Resolve a Steam Cloud conflict deliberately
If Steam displays a conflict, do not choose an option solely because it is labeled “newer.” Compare the displayed modification dates with the dated archive and your play history. A timestamp can reflect a sync or file copy rather than the moment meaningful progress was made.
- Choose the local version when the verified restored files contain the museum state you want to preserve.
- Choose the Cloud version only when you have inspected it, or when your documented play history shows it is the desired state.
- Keep both before deciding by copying the local restored folder and the Cloud-related folder into separately named archival directories.
Re-enable Cloud only after the local restore has been tested. Once synchronization resumes, Steam can upload the restored files or download a different version depending on the client’s conflict decision. If the wrong choice has already been made, immediately disable Cloud again, preserve the files now present, and return to the dated archives rather than repeatedly launching the game.
Cross-platform restoration requires extra caution
A save copied from Windows to macOS or Linux may not be usable even when the game supports all three systems. Cloud coverage can differ by platform, paths can change, and a title may store platform-specific configuration beside the progress file. Steam Cloud’s cross-platform behavior is determined by the game’s implementation, not by Steam’s existence on both computers.
- Keep the original operating-system label in every archive name.
- Restore into the destination platform’s documented path rather than pasting a Windows path verbatim.
- Preserve a copy of the source-platform files before testing a cross-platform conversion.
- Test with Cloud disabled first, then decide whether the verified destination files should be synchronized.
If the title has separate editions, branches, or launchers, confirm that the app ID and edition match. A correctly copied file can appear missing when it is placed under a different app-ID directory or read by a different edition.
Troubleshoot common failures
The game starts with no museum progress
Check that you copied the complete save folder, not only a configuration file; that the path matches the developer’s instructions; and that the game is using the same edition and Steam account. Compare the restored file timestamps and sizes with the dated archive. If the title created a new folder on launch, quit, preserve that new folder, and inspect whether the archived files belong one directory level higher or lower.

Steam immediately downloads an unwanted save
Quit the game and disable Cloud for the title before launching again. Preserve the files Steam downloaded, then restore your verified archive while synchronization is off. Do not keep testing by launching with Cloud enabled, because each launch can change which copy Steam considers current.
The Steam Backup archive contains the game but not the saves
This is expected for Valve-created games and can occur elsewhere. Use the independent save-folder archive. The installation backup can still reduce reinstall time, but it cannot substitute for a save archive.
You cannot find a save in the usual folders
Search the developer’s documentation and inspect the Steam userdata account/app-ID directory. Also check Documents, AppData variants, Saved Games, the installation directory, macOS Application Support or Documents, and Linux home or XDG data paths. Some titles use a custom location or more than one folder; record every path you confirm.
The only copy is on a failed or wiped computer
Steam Support can explain how Cloud works, but its support documentation says it cannot recover lost saves or resolve Cloud conflicts for you. If the title did not upload the needed files and no independent archive exists, the progress may be unrecoverable. This limitation is why a disconnected, dated copy matters even when Cloud appears to be working.
A preservation routine for a long-lived collection
After the first successful backup, make preservation repeatable rather than waiting for a crisis.
- Back up after a significant museum milestone and before moving the collection to another computer.
- Keep at least two dated copies, with one disconnected from the gaming PC.
- Never overwrite the previous dated archive; create a new folder for each backup session.
- Periodically test a restoration on a spare installation or separate machine with Cloud disabled.
- Record the operating system, app ID, edition, source paths, and verification result beside each archive.
- When retiring a computer, perform one final clean exit of every game and Steam before copying files.
A tested restore is more informative than a successful copy operation. If a spare installation can load the expected profile and museum progress from the archive, you know the path and file set are usable. If it cannot, you still have the original dated copies to investigate without risking the working collection.
Why independent archives remain necessary
Steam Cloud is optional and game-specific. Developers choose which files are uploaded, and a title can change its path or synchronization behavior between versions. Steam’s installation backup addresses software distribution rather than personal progress. Neither system guarantees a complete, permanent record of a museum game’s state.
