To import a list into Hostinger Reach, open Hostinger Dashboard → Email marketing → Open Reach → Audience → Contacts → Import contacts, then upload a standard .csv file with an Email column. On the review screen, map fields, create the required segment, choose how to handle duplicate addresses, add optional tags or an internal note, and select Import contacts. If rows fail, download the error report, correct the source CSV, and upload it again.
What you need before importing
CSV import is the bulk-list method in Hostinger Reach. It is intended for an existing contact list rather than one person at a time. Hostinger’s setup documentation identifies three prerequisites:
- An active Hostinger Reach subscription.
- A contact list saved as a comma-separated
.csvfile. - A column headed Email. That is the required field for a contact record.
Reach does not accept an Excel .xlsx workbook or a .zip archive at the upload step. Open the spreadsheet in your spreadsheet application and export it as a standard CSV file before starting. If accented letters, non-Latin names, or other special characters appear incorrectly, save the CSV again using a standard text encoding and check a few rows in a plain-text editor before uploading.
You can download Hostinger’s CSV template from the upload screen. Using it is the safest way to see the expected column layout, especially when the list contains more than email addresses.

Prepare the CSV file
Use one header row and a required Email column
The first row should identify your columns, including an Email column. Keep the header unambiguous and make sure every row intended for import has an address in that column. A practical minimum looks like this:
| alex@example.com |
| sam@example.com |
Reach performs the actual field mapping during review, so the other column names do not have to match the default labels perfectly. Clear, consistent headers make mapping easier and reduce the chance of assigning a value to the wrong field.
Map the default contact fields
Hostinger documents five default fields. During import, you can map columns from your file to these fields:
Recommended Free Tools
| Reach field | Typical CSV column | What it is used for |
|---|---|---|
| Email address | The required identifier for the contact. | |
| First name | First name | Personalization and audience conditions. |
| Last name | Last name | Personalization and contact records. |
| Phone number | Phone | A phone value stored with the contact. |
| Note | Note | Internal context associated with the contact. |
If your headers use different wording, select the matching Reach field in the mapping step rather than rewriting the entire source file. Check the preview before continuing; a column mapped incorrectly here will put the wrong value into every affected contact.
Add custom fields for useful audience data
The mapping screen also lets you create custom fields. Examples include city, job title, company name, age, or newsletter preference. Custom fields are valuable when they support a real campaign decision, such as sending a localized message by city or separating subscribers by product interest.

Use a single, consistent format for each custom field. For example, do not mix London, London, UK, and LDN if you expect to filter on one city value later. Likewise, keep a preference column consistent instead of mixing terms such as yes, Y, and subscribed. Reach can only segment reliably when equivalent values are stored consistently.
Import contacts in Hostinger Reach
- Open the Hostinger Dashboard. Sign in to the account that owns the Reach subscription.
- Open Email marketing. Locate the email-marketing area in the dashboard.
- Open Reach. Find the relevant subscription and select Open Reach.
- Open the contacts list. Go to Audience → Contacts.
- Start an import. Select Import contacts. If the list already contains contacts, Hostinger also exposes the route Add contact → Upload .CSV.
- Choose the file. Select the
.csvfile or drag it into the upload area. This is also where you can download Hostinger’s CSV template. - Review the mapping. Match the Email column and any other default or custom fields to Reach fields. Inspect the preview for shifted columns, unexpected blank values, or broken special characters.
- Create the segment. Enter a segment name or accept the suggested name. A segment is required before contacts can be used for campaigns.
- Check tags. Reach automatically applies the segment name as a tag. Add additional tags if the imported list needs another label, such as the source, event, or product interest.
- Add an internal note if needed. Notes are for your team’s context; do not use them as a substitute for a consent record that should be maintained in your own systems.
- Resolve duplicate addresses. Choose whether duplicate email addresses should be skipped or updated with values from the file.
- Finish the import. Select Import contacts and wait for the review result to complete.
Understand the review screen
The review step is more than a confirmation page. It is where Reach determines how your file becomes usable audience data.
Field mapping
Verify that the required Email column is mapped to the email-address field. Then inspect names, phone numbers, notes, and every custom field you created. A successful upload with an incorrect mapping can be harder to notice than a rejected row, because the data may look plausible while being stored in the wrong place.
Segment name
Reach requires a segment for campaign sending. Choose a name that records why the contacts belong together, such as 2026 webinar registrants or support newsletter - existing customers. The segment name is automatically applied as a tag, so it also provides a quick label when you view the contacts later.
Additional tags
Add tags when one segment is not enough to describe the list. For example, a segment might represent the import event while a tag identifies the acquisition source. Avoid creating many near-identical labels; consistent naming makes later filtering easier.

Internal note
An internal note can document context such as the event or form from which the file came. Keep operational details there, and retain the underlying permission evidence in the system where your organisation manages consent records.

One free scan finds every outdated or missing driver and matches the right update for your exact hardware.Free scan · exact hardware matchHow duplicate email addresses are handled
Email addresses are the key identifier in this import workflow. When Reach finds an address that already exists, the importer gives you a choice:
| Choice | Result | When it fits |
|---|---|---|
| Skip duplicates | Leave the existing contact record unchanged and do not import the duplicate row. | Use this when the current Reach record is authoritative or the file is only adding new people. |
| Update duplicates | Use values from the CSV to update the existing contact where the address matches. | Use this when the file is a maintained master list and its names, phone numbers, notes, or custom values are newer. |
Decide before confirming the import which dataset should win. Updating from an old export can overwrite newer information, while skipping duplicates can leave stale fields in Reach. If the file contains the same address more than once, clean those repeated rows in the source spreadsheet first so that one deliberate record represents each person.
What to do when contacts fail
Reach provides an error report from the Review step when some rows cannot be imported. Download that report instead of guessing which records failed. It identifies the rows that need correction, allowing you to preserve the successful portion of the import and repair only the problem data.
- Download the error report from the review screen.
- Match each reported row to the original CSV.
- Correct the source value, header, or formatting that caused the failure.
- Save the corrected file as a standard
.csv. - Upload the corrected file again and review the mapping and duplicate choice before confirming.
Common checks include:
- File type: confirm that the filename ends in
.csv, not.xlsxor.zip. - Required column: verify that an Email column exists and that affected rows contain an address.
- Column alignment: open the file as plain text or in a spreadsheet and check that commas have not shifted values into the wrong columns.
- Encoding: re-save the CSV with standard encoding if names or notes containing special characters are corrupted.
- Duplicate policy: decide whether reported existing addresses should be skipped or updated rather than repeatedly uploading the same unchanged file.
Do not remove all rejected rows without checking them. A rejected row may represent a legitimate subscriber whose address was damaged by an export or encoding problem.

Consent, double opt-in, and deliverability
Hostinger states that you must have the necessary permission and consent from recipients before importing their data. A CSV file proves that data was transferred; it does not, by itself, prove that a person agreed to receive your messages. Keep your own record of how and when each recipient gave permission, and import only people covered by the intended communication.
Hostinger’s double-opt-in documentation says that contacts uploaded by CSV are included in the double-opt-in flow when that setting is enabled. In that case, a person must click the confirmation email before Reach treats the record as a Subscribed contact eligible for campaigns and automations. An imported row therefore may appear in your audience without immediately becoming sendable until confirmation is completed.
This distinction matters when checking an apparently incomplete list. A contact can have imported successfully, be assigned to the segment, and still not be eligible for a campaign because the required confirmation has not happened. Treat consent status and import status as separate checks.
CSV import versus other ways to add contacts
Hostinger’s broader contact guidance describes manual entry, CSV import, Website Builder synchronisation, and other integrations as separate acquisition methods. The right choice depends on where the data originates and how often it changes.

Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →| Method | Best fit | Field and segmentation considerations | Error and consent considerations |
|---|---|---|---|
| CSV import | A large existing list or a one-time migration. | Maps many columns at once and creates a required segment during import; custom fields can be created in the mapping step. | Provides an error report for failed rows; you must verify permission provenance and choose a duplicate policy. |
| Manual entry | A small number of individual contacts. | Useful when each record is entered separately, but inefficient for a large list or many custom fields. | Each entry still needs a lawful permission basis and careful review for typing errors. |
| Website Builder sync | Contacts who sign up through a connected website form. | Can reduce repeated exports and better match an ongoing form-to-audience flow, subject to the fields supported by the connection. | Consent can be captured at sign-up; investigate the connection if expected contacts or fields do not appear. |
| Other integrations | Lists maintained in another service or workflow. | Evaluate whether the integration passes the fields and segmentation values your campaigns need. | Confirm how failures, updates, unsubscribes, and consent status are handled before relying on automation. |
For a large, stable list, CSV import is usually the most direct path. For a list that changes every day through a form, an automatic connection may avoid repeated exports, but it should be evaluated for field mapping, update behaviour, error visibility, and consent handling rather than assumed to be equivalent to a CSV upload.

After the import: verify the audience
Once the import completes, perform a short operational check before scheduling a campaign:
- Open the segment created during import and confirm that the expected contacts are present.
- Inspect several records across the file, including records with names, phone numbers, custom values, and special characters.
- Confirm that the segment tag and any additional tags are applied as intended.
- Check which contacts are marked as Subscribed and which are awaiting double-opt-in confirmation, if that setting is enabled.
- Compare the number of successful rows with the error report and resolve any remaining failures.
- Record the source and consent context in your normal contact-management process so the list can be audited later.
These checks catch the two problems that are easiest to miss: a technically successful import with incorrect field mapping, and a correctly imported list that is not yet eligible for sending because contacts have not confirmed.
Practical decision guide for a repeat import
Use skip when the Reach list is the source of truth
Select Skip duplicates when your CSV is an acquisition file containing mostly new addresses and the existing Reach records may contain more recent edits. This preserves the current records and limits the import to genuinely new contacts.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Use update when the CSV is the maintained master
Select Update duplicates when your organisation deliberately maintains names, phone numbers, notes, or custom values in the source file and wants that file to replace older Reach values. Confirm the export date and review a sample before committing, because the update choice applies the file’s values to matching records.
Use a new segment when the list has a distinct purpose
Create a new segment when the contacts came from a different event, subscription context, or campaign audience. Reusing an old segment can make later targeting ambiguous, while the segment name is also automatically applied as a tag.
Fix the source rather than repeatedly editing Reach
If the same error appears on every retry, correct the CSV or its export settings. Repeatedly uploading an unchanged file will not resolve an unsupported format, missing Email column, malformed encoding, or a systematic column-mapping error.
Quick Recap
Key facts to remember
- The upload must be a standard
.csvfile with an Email column;.xlsxand.zipfiles are unsupported. - The navigation path is Dashboard → Email marketing → Open Reach → Audience → Contacts → Import contacts, with Add contact → Upload .CSV also available when contacts already exist.
- Reach supports the default email, first name, last name, phone number, and note fields, plus custom fields created during mapping.
- A segment is required for campaign sending, and its name is automatically applied as a tag.
- Duplicate addresses can be skipped or updated from the CSV.
- Failed rows appear in an error report that you can download, correct, and re-upload.
- You need recipient permission and consent. With double opt-in enabled, CSV-uploaded contacts must confirm before becoming Subscribed and eligible for campaigns and automations.
