To dictate an email in Hostinger Reach, open the Reach dashboard, select the microphone beside the prompt field, speak your idea, and click Done. Reach transcribes the recording, turns the text into a campaign plan, and lets you revise that plan before creating the campaign. You can then edit the resulting template in Reach’s AI, Design, or Code tools, or switch to a library template or uploaded HTML when those starting points fit your workflow better.

What voice input in Hostinger Reach actually does

Reach’s microphone is an input method for its campaign-generation prompt; it is not a one-click send button. Your speech first becomes text. When you submit that text, Reach uses it to prepare a campaign plan containing the campaign details, the template it intends to use, and the target audience. You review that plan and can change it before selecting Create campaign.

This distinction matters when you are dictating a rough idea such as “announce our autumn maintenance service to existing customers.” The spoken sentence is not necessarily the final subject line, body copy, segmentation rule, or design. It gives Reach the brief from which to build those elements. Treat the transcription as a fast way to express the brief, then inspect every generated decision before publication.

Hostinger describes voice input as speech that is transcribed into text. With post-processing enabled, Reach can correct punctuation and remove filler words while retaining the original meaning and language. The cleanup is intended to make a spoken draft easier for the campaign generator to interpret; it does not guarantee that every brand term, product name, or dictated instruction will be recognised perfectly.

Before you start

  • Sign in to the Hostinger account that has access to Reach and open the Reach dashboard.
  • Use a computer with a working built-in microphone, headset microphone, or USB microphone. Hostinger’s instructions identify the microphone control but do not require a particular model.
  • Allow microphone access if your browser asks for permission. If access was previously blocked, use the browser’s site-permission control to enable it and reload the dashboard.
  • Prepare the information you want Reach to use: the campaign goal, audience, offer or announcement, timing, desired tone, and any required call to action.

A microphone is optional hardware guidance, not a separate Hostinger requirement. You can dictate through the computer’s integrated microphone or connect a USB microphone if clearer speech or a more comfortable recording position is important.

How to dictate an email template in Reach

  1. Open the Reach dashboard. Start from the main Hostinger Reach workspace rather than from an unrelated email editor. The prompt field is the entry point for an AI-generated campaign.
  2. Find the microphone icon beside the prompt field. The icon sits next to the text area where you would otherwise type the campaign request. Selecting it starts voice capture.
  3. Speak the campaign brief. State what the email should achieve, who should receive it, what information must appear, and what action readers should take. Speak in complete phrases and include exact spellings for names, URLs, prices, dates, or product terminology that must be preserved.
  4. Click Done when you finish. Done stops the recording and places a text transcription in the prompt field. Read the transcription before submitting it; a misheard number or product name can change the campaign outcome.
  5. Send the transcription. Select the send icon. Reach processes the transcribed prompt and generates a campaign plan rather than immediately publishing an email.
  6. Review the campaign plan. Check the campaign details, proposed template, and target audience. If any part is wrong or incomplete, choose Make changes, revise the instructions, and review the updated plan.
  7. Create the campaign only after approval. When the plan matches your intent, choose Create campaign. Continue with the available editor and publishing controls for the final template and send workflow.

How to speak a prompt that produces a useful plan

Voice input is fastest when you dictate a structured brief instead of improvising a paragraph. A practical order is:

  1. Goal: say whether the email is an announcement, promotion, onboarding message, event invitation, reminder, or another campaign type.
  2. Audience: identify the people who should receive it, such as new subscribers, existing customers, or attendees of a particular event.
  3. Core message: explain the offer, update, deadline, benefit, or story the email must communicate.
  4. Call to action: state the action you want readers to take, such as booking, registering, downloading, or replying.
  5. Voice and constraints: specify the tone, language, required terminology, and facts that must not be changed.
  6. Timing: mention a launch date, closing date, or seasonal context if it affects the copy.

For example, you might say: “Create a friendly English campaign for existing customers announcing our 15 November maintenance service. Explain that bookings close on 10 November, include the booking link exactly as spoken, and use a clear book-now call to action.” This is an example of a well-scoped instruction, not a promise that Reach will reproduce those words or dates without review.

Pause briefly between sections and spell uncommon names or codes. If a value is safety-critical or commercially significant, verify it in the transcription and again in the generated email. Voice recognition can confuse similar-sounding words, numerals, punctuation, and proper nouns.

What happens after you click Done

Reach creates a text transcription

Done ends the recording session and converts the captured speech into text in the prompt area. The transcription is the material Reach uses when you send the request. It is therefore the right place to correct a wrong word, remove an accidental sentence, or add details that were omitted while speaking.

Optional post-processing cleans the draft

Hostinger says that, when post-processing is turned on, Reach can fix punctuation and remove filler words while preserving the meaning and language of the original speech. Cleanup can make a conversational recording easier to read, but you should still check capitalization, brand names, quantities, dates, and links. Do not assume that a polished transcription has been fact-checked.

The send action generates a plan

The send icon submits the text to Reach’s campaign generator. The result is a reviewable plan with three important areas: campaign details, the template selected or proposed for the campaign, and the intended audience. This intermediate plan lets you catch a wrong audience or unsuitable design before campaign creation.

Reviewing and changing the generated plan

Read the plan as a specification, not merely as a preview of the wording. Confirm that:

  • the campaign purpose matches what you dictated;
  • the audience is the group you intended, with no unexplained broadening or narrowing;
  • the template suits the message and your brand;
  • dates, prices, product names, links, and calls to action are accurate;
  • the language and tone are appropriate for the recipients.

Select Make changes when any of those items needs adjustment. Give Reach a precise correction, such as “Keep the same audience, change the deadline to 10 November, and replace the call to action with Book a service.” Review the resulting plan again. Choose Create campaign only when the plan is ready; the documented flow places that action after the review step.

Creating the campaign does not remove the need for a final content check. Inspect the complete email in the editor you use, including mobile layout, links, legal text, sender details, and any personalization fields your account provides.

Other ways to start a Reach email

Voice dictation is one of three documented starting routes. Reach also supports AI prompts typed into the prompt field, templates from its library, and uploaded HTML. After a template exists, Hostinger documents AI, Design, and Code editing modes. Availability of particular editors or functions can depend on the current Reach interface or plan, so use the controls shown in your account.

Starting route Input speed Control over exact wording Likely editing effort Best fit
Voice dictation Fast for expressing a complete brief aloud Medium; recognition can alter words, punctuation, or numbers Review the transcription and generated plan, then edit the template People who think or work faster by speaking
Typed AI prompt Slower than speaking for long briefs, quick for short precise requests High at the prompt level Usually focused on refining the generated plan and email Exact instructions, quiet environments, or text already prepared
Template library Fast when a suitable structure already exists Starts with a predefined design and copy structure Replace content and adjust design to match the campaign Recurring formats and users who want a visual starting point
Uploaded HTML Fastest when an approved file is ready Highest control over existing markup Inspect the imported result and edit in the available Code, Design, or AI tools Teams with reusable HTML or an established email system

Choose voice when the bottleneck is expressing the brief. Choose typed text when exact wording is already available or a microphone is impractical. Choose the library for a proven layout, and upload HTML when preserving an existing design matters more than generating one.

Editing options after the plan

AI editor

Use the AI editing route for natural-language changes such as shortening a paragraph, changing the tone, or clarifying a call to action. Describe the desired change and then inspect the returned copy for factual accuracy and brand consistency.

Design editor

The Design editor is the visual route for adjusting the appearance of the template. Use it when spacing, sections, colours, images, or button presentation require visual inspection. Check the complete email rather than judging a single block in isolation.

Code editor

The Code editor is appropriate when you need to work directly with the email’s HTML. Preserve valid markup, verify links, and be cautious when changing table structures or inline styles used by email clients. Reach’s available editor labels and plan access can change, so follow the controls displayed in your account.

Uploaded HTML

If you already have a reusable HTML email, the documented HTML route lets you bring that starting point into Reach. After import, inspect the rendered result and make any required corrections in the available AI, Design, or Code editor before treating it as final.

Voice dictation compared with typing in real workflows

Speaking can compress a long planning session into a short recording, especially when the campaign idea is clearer in your head than on the keyboard. It is also useful for users who prefer voice interaction or have difficulty typing for extended periods. The trade-off is that you must proofread the transcription and the generated plan more carefully than you would a prompt copied from an approved document.

Typing gives you immediate visibility of every word and makes it easier to paste exact URLs, codes, legal language, or product names. It can be preferable in a shared office, a quiet workplace, or any situation where recording speech is inconvenient. The library and HTML routes offer still different advantages: they reduce generation uncertainty when a proven design already exists, but they may require more manual content replacement.

Troubleshooting voice input

The microphone icon is not visible

  • Confirm that you are in the Reach dashboard prompt area, not a different Hostinger product screen.
  • Reload the page and check whether the current account or plan exposes voice input.
  • Try the latest available version of your browser and inspect its site permissions if the control is present but inactive.
  • If the interface labels differ, use the current Hostinger Reach help instructions because product controls can change.

Recording does not start

Check that the computer has a selected input device and that the browser has microphone permission. Disconnecting and reconnecting an external USB microphone can make the operating system reselect it. If recording still cannot begin, type the same brief into the prompt field so the campaign work is not blocked by the audio step.

The transcription contains errors

Click in the text produced after Done and correct names, numbers, dates, links, and other high-risk details before sending. For a long recording, rewrite the affected sentence instead of relying on a vague correction. You can also dictate shorter sections with a pause between them, which makes mistakes easier to find.

The generated audience or template is wrong

Do not choose Create campaign. Use Make changes and state the correction explicitly, including the audience and the desired template direction. Review the revised plan and then inspect the finished email in its editor.

Post-processing changes the wording

Compare the cleaned transcription with what you intended to say. If a filler-word removal or punctuation change alters meaning, edit the text manually before submission or turn post-processing off if that option is available in your Reach interface.

Free-plan figures and availability

Hostinger’s current free-plan description, accessed in 2026, lists 200 emails per month and 100 unique subscribers per month. It also states one year of free access for all users, including people who are not Hostinger customers. These are plan-description figures, not a guarantee that every account has identical features: limits, editor access, and eligibility can change. Check the plan information shown in your account before scheduling a large campaign.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The monthly email allowance and unique-subscriber allowance measure different things. Sending volume concerns the number of emails sent in the stated month, while unique subscribers concerns the distinct recipients counted under the plan. Keep both limits in mind when planning a voice-generated campaign, particularly if one campaign targets a large list or is followed by several reminders.

A repeatable voice-to-campaign workflow

  1. Outline offline. Write or mentally organise the goal, audience, message, call to action, tone, language, and dates.
  2. Record in Reach. Select the microphone beside the prompt and dictate the outline at a steady pace.
  3. Proofread after Done. Correct transcription mistakes before pressing the send icon.
  4. Inspect the plan. Verify campaign details, template, and audience.
  5. Iterate with Make changes. Give one clear correction at a time when the plan needs revision.
  6. Edit the email. Use AI, Design, Code, a library template, or uploaded HTML according to the amount of control you need.
  7. Perform a final pre-send check. Test links, confirm dates and recipient selection, and review the rendered message before creating or sending the campaign.

This workflow preserves the speed advantage of speaking while keeping human approval at the points where an incorrect transcription or generated assumption could affect recipients.

Key limitations to keep in mind

  • Voice input creates a transcription; it does not remove the need to review the campaign plan and final email.
  • Post-processing can improve punctuation and remove filler words, but exact names, numbers, and links still require verification.
  • The microphone control, plan limits, editor labels, and plan-gated features may change as Hostinger updates Reach.
  • No particular microphone model is required by the documented instructions; choose hardware based on comfort and recording clarity rather than a Hostinger-specific specification.
