Teachers can use an AI playground safely when they keep identifiable student information out of prompts, work in a school-approved account, and verify the provider’s retention, training and access controls before experimenting. Use fictional or synthetic examples for demonstrations; redact names, student numbers, disability information, grades, behaviour records, health details and distinctive work. Treat every prompt and uploaded file as a potential copy of the data until the service’s contract and settings prove otherwise.
What an AI playground is—and why the prompt is not the whole privacy risk
An AI playground is a web or app interface for trying generative-AI models, usually with a text box, file upload, model selector and controls such as temperature or system instructions. It is useful for drafting lesson examples, generating differentiated practice questions, testing rubric wording and demonstrating how models respond to the same request.
The privacy exposure extends beyond what appears in the answer. A service may collect prompt text, uploaded files, account details, device telemetry and usage logs. Depending on the provider and contract, that information may be retained, reviewed by employees or contractors, sent to subprocessors, processed in another country, or used to improve a model. A browser privacy screen can stop a nearby person reading the display, but it cannot stop cloud collection or provider retention.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsRemoving a student’s name is therefore not a complete anonymisation method. A combination such as year group, rare medical accommodation, competition result, school club and an unusual sentence can identify one child to someone who knows the school. The safe objective is data minimisation: provide only what the model needs, and replace the rest with invented details.

Use this six-stage workflow before, during and after a session
- Classify the input. Decide whether the material contains direct identifiers (name, email, student ID), quasi-identifiers (small class, unique event, date of birth), protected or sensitive information (IEP or 504 details, health, safeguarding, behaviour or disciplinary records), assessment results, or identifiable student writing. If any category is present, stop and transform the material before opening the playground.
- Redact and substitute. Replace a real name with a fictional one, convert exact dates to broad periods, remove the school and location, and generalise rare circumstances. Rewrite a student paragraph into synthetic text that preserves the teaching problem without preserving the child’s voice. For example, ask the model to improve “a 180-word argumentative paragraph by a Year 8 pupil about recycling” rather than pasting the pupil’s actual paragraph.
- Sign in with an approved account. Use a district- or school-managed identity with role-based permissions and multi-factor authentication where available. Do not use a personal account for student work: personal accounts can place prompts outside the school’s administrative controls, make deletion difficult and blur responsibility when staff leave.
- Check the service at the point of use. Confirm which model and workspace are active, whether file uploads are enabled, and what the current privacy settings say about retention and training. A setting labelled “history,” “improve the model,” “share for review” or similar can change the exposure of every prompt. Capture the approved configuration in the school’s internal documentation rather than relying on a teacher’s memory.
- Review the output before sharing. Inspect generated text for accidental personal details, invented facts, stereotypes, discriminatory assumptions, unsafe advice and inappropriate material. Remove any output that echoes a real student’s information. AI-generated feedback is a draft for a teacher, not an authoritative assessment or pastoral record.
- Clean up and report. Save only approved, non-identifying teaching materials in school-managed storage with access controls. Do not leave identifiable prompts, downloads or screenshots on a shared computer. Sign out, close the session and follow the school’s deletion or incident procedure if sensitive data was entered by mistake.
What teachers should never paste into an unapproved playground
- Names, initials combined with a class, email addresses, usernames, student numbers or parent contact details.
- Individual education plans, 504 plans, disability accommodations, diagnoses, medication, counselling or safeguarding information.
- Grades, report comments, behaviour logs, disciplinary notes, attendance patterns or allegations.
- Unpublished student work when its wording, topic or event makes the author recognisable.
- Photos, scanned worksheets, audio, video or metadata that reveals a child, classroom, filename or location.
- Any mixture of details that could identify a child even after the obvious name has been removed.
If a task genuinely requires individual data—for example, checking a mark calculation—use a school-approved system whose contract and technical controls cover that purpose, or perform the calculation locally without sending the record to a general-purpose playground.
How to create useful synthetic examples
Preserve the learning objective, not the pupil’s identity
Describe the skill and constraints in abstract terms: “Create three reading-comprehension questions for a 12-year-old reading at approximately this level.” Supply an invented passage, invented misconceptions and invented scores. If the lesson is about feedback, create a representative paragraph with two deliberate errors rather than using a real submission.

Break the link to distinctive events
Change names, pronouns, dates, places, team names and unusual quotations. Replace “the only student who…” with a generic scenario. Do not retain a rare combination of facts merely because each fact looks harmless in isolation.

Vendor and district due diligence: questions that need written answers
A “free” or popular playground is not automatically suitable for school use. The district should review the service, document the decision and train staff on the approved workflow. Ask the vendor or account administrator for precise answers to the following:
| Review area | What to establish | Evidence to retain |
|---|---|---|
| Data collected | Which prompt text, files, account fields, telemetry and device data are collected? | Current privacy notice, data inventory and administrator settings |
| Retention | How long are prompts, uploads, logs and backups kept? Is retention different for free, education and enterprise workspaces? | Contract language and configured retention period |
| Model training | Are prompts or files used to train or fine-tune models? Can that use be disabled technically and contractually? | Written commitment and a screenshot or export of the setting |
| Human and subprocessor access | Can staff, reviewers, contractors or subprocessors see content? For what purpose and under what confidentiality terms? | Subprocessor list, access policy and incident commitments |
| Deletion and export | Can administrators delete content and accounts, retrieve required records, and remove backups when an account closes? | Deletion procedure, service-level times and export format |
| Identity and audit | Does the service support school-managed single sign-on, role separation, multi-factor authentication and audit logs? | Configuration guide and sample audit events |
| Geographic processing | Where are data and backups processed, and can the school select a region? | Processing locations and transfer safeguards |
| Contract scope | Does the agreement limit use to the educational purpose, define security duties and require breach notification? | Signed data-processing agreement and renewal terms |
| Age and supervision | What minimum age, parental-consent, moderation and teacher-supervision requirements apply when pupils use the tool directly? | Terms of service and the school’s classroom procedure |
| Operational burden | Who approves accounts, handles deletion requests, monitors logs, trains staff and responds to an incident? | Named owner, training record and escalation path |
The UK Department for Education says a school privacy notice must explain how generative-AI tools collect, process and store data, and that personal data must be protected in the tool and not used to further train it. Read the current guidance at the Department for Education’s generative-AI data-protection guidance. The school’s documented decision should match the actual settings and contract, not just a marketing statement.

FERPA and education-record obligations
In the United States, FERPA generally restricts disclosure of personally identifiable information from education records without consent, subject to defined exceptions. A school relying on a vendor exception must ensure the provider performs an institutional function, uses the information only for the authorised purpose, does not redisclose it improperly and remains under the school’s direct control for that use. Review the U.S. Department of Education’s explanations of privacy and data sharing and privacy and education technology with the district’s privacy officer or counsel.
FERPA is not a universal approval stamp for every AI tool. The district still needs to define what data the service receives, limit access, document the agreement and provide the notices required in its jurisdiction. Schools outside the United States should apply their own education and data-protection law; the UK guidance above is a useful operational reference but does not replace local legal advice.

Separate experimentation from official school records
Use the playground to brainstorm or produce draft material, then move the approved, non-identifying result into the school’s managed learning or document system. Keep grades, pastoral notes and other official records in systems designed for those records, with role-based access and retention schedules. Do not treat a playground’s chat history as the school’s archive, and do not leave a browser tab open on a shared classroom computer.
For shared devices, sign out of the managed account, clear downloaded files and check the recycle bin or local downloads folder. A removable privacy filter, such as the viewing-angle product described by ZAGG’s documentation, can reduce shoulder-surfing from people beside the screen. It does not protect data sent to the provider, stored in the account or copied into backups.
If pupils use the playground themselves
Student access needs a separate decision from teacher experimentation. Confirm the provider’s minimum age and consent rules, whether the school or parent must create the account, what moderation is available and whether teachers can see or delete conversations. Provide supervised, school-managed accounts where possible; prohibit pupils from entering classmates’ information; and explain what to do if the tool produces sexual, hateful, threatening or personally revealing content.
Publish a short classroom rule set in language pupils understand:
- Use invented names and examples; never enter another person’s private information.
- Do not upload photos, recordings or full assignments unless the teacher has explicitly approved that tool and task.
- Tell the teacher immediately about unsafe output, a suspected disclosure or an account problem.
- Check AI work for accuracy and cite or label assistance according to the school’s academic-integrity policy.
What to do after an accidental disclosure
- Stop using the affected account or conversation and do not copy the content into another service.
- Record what was entered, when, which account and workspace were used, and whether the content was submitted, saved, shared or uploaded as a file. Preserve the minimum evidence needed for the authorised investigator.
- Use the service’s deletion controls and ask the administrator whether retention, backups, human review or subprocessors are involved. Do not assume that deleting the visible chat deletes every copy.
- Notify the school’s data-protection lead or incident channel immediately. They can assess notification duties, contact the provider and decide whether affected families or regulators must be informed.
- Review why the control failed, update the redaction checklist or account settings, and give the involved staff member a brief refresher before use resumes.
A practical go/no-go test for each new playground
- Go: the task uses synthetic or thoroughly redacted material; the account is school-managed; training use and retention are disabled or contractually prohibited; access, deletion and incident responsibilities are documented; and a teacher will review the output.
- Pause: the service’s retention, human-review, subprocessor or geographic-processing terms are unclear; the account is personal; or the task would require distinctive student details.
- No-go: the provider may use identifiable prompts for model training, cannot explain deletion, lacks an acceptable school agreement, or the activity involves sensitive records that the approved system does not cover.
Using an AI playground responsibly is a governance process, not a single privacy toggle: minimise the input, control the account, verify the provider, review the output and remove mistakes quickly.
