Open the ticket, select the paperclip or Manage Attachments control, choose the screenshot, click Attach, and then Close. The image should appear in the record’s attachment list and at the top of the form. Save or update the ticket if your instance requires it.
This is the dependable method for incidents, changes, problems, and other ServiceNow records. Directly pasting an image into a field is not a supported, consistently reliable workflow.
Before you upload
- Make sure you can edit the ticket. Read-only users cannot add an attachment.
- Save the screenshot as a file on your computer or device. PNG, JPEG, and WebP are common choices, but your organization may allow only specific extensions or MIME types.
- Remove passwords, tokens, personal data, customer details, or other information that people with access to the ticket should not see.
- Keep the ticket open in the ServiceNow interface your organization uses. Labels and placement vary by release, workspace, browser, and configuration.
Attach a screenshot to an existing ServiceNow ticket
- Open the record. Open the incident, change, problem, request, or other ticket that should contain the image.
- Open attachments. Click the paperclip icon. Depending on the interface, it may be labeled Attachments or Manage Attachments.
- Choose the file control. Click Choose Files or Browse; the wording is browser-dependent.
- Select the screenshot. Navigate to the image, select it, and confirm the selection in the file picker.
- Upload it. Click Attach. ServiceNow places the file in Current file attachments and normally shows it at the top of the form.
- Finish the record. Click Close to dismiss the attachment window, then save or update the ticket when your form requires a separate save.
If the upload succeeds but the list does not refresh, reopen the attachment window or reload the record after saving. Do not upload the same file repeatedly until you have checked whether it is already listed.
Can you paste a screenshot directly into ServiceNow?
Do not depend on copy-and-paste. ServiceNow employee guidance states that “the ability to copy and paste images is not a supported function.” Results can vary with the browser, device, form view, UI type, and whether the destination is an HTML field. A pasted image may appear temporarily, become a broken reference, or not be stored with the ticket at all.

Use the paperclip attachment workflow instead. If you need an image visible inside a rich-text field, use that field’s supported insert-image function only when your administrator has enabled it; keep the original file attached so investigators can download the evidence.
Adding a screenshot while creating a new ticket
Interfaces differ on whether a new record must be saved before attachments are accepted.
- Start the new incident or other record and enter the required fields.
- Look for the paperclip or Manage Attachments control. If it is available, upload the screenshot using Choose Files/Browse → Attach → Close.
- If no attachment control is available, save the record first, reopen it, and attach the file from the saved form.
- Confirm the file name appears in the attachment list before submitting or updating the ticket.
Your organization may hide attachments on particular forms or restrict them to certain roles. In that case, ask the ServiceNow administrator which record type and field should hold the image.

Attachment size, file types, and security limits
Attachment rules are instance-configurable. ServiceNow’s 2026 documentation cites 1024 MB (1 GB) as the default maximum attachment size for a new, out-of-box ServiceNow AI Platform instance. That is a default, not a guarantee for your organization: administrators can set a lower limit.
An upload can also be rejected because the extension is prohibited, the MIME type is disallowed, or security validation fails. Renaming a file extension does not convert its MIME type and may continue to trigger validation.
If the screenshot is too large
- Crop unrelated areas and remove unnecessary browser chrome.
- Export a PNG for text and diagrams, or JPEG for photographic content.
- Resize the image while keeping text legible.
- Ask whether your instance has a lower attachment limit before repeatedly retrying.
If the format is blocked
Export the image to an allowed format rather than changing only the filename. If you do not know the policy, ask the administrator which extensions and MIME types are permitted.

Why an attachment may not be visible to a customer
Uploading a file to the ticket does not automatically make it available to every requester. ServiceNow Service Portal guidance warns that customers who cannot log in may not be able to see or access attachments. Visibility depends on the portal, authentication, ACLs, record permissions, and attachment settings configured for your instance.
Before telling an external requester to open the image, verify the portal behavior with a test account or your administrator. If the requester cannot authenticate, provide only information your organization’s approved channel permits; do not place confidential data in an attachment merely because it is convenient.

The paperclip is missing
- Confirm you opened a record form rather than a list-only view.
- Check that your role can edit the record and that attachments are enabled for that table.
- Try the organization’s supported interface, such as the standard form instead of a restricted workspace, if your administrator permits it.
“Attach” does nothing or the upload fails
- Wait for the file picker to finish and check for a validation message.
- Try a smaller PNG or JPEG that complies with your instance’s policy.
- Check the file extension and MIME type; prohibited values are controlled by administrator attachment and security properties.
- Test a different browser only to rule out a local picker or extension problem; browser testing does not bypass ServiceNow policy.
The file appears, then disappears
- Make sure you clicked Close after attaching and saved or updated the record when required.
- Refresh the record and check Current file attachments.
- If it still vanishes, record the time, file name, and any error text for the ServiceNow administrator. A business rule, security policy, or storage problem may be removing or rejecting it.
The customer cannot open it
Check portal authentication and attachment ACLs rather than uploading another copy. Ask the administrator whether external users are allowed to read attachments on that record type.

The screenshot contains sensitive information
Delete the file from the ticket if policy allows, create a redacted copy, and attach the replacement. Treat screenshots as ticket data subject to the same retention and access rules as comments and fields.

Operational tips for useful ticket evidence
- Use a descriptive file name such as
checkout-error-2026-09-29.png. - Capture the full error message, relevant URL, timestamp, and enough surrounding context to reproduce the problem.
- Annotate a copy with arrows or boxes, but retain the unedited original when investigation or audit requirements call for it.
- Attach one image per observation when separate screenshots make the timeline clearer; avoid dozens of near-identical files.
- Put a short explanation in the work notes or comments because an attachment alone may not explain what the agent should inspect.

Where does the uploaded screenshot appear after attaching it?
It should be listed under Current file attachments and normally shown at the top of the record form. Refresh or reopen the attachment window if the list does not update.
Does attaching a screenshot automatically notify the assignee?
Notification behavior is controlled by your ServiceNow instance’s workflows and notification rules; the attachment action itself does not establish a universal notification rule.
Can I replace an incorrect screenshot?
Attach the corrected file with a descriptive name, then follow your organization’s retention policy for deleting or keeping the incorrect attachment. Do not remove evidence without authorization.
