To stop Gemini from using Gmail and other Workspace data, turn off Smart features in Google Workspace in Gmail. On a computer, open Gmail, choose Settings (the gear), select See all settings, stay in General, scroll to Google Workspace smart features, choose Manage Workspace smart feature settings, switch off Smart features in Google Workspace, and select Save.
This is the setting that controls cross-Workspace features such as Gemini in Gmail. It is separate from the smart-feature setting for Gmail, Chat and Meet, and from the setting that allows Workspace data to be used in other Google products. Managed Google Workspace administrators can apply stronger restrictions than an individual user.
Which Gmail setting controls Gemini?
Gmail does not present one universal “Gemini privacy” switch. Google divides these controls into three independent scopes. The setting most directly associated with Gemini’s access to Gmail and other Workspace content is Smart features in Google Workspace.

Because the scopes are independent, switching off one does not automatically switch off the others. Decide whether you want to limit Gemini inside Workspace, personalization inside Gmail, or sharing with products outside Workspace.

How to turn off Gemini in Gmail
Use Gmail’s Workspace smart-feature control
- Open Gmail on a computer.
- Select Settings, shown as the gear icon.
- Select See all settings.
- In the General tab, scroll to Google Workspace smart features.
- Select Manage Workspace smart feature settings.
- Turn off Smart features in Google Workspace.
- Select Save.
Google states that this change turns off other AI-powered Workspace features as well as the Gemini in Gmail side panel. It is therefore broader than merely hiding a panel: it changes whether Workspace smart features can use data across Workspace services.
Check that the change matches your goal
If your goal is specifically to stop Gemini from drawing on Workspace content, confirm that the Workspace setting is off after saving. If you also want to stop Gmail’s own personalization, review Smart features in Gmail, Chat and Meet separately. If your concern is data being sent to Gemini, Search, Maps or another product outside Workspace, review Smart features in other Google products as a separate decision.
What changes when Workspace smart features are disabled?
The immediate trade-off is loss of AI-powered Workspace functionality. Google specifically identifies the Gemini in Gmail side panel as one of the features that is turned off. Cross-Workspace conveniences also depend on this setting, including examples such as Gemini referencing Drive files from Gmail or Calendar showing events derived from Gmail.
- Gemini in Gmail: the side panel is disabled when Workspace smart features are turned off.
- Cross-service references: features that move information between Workspace services, such as using Drive content in Gmail, no longer operate through this smart-feature scope.
- Gmail, Chat and Meet personalization: this is a different control. Turning off Workspace smart features does not by itself state that Smart Compose, Smart Reply, filtering or summary cards are disabled; review the Gmail, Chat and Meet setting if you want those stopped.
- Other Google products: this is another independent scope. A Workspace change does not automatically change the setting for eligible personal-account uses in Gemini, Search, Maps or Wallet.
There is no need to disable every smart-feature category if you only want to remove one data path. Conversely, disabling only Gmail’s app-level smart features is not the same as disabling Workspace-wide Gemini access.
Personal Gmail and managed Google Workspace accounts
Personal Gmail accounts
Personal accounts can have a different set of available features from managed Workspace accounts. Google says Gemini in Gmail availability depends on the account, an eligible Google Workspace or Google AI plan, language and region. Personal Gmail accounts without a paid plan have more limited availability.

If you cannot find a Gemini panel or a particular control, that may reflect eligibility rather than a privacy failure. The absence of a feature does not prove that every smart-feature scope is disabled, so inspect the available settings and the account type before drawing conclusions.
Managed Google Workspace accounts
An organization’s administrator can turn Gemini off, restrict its access to some or all Workspace data, and control whether Gemini conversations can be shared. These policies can be stronger than the options exposed to an individual user.

Who can control Gemini’s access?

Does Google train Gemini on Gmail messages?
Google’s published Workspace commitment is summarized as “Your data is your data.” Google says Workspace content is not used to train or improve generative AI models outside Workspace without permission.
For users with Google AI plans, Google says Gemini in Gmail uses Workspace content to answer prompts and does not store prompts or generated output without permission. That statement applies to the Workspace feature and should not be extended automatically to every Google AI product or every way data might be shared.

The personal-account sharing caveat
A personal-account user can deliberately send data outside the Workspace feature boundary. Google identifies sharing with Gemini Apps or Search for Personal Intelligence, and screen actions such as screenshots, as examples. Data shared through those products is handled under their own terms and policies and may be used for model training and improvement.

Can Gemini access delegated Gmail?
No, not merely because delegation exists. Google states that Gemini has the same access to Workspace data as you do. A Gmail delegate does not give Gemini access to the delegator’s inbox; Gemini can access only the user’s own inbox messages.
For example, if Alice delegates her mailbox to Bob, Bob’s Gemini access is limited to the messages Bob is otherwise allowed to use through Bob’s own account and settings. The delegation itself does not make Alice’s inbox available to Gemini in Bob’s account. Likewise, Alice’s own Gemini access does not expand just because Bob has been granted delegation.
Delegation and Gemini should therefore be reviewed as separate controls: delegation determines which people can work in a mailbox, while Gemini’s scope follows the signed-in user’s Workspace access and the administrator’s policy.

What Gemini in Gmail can do when it is available
Google lists several Gmail tasks for Gemini. The exact set depends on account type, an eligible Google Workspace or Google AI plan, language and region.
- Summarize long threads: produce a shorter view of a lengthy conversation.
- Draft or refine email: help create a draft or revise wording.
- Organize messages: assist with handling email content.
- Find details: search for information such as flight times or package tracking.
- Propose meeting times: use Calendar availability to suggest times.
These capabilities explain why the privacy setting is broader than a visual interface preference. Some tasks require Gemini to inspect message content, and meeting suggestions can involve related Calendar information. Turning off Workspace smart features removes the Gemini in Gmail side panel and other AI-powered Workspace features rather than merely changing its appearance.
Choosing the right privacy setting
Use the following decision framework before changing anything. It separates the scope of the setting from the feature trade-off and the person who can enforce it.

- If the account is managed, ask the administrator whether a policy overrides your personal choice.
- If you use delegation, remember that it does not expand Gemini’s documented access to another person’s inbox.
- Record the account type, plan, language and region when comparing behavior, because feature availability changes across those conditions.
Common misunderstandings and their fixes
“I turned off one smart feature, so all AI access is off.”
The three scopes are independent. Turning off Gmail, Chat and Meet smart features does not automatically turn off Workspace smart features or other-Google-product smart features. Check each scope that matches your concern.

“Hiding the Gemini panel is enough.”
The documented control is the Workspace smart-feature setting. Turning it off disables the side panel and other AI-powered Workspace features; simply changing the way Gmail is displayed is not the same privacy decision.
“A Gmail delegate can make Gemini read the owner’s mailbox.”
Delegation does not grant Gemini access to the delegator’s inbox. Gemini’s documented access is limited to the signed-in user’s own inbox messages.
“The Workspace promise covers data I send to every Google AI product.”
The Workspace commitment applies to Workspace content in that context. Data deliberately shared with Gemini Apps or Search for Personal Intelligence, or through screen actions such as screenshots, is handled under those products’ terms and policies and may be used for training and improvement.

“The setting is missing, so Google must be reading everything.”
Availability varies by account, plan, language and region, and administrators can impose restrictions. A missing control may reflect eligibility or organization policy; check the account context and ask the administrator before interpreting it.
Practical privacy choices by account type
If you use personal Gmail
- Open Gmail settings and identify which of the three smart-feature scopes are available to your account.
- Turn off Workspace smart features if you want Gemini in Gmail and cross-Workspace AI disabled.
- Turn off Gmail, Chat and Meet smart features separately if app personalization is also unwanted.
- Review other-Google-product smart features before using Gemini Apps, Search for Personal Intelligence, Maps or Wallet with Workspace data.
- Keep in mind that a personal account without a paid Google AI plan may have limited Gemini availability, so the visible feature set may be smaller than the documented list.
If you use a work or school account
- Check Gmail’s Workspace smart-feature setting using the same path.
- If the control is locked, unavailable or different from the documented labels, treat that as an administrator policy issue rather than repeatedly changing local settings.
- Ask the administrator whether Gemini is disabled, restricted to selected Workspace data, or allowed with conversation-sharing controls.
- Use the organization’s policy as the controlling answer for work data; an individual preference cannot broaden or override a stricter policy.
Bottom line for controlling Gmail AI access
Start with Gmail’s Smart features in Google Workspace setting. Turning it off is Google’s documented way to disable the Gemini in Gmail side panel and other AI-powered Workspace features. Then treat the Gmail/Chat/Meet setting and the other-Google-products setting as separate privacy decisions. Google says Workspace content is not used to train external generative AI models without permission, but data deliberately shared with Gemini Apps, Search for Personal Intelligence or screen actions follows those products’ policies. In managed accounts, administrator controls take priority, and Gmail delegation does not give Gemini access to another user’s inbox.
