Gemini can process Gmail content when you ask it to perform a task, such as summarizing a long message. Google said on April 7, 2026, that it does not train foundational AI models, including Gemini, on personal emails and that Gemini in Gmail does not retain the information after completing the requested task. Those assurances apply to the Gmail feature itself; Gemini Apps Activity, Connected Apps and Google Workspace smart features are separate controls with their own data flows.
To reduce access, review every layer: Gmail’s Smart features, Workspace smart features, Gemini Connected Apps and Gemini Apps Activity. Personal-account users can change these settings in Gmail and Gemini. Work and school users must also account for administrator policies, which can override user choices.
What Gemini can access in Gmail
Gemini’s access depends on which product feature you are using and which connections you have enabled. A request made inside Gmail is different from a Gemini chat that can search connected Google services.

For a Gmail task, Gemini can process the email information needed to answer that request. Examples include summarizing a lengthy message or helping you understand its contents. Google describes this as an isolated task: Gemini processes the information to complete the specific request and then leaves the inbox. Google’s April 7, 2026 statement says Gemini in Gmail does not retain that data afterward.

This is a product-specific statement, not a promise that every Gemini-related setting is disabled. Gmail’s own Smart features, Workspace-wide features and Gemini Apps Activity remain independent settings.
When Connected Apps are enabled
Google’s Gemini Apps Privacy Hub says Connected Apps can provide Gemini with emails, files, events, photos and videos. Gemini may also use information from your chats, device and preference information, and location information. If Gmail or another Google Workspace service is connected, Gemini can look up information in email and other Workspace content to provide tailored help and complete tasks.
Connected access is broader than a single Gmail drafting or summarization request. It can span the services you have linked, subject to the permissions and controls on your account. Disconnecting an app stops future connected access, but it does not delete information already present in Gemini Apps Activity or information another app has already received.

Google’s April 7, 2026 Gmail privacy statement makes two specific assurances:
- Google does not train its foundational AI models, including Gemini, on your personal emails.
- Gemini in Gmail does not retain your data after processing the requested Gmail task.
These statements address Gemini in Gmail and personal email content. They do not replace the controls for Gemini Apps Activity, Connected Apps or Workspace smart features. Those services can have different retention and processing behavior, so changing one setting does not automatically change the others.
Google also explains that Gmail access granted to Gemini is intended for an individual task, such as summarizing a long email. Treat the no-training and no-retention language as Google’s published product position for that Gmail feature, rather than as a blanket rule for every Gemini interaction connected to your account.

Gmail Help describes three independent Smart features settings, in addition to Gemini Apps Activity and Connected Apps. The following comparison shows what each control covers.

Gmail Help says changing the Gmail, Chat and Meet Smart features setting does not change the Workspace Smart features setting. For a meaningful reduction in access, review both, then inspect Gemini’s own Connected Apps and Activity controls.
How to limit Gemini in a personal Gmail account
Use a computer for the clearest view of all controls. The settings apply across devices and apps where you are signed in, although a change made on a computer may not appear immediately in the mobile app.
- Open Gmail settings. In Gmail, select Settings, then See all settings.
- Review Gmail-level Smart features. In the General tab, find Smart features. Clear Turn on smart features in Gmail, Chat, and Meet if you do not want those services to use your data for features such as automatic categorization, Smart Compose, Smart Reply or summary cards.
- Open Workspace controls. Still in General, find Google Workspace smart features and select Manage Workspace smart feature settings.
- Turn off Workspace use where appropriate. Disable Smart features in Google Workspace to limit Workspace-wide uses such as personalized search, Gmail-to-Calendar features and Workspace with Gemini. Disable Smart features in other Google products if you also want to prevent Workspace content from being used in products such as Maps, Wallet, Gemini Personal Intelligence and Search services.
- Save the Gmail changes. Use the Save button in Gmail settings. The change is intended to follow your signed-in account across devices and apps.
- Disconnect unwanted Gemini apps. In Gemini’s Connected Apps settings, disconnect Workspace or any other app you do not want Gemini to access. This prevents future connected lookups; it does not erase activity already recorded or information another app already received.
- Review Gemini Apps Activity. Open Gemini Apps Activity to inspect saved conversations and related activity. Delete individual chats or other activity manually, choose an auto-delete period and control whether activity can be used to improve Google AI.
What these steps change
Clearing Gmail Smart features removes the Gmail, Chat and Meet feature layer. Turning off Workspace Smart features addresses Workspace-wide use. Disconnecting Connected Apps prevents future lookups through those connections. Activity controls affect saved Gemini activity and model-improvement choices. Because these are separate systems, completing only one step leaves the other layers unchanged.
Gemini Apps Activity: storage, deletion and review
Gemini Apps Activity has an 18-month auto-delete period by default, according to Google’s documentation. You can change that choice to 3 months, 36 months or indefinite retention. You can also delete chats manually instead of waiting for automatic deletion.
Deleting ordinary activity does not necessarily remove every related record. Google says chats reviewed by human reviewers, along with related data such as language, device type, location information or feedback, can be retained for up to three years. Those records are not deleted when you delete ordinary Gemini activity.

When reviewing Activity, check both the conversation list and the auto-delete setting. A short auto-delete period limits how long ordinary activity remains available, while manual deletion lets you remove selected chats sooner. Neither option changes an organization’s retention policy or erases information another app has already received.
What happens when you turn off Keep Activity
Turning Keep Activity off reduces the activity that is saved to your Gemini account and disables Workspace Connected Apps while it is off. This is a significant restriction for users who do not want Gemini to look up Gmail, Drive or other Workspace content through a connected app.
It is not a complete processing shutdown. Google says chats are still used to respond to you and to protect Google, its users and the public. That protective processing can involve human reviewers. Turning Keep Activity off therefore limits saved activity and connected Workspace access, but it does not prevent every use of chat content needed for responses, safety or security.
If you turn Keep Activity back on, previously connected Workspace access is restored. Recheck Connected Apps after re-enabling the setting if you want to keep those services disconnected.
Work and school accounts have an administrator layer
For a Google Workspace account, an administrator controls Gemini app access in Admin console > Generative AI > Gemini app. The Workspace-app control can allow or block access to Gmail, Drive, Calendar, Docs, Classroom, Keep and Tasks.
Google says this control is on by default for eligible Workspace editions. Administrator changes can take up to 24 hours to take effect. A user may therefore see Gemini available after an administrator has begun changing the policy, or may be unable to change a setting that the organization enforces.

If you use a work or school mailbox, check your personal settings and ask the administrator which policy applies. A personal Gmail switch cannot override an organization-level restriction or grant access that the administrator has blocked.

Gmail Help says Smart features are off by default in the European Economic Area, Japan, Switzerland and the United Kingdom. Defaults, availability and legal treatment can vary by region and account type.
An account that starts with Smart features off can still have separate Gemini Connected Apps or Activity choices. Conversely, an account outside those regions may have Smart features enabled until the user or administrator changes them. Verify the actual switches shown in your account rather than assuming a regional default.
Choose the right level of restriction
You want Gmail convenience but less cross-service access
Leave only the Gmail features you find useful, then turn off Workspace Smart features and disconnect Connected Apps. This keeps the decision focused on Gmail while preventing Gemini from looking up information across linked Workspace services.
You do not want Gmail, Chat or Meet personalization
Clear Turn on smart features in Gmail, Chat, and Meet. This addresses automatic categorization, Smart Compose, Smart Reply and summary cards. Review Workspace Smart features separately because the Gmail switch does not change it.

In Gemini Apps Activity, choose the shortest available auto-delete period, 3 months, and delete existing chats you no longer need. Remember that records associated with human review can remain for up to three years under Google’s stated policy.

You want to block Gemini’s Workspace lookups
Disconnect Workspace in Connected Apps and turn off Keep Activity if you accept the loss of Workspace Connected Apps while it is off. Turning Keep Activity back on restores previously connected Workspace access, so check the connection again afterward.
You use a managed work or school account
Ask the Workspace administrator whether the Gemini app policy permits Gmail and other services. User-level settings cannot override an administrator-enforced choice, and a policy update may take up to 24 hours.
Common misunderstandings and fixes
“I turned off Gmail Smart features, so Gemini cannot see Gmail.”
The Gmail, Chat and Meet switch covers those Smart features, not every Gemini connection. Check Workspace Smart features, Connected Apps and Gemini Apps Activity separately.
“I disconnected Gmail, so previous Gemini data is gone.”
Disconnecting stops future connected access. It does not delete activity already present in Gemini Apps Activity or information another app already received. Use the Activity controls to delete saved chats and review the auto-delete period.
“Keep Activity off means no processing occurs.”
Keep Activity off reduces saved activity and disables Workspace Connected Apps, but Google says chats can still be processed to answer you and to protect Google, its users and the public, including with help from human reviewers.
“The setting did not change on my phone.”
Google says Gmail Smart-feature changes apply across signed-in devices and apps, but some computer changes may not immediately reflect in the mobile app. Recheck the account after synchronization and confirm that you are using the same Google account.
“My organization blocks the switch.”
That usually indicates an administrator policy. The relevant control is in the Workspace Admin console under Generative AI > Gemini app; users may not be able to change an enforced setting themselves.
