Keep your recipes on your computer, but make a separate, encrypted copy on removable storage—and test that you can restore it. For stronger protection against theft, fire, or other damage at home, keep another copy in a different location. A backup is not complete if it omits recipe photos, notes, or other attachments, or if you cannot open the saved files.
1. Find everything the recipe collection includes
Start with the recipe app’s own backup or export options and its documented local storage location. Do not assume that copying one database file captures the entire collection: photos, scanned clippings, notes, categories, and meal plans may be stored separately. The precise steps and export contents depend on the app, so check its current documentation rather than relying on a generic folder path.
If the app offers a portable export, save one alongside a copy of its native database or library when practical. A dated export plus a short text note identifying the app, export date, and any known requirements for opening the format can help make the archive usable later. A portable export is not a substitute for the native data if it leaves out fields or attachments.
2. Make a private, separate local backup
- Choose removable storage. An external hard disk or SSD can hold a local copy and be disconnected when the backup is done. Check that it has room for the complete library and attachments.
- Enable encryption. An external drive is not automatically encrypted. Use the drive’s encryption feature or an encrypted archive or backup process. Store the password or recovery key separately from the drive, somewhere you can retrieve it; losing that credential can make the backup inaccessible.
- Copy the collection. Use the recipe app’s backup/export process if it captures the needed data, or follow the app’s documented instructions for copying its library. Include exported files and attachments as applicable.
- Disconnect the drive. Once the backup finishes, eject and unplug it. A connected backup can be exposed to the same accidental deletion or malware event as the computer.
- Record what you saved. Keep a brief note with the backup date, app name, contents, and how to restore or open the archive. Do not put an unprotected password or recovery key in that note.
CISA recommends backing up local data to an external drive or vetted cloud service, encrypting data, keeping recovery credentials safe, and disconnecting the drive when it is not being used for backup (CISA guidance on protecting device data). Northern Ireland’s Cyber Security Centre also recommends practicing a restore so you know how to recover when needed (Backing up your data).

3. Decide how many copies and where to keep them
A second copy on another device protects against failure or loss of the computer, but a single backup drive can itself be lost, stolen, damaged, or corrupted. The National Archives of Australia describes the 3-2-1 rule as “3 copies, 2 different types of storage media, and 1 of those backups in a different place.” It even uses family recipes as an example of material worth preserving (Storing your digital archive).
For a strictly local-only approach, use more than one removable drive and keep one in a separate physical location. That avoids cloud storage, but requires managing and updating both drives. New Zealand’s NCSC adds an offline copy in its 3-2-1-1 guidance; its recommendations are written for organisations, so treat them as adaptable controls, not a personal mandate (Implement and test backups).

For each copy, consider whether it is offline, how it could be lost or accessed, whether earlier versions are retained, and whether you can restore the files in a readable format. An ordinary synced folder is not necessarily an independent, versioned backup: UK NCSC advises protecting previous file versions when cloud synchronisation is used (10 Steps to Cyber Security: Data security).
4. Set a schedule and keep useful versions
Choose a schedule based on how often you add or change recipes and how much recent work you could afford to lose. You might back up after a major update or follow a recurring routine; there is no universal interval established for personal recipe collections. Keep earlier versions where your app or backup method allows it, so an unnoticed deletion or damaged file is not immediately copied over every good copy. New Zealand’s NCSC guidance covers backup frequency and retention, but is intended for organisations rather than prescribing a personal schedule (Implement and test backups).

5. Test that you can restore recipes
A successful copy operation does not prove that the archive can be used. Periodically restore a sample recipe to a safe location and check that its text, notes, tags or categories, and at least one relevant image or attachment are present and readable. Confirm that you can still open the export or native backup with the app or software it requires. Do not test by overwriting your only working collection.
- Can you locate the correct backup and identify its date?
- Can you access the encryption password or recovery key?
- Can you restore the recipe without replacing the original library?
- Are the recipe content and associated files readable after restoration?
Official guidance recommends testing restores, but the reviewed sources do not prescribe a specific test interval for a personal recipe archive. Repeat the check after changing the backup method or app, as well as during routine maintenance.

6. Protect the privacy of the archive
Consider what the collection actually contains. A recipe archive may include personal notes, dietary or health-related details, or family information, but the sensitivity depends on the individual collection. Encryption protects a lost or stolen drive only if it is correctly enabled and the recovery credentials remain usable. Keep those credentials separate from the protected copy, and limit access to any cloud account if you choose an off-site copy.
