Keep the computer’s original files, make a local backup to an external drive, and maintain another copy offsite—such as with a cloud backup service you have checked for suitable protection and recovery options. Disconnect the external drive between backup sessions and occasionally restore a file to confirm the backups work. This practical version of the 3-2-1 rule reduces the chance that one failure or incident will take out every copy; it is not a guarantee against data loss.

Why one external drive is not enough

An external drive can protect against a computer’s drive failing, but it remains a single backup point of failure. If it is lost, damaged, stolen, or reached by ransomware while connected, the computer and its backup may both be affected. A second copy kept in a different place or on a different storage type helps address risks that a local drive alone cannot.

US-CERT describes the 3-2-1 rule as three copies of data in total—one primary copy and two backups—on two types of media, with one copy stored offsite. Treat it as a practical rule of thumb, not a promise that every cause of data loss is covered. US-CERT’s Data Backup Options

A practical 3-2-1 setup for a computer

  1. Keep the original: Your computer’s working files are the primary copy.
  2. Make a local backup: Back up to an external hard drive. After the backup, disconnect the drive and store it somewhere safe until the next session.
  3. Keep another copy offsite: Use a cloud backup or storage service only after checking how it protects data and how you can recover it. A synced folder should not automatically be assumed to be a complete, independent backup.

CISA identifies external drives and cloud storage or backup as options. Its guidance warns against leaving an external drive connected when it is not actively backing up, because ransomware may reach the drive and delete or corrupt backups. How the backup options differ

The available guidance establishes the value of distinct media, an offsite copy, disconnected storage, and restore checks. It does not establish consumer prices, transfer speeds, particular drive capacities, or a universal best service.

Keep the local backup out of reach between sessions

Connect the external drive when you are making or updating the backup, then disconnect it and store it safely. An offline backup is less accessible to ransomware that affects the computer. CISA also recommends offline, encrypted backups; encryption can help protect data if a drive is lost or stolen, but keep the credentials or recovery key somewhere you can access when needed. Choose a backup schedule and verify recovery

Set a schedule that reflects how often your files change and how much recent work you could afford to lose. More frequent changes call for more frequent backups. There is no single schedule that fits every computer or workload.

Periodically restore a small, noncritical file to a separate location and open it. This checks both that a backup is available and that its contents are usable. Match the setup to what you need to recover

  • Individual files: Confirm that your backup process includes the important folders and that you know how to restore selected files.
  • A broader computer recovery: Check whether your chosen backup method covers what you would need to rebuild or restore the system, rather than only keeping copies of selected documents.
  • Limited time for manual backups: An automatic offsite backup can reduce the need to remember each session, while a removable local drive adds a separate copy that you can disconnect. Check both methods’ recovery behavior rather than assuming they cover the same needs.
  • Using a removable drive: Build connecting, backing up, disconnecting, and safe storage into the routine so the drive does not remain exposed between sessions.

Windows and macOS backup steps, cloud retention and version-history features, and recovery options vary by product and setup. Check the instructions for the operating system and service you actually use before relying on a particular recovery path.
