If Google Keep’s notes and shared lists are no longer enough, choose an alternative based on what your work needs: Todoist for personal projects and recurring tasks, Asana for team tasks with owners and project context, Google Tasks for a more structured task list inside Google, or Microsoft To Do and Planner for Microsoft’s separate personal and team tools. Keep itself remains a capable option for quick notes, reminders, and collaborative lists.
What Google Keep already does well
Keep is more than a plain-text notebook. Google describes it as a place to create and share notes, lists, photos, drawings, and audio. Its features include reminders, search, labels, color coding, pins, filters, offline editing with later sync, and real-time collaboration. That makes it useful for quick capture and shared lists, but its core model is notes rather than project plans with task owners and workflow views.

Choose by the job you need done
Todoist: projects and recurring personal tasks
Todoist is a practical step up when Keep notes have turned into a loose collection of tasks and you want them organized into projects, scheduled by due date, and repeated on a schedule. Its product page also describes a shared team space, so it can suit a mix of personal tasks and some shared work. The cited features do not show that it replaces a full project-portfolio or dependency-management system. See Todoist.
Asana: tasks that need a team and a project home
Asana is a stronger match when a task needs an accountable owner, shared project context, and a place for discussion or attachments. Asana says tasks can recur daily, weekly, monthly, or at custom intervals; projects can be shared, and tasks can have co-assignees, descriptions, attachments, and comments. Google Tasks: more task structure without leaving Google
Google Tasks adds details, subtasks, due dates, and notifications to a task-focused workflow, and syncs across devices. You can use it on the web through Calendar and from Google product side panels; tasks can also be created from Google Workspace products such as Gmail and Calendar. Google documents group task assignment in Chat spaces and assignment to others in eligible Docs accounts. Those collaboration features are useful, but the cited documentation does not establish Google Tasks as a full replacement for dedicated team project management. Microsoft To Do and Planner: separate personal and team roles
Microsoft’s guidance draws a clear distinction: To Do is for solo task management, while Planner is for team projects. Planner is positioned for simpler team projects; Microsoft recommends Project when dependencies, costs, or greater complexity need tracking. Planner’s documented features include plans, task assignment, task chat, and progress charts. For managed work or school accounts, Microsoft says setup depends on enabled licensing and an Exchange Online mailbox for task sync and storage, so check your organization’s configuration. Questions to settle before switching
- Do you mainly capture information, or manage actions? Keep supports photos, drawings, audio, reminders, and offline edits as well as text lists. If those capture features matter more than task workflow, switching may not solve a real problem.
- How much structure does the work need? Simple labels and lists may be enough for an individual. Projects, subtasks, owners, and status become more useful as work grows or involves other people.
- Does recurrence match your actual schedule? Asana documents daily, weekly, monthly, and custom recurrence. Todoist confirms recurring tasks, but the cited information does not compare the services’ recurrence edge cases.
- What does collaboration mean for you? Shared note editing may be sufficient for a grocery or packing list. Work that needs assigned owners, comments, or project context calls for a task or project tool.
- Which ecosystem are you already using? Google Tasks connects with Google products. Microsoft To Do’s use with managed work or school accounts depends on the organization’s licensing and Exchange Online setup.
- Will added structure help enough to justify its overhead? Use the lightest tool that supports your workflow; a full project workspace can be cumbersome if all you need is a personal checklist.
Check plan details before committing
The vendor pages establish the features they describe, but they do not settle plan-level availability, current pricing, import or export behavior, or how reliably each service performs in your own workflow. Check those details directly with the provider before moving important notes or choosing a paid plan.
