FreshBooks is a cloud accounting platform built around client billing. It is at its best when a freelancer or service business needs to create polished invoices, track time and expenses, accept online payments, and keep basic books without the complexity of an enterprise accounting suite. The trade-off is depth: companies that need extensive transaction detail, advanced reporting, or broad employee payroll may eventually need a more powerful system.
The US pricing page checked on October 20, 2026, showed an unusually large introductory discount for the first four months. Because those prices are promotional and can change, compare them with the standard rates and check the current page before subscribing.
FreshBooks at a glance
| Best suited to | Main strengths | Main limitations |
|---|---|---|
| Freelancers, consultants, agencies, tradespeople, and other invoice-led service businesses | Easy invoicing, estimates, proposals, retainers, time and expense capture, online payments, project tracking, and approachable accounting workflows | Client and user caps on lower plans, less detailed reporting than larger-business products, and reported payment, bank-feed, mobile, and support issues |
| Businesses that want an integrated workflow | Invoices can connect with time entries, expenses, projects, payment collection, bank imports, and tax-time reports | Advanced capabilities are spread across higher plans and paid add-ons |
FreshBooks describes its product as including “invoicing features, expense tracking, time tracking, online payments, industry-standard double-entry accounting, balance sheets, mileage tracking, project profitability, bank reconciliation, client retainers, and the list goes on.” That is a vendor description, not an independent performance test. FreshBooks also says its service has been used by “over 30 million people worldwide.”

How much does FreshBooks cost?
The following US figures were displayed on FreshBooks’ pricing page on October 20, 2026. The lower amounts were a limited-time 80% discount for four months, not permanent prices. Standard prices are shown beside them so you can budget for the renewal rate.
| Plan | Introductory price shown (US, first four months) | Standard price shown | Billable-client allowance | Who it targets |
|---|---|---|---|---|
| Lite | $4.60 per month | $23 per month | 5 clients | Freelancers with a small client list |
| Plus | $8.60 per month | $43 per month | 50 clients | Self-employed professionals needing proposals, retainers, and deeper reports |
| Premium | $14 per month | $70 per month | Unlimited clients | Small businesses working with contractors and larger client volumes |
| Select | Custom | Custom | Unlimited clients | Businesses needing negotiated terms and additional service |
The same page stated a 30-day free trial and a 30-day money-back guarantee. Confirm the eligibility and terms shown at checkout, because promotional offers and regional pricing can change. NerdWallet’s 2026 review lists different regular monthly figures—Lite $21, Plus $38, Premium $65, and Select custom. That discrepancy may reflect timing, billing cycle, region, or a pricing update; do not treat the two sets of figures as interchangeable.
Extra users and paid add-ons
- Non-Select plans include one user according to NerdWallet’s plan summary. Additional team members are listed by FreshBooks at $11 per person per month.
- Advanced Payments is listed at $20 per month.
- FreshBooks Payroll is listed at $40 per month plus $6 per user per month.
Payment-processing fees are separate from the subscription. Select is described as offering lower or capped payment fees, but the exact negotiated amounts are not stated publicly in the pricing snapshot. Calculate the post-discount subscription, added users, payroll, payment processing, and any required integrations before choosing a plan.

Which FreshBooks plan should you choose?
Lite: a five-client invoicing starter
Lite is appropriate when your business has no more than five billable clients and your priority is getting invoices out and paid. It includes invoices, estimates, real-time expense tracking, card, ACH, and wallet payments, plus tax-time reports. It is the least expensive entry point, but the client cap is a hard planning constraint: adding a sixth active billable client may force an upgrade even if your revenue is modest.
Plus: the practical default for many solo businesses
Plus raises the allowance to 50 clients and adds proposals, retainers, financial and accounting reports, receipt scanning, and accountant access. It is the sensible starting point for a consultant, designer, contractor, or agency that has moved beyond simple invoices and needs a repeatable sales-to-cash workflow. NerdWallet places double-entry reports and more substantial accounting use in this tier rather than Lite, and notes that bank reconciliation is not included in Lite.
Premium: unlimited clients and project-profitability tools
Premium is aimed at small businesses with contractors or a broad client roster. The US plan table adds unlimited clients, bill scanning with line items, project-profitability tools, and customized email templates. Choose it when you need to see whether individual projects are making money, not merely whether invoices have been sent.

Note: This device is not compatible with Linux.
- What You Get: Anker USB-C Hub (5-in-1, 4K HDMI), welcome guide, 18-month warranty, and our friendly customer service.
Select: custom service for larger requirements
Select is sales-led and custom priced. FreshBooks describes lower or capped payment fees, removal of FreshBooks branding, Easy Switch migration, dedicated phone support, two included team accounts, and customized onboarding. The plan is a fit when migration assistance, negotiated payment economics, or hands-on support matter more than a transparent list price. Ask for the complete written quote, including user limits, payment rates, payroll, onboarding scope, and cancellation terms.
What can FreshBooks do?
Invoices, estimates, proposals, and retainers
You can create customizable invoices, schedule recurring invoices, apply late fees, send automated reminders, request deposits, and accept signed estimates or proposals. Client retainers help turn an ongoing engagement into a trackable balance rather than a series of disconnected invoices. Client portals give customers a place to view documents and payments. Premium adds customized email templates, while Select removes FreshBooks branding.
Payments and checkout
Clients can pay invoices online by card, ACH, and supported digital wallets. FreshBooks documentation also lists PayPal and Stripe connections, checkout links, and buy-now-pay-later options through Affirm and Afterpay. Availability, eligibility, and processing rates depend on region and the payment connection, so verify the options displayed in your account. A checkout link can be useful when you sell a defined service without creating a separate invoice for every transaction.
Time, mileage, expenses, and receipts
Built-in time tracking associates hours with clients and projects so billable time can flow into an invoice. Expense tracking supports categorization and receipt capture; Plus adds receipt scanning, and Premium adds bill scanning with line items. Mobile mileage tracking records business travel from the app. FreshBooks also supports automatic bank-imported expenses, reducing manual entry, but imported transactions still need review and categorization.
Projects and profitability
Projects bring tasks, people, time, and expenses into one client engagement. Premium’s project-profitability tools help compare the value billed with the internal cost represented by tracked time and expenses. This is particularly useful for agencies and contractors managing fixed-fee work, where a project can look busy while quietly losing margin.
Accounting, reports, and reconciliation
FreshBooks includes industry-standard double-entry accounting reports, balance sheets, financial and accounting reports, business-health reports, performance dashboards, tax-time reports, and bank reconciliation on supported plans. Reconciliation matches accounting records to the bank statement; it is not the same as merely importing a bank feed. Lite does not include bank reconciliation according to NerdWallet’s May 2025 test. If you need detailed transaction tracking, complex reporting dimensions, or extensive control over the chart of accounts, test a realistic month of data before committing.

- Sleek 7-in-1 USB-C Hub: Features an HDMI port, two USB-A 3.0 ports, and a USB-C data port, each providing 5Gbps transfer speeds. It also includes a USB-C PD input port for charging up to 100W and dual SD and TF card slots, all in a compact design.
- Flawless 4K@60Hz Video with HDMI: Delivers exceptional clarity and smoothness with its 4K@60Hz HDMI port, making it ideal for high-definition presentations and entertainment. (Note: Only the HDMI port supports video projection; the USB-C port is for data transfer only.)
- Double Up on Efficiency: The two USB-A 3.0 ports and a USB-C port support a fast 5Gbps data rate, significantly boosting your transfer speeds and improving productivity.
- Fast and Reliable 85W Charging: Offers high-capacity, speedy charging for laptops up to 85W, so you spend less time tethered to an outlet and more time being productive.
- What You Get: Anker USB-C Hub (7-in-1), welcome guide, 18-month warranty, and our friendly customer service.
Mobile apps and payroll
FreshBooks provides mobile apps and supports payroll as an add-on. The product documentation lists mobile mileage tracking, expenses, time, invoicing, and other mobile workflows. TechRadar’s February 2026 UK review describes free iOS and Android apps and desktop access. That review is UK-focused, so confirm app features and payroll availability for your country. NerdWallet’s user feedback includes reports of mobile-app lag; those reports are not a controlled benchmark.
A practical FreshBooks workflow
The value of FreshBooks comes from connecting routine steps rather than treating invoicing, time, expenses, and accounting as separate chores. A typical service-business workflow looks like this:
- Set up the business profile. Enter legal and contact details, invoice branding, tax settings, payment methods, and the bank accounts you intend to import. Confirm the currency and regional tax treatment before sending a document.
- Create clients and services. Add each billable client, define standard services or products, and decide whether prices are fixed, hourly, or recurring. Keep internal cost information separate from the client-facing description.
- Send an estimate or proposal. Use an estimate for a defined scope; use a proposal when you need a fuller description and client approval. Where available, request an electronic signature before work starts.
- Track delivery. Start timers or enter hours, record mileage in the mobile app, and attach expenses and receipts to the relevant client or project. Mark which items are billable.
- Convert approved work into an invoice. Pull billable time and expenses into an invoice, add a deposit or retainer draw if applicable, and set payment terms and late-fee rules.
- Collect payment. Offer the enabled card, ACH, wallet, PayPal, Stripe, or other supported method. Use a checkout link for a standalone service where an invoice is unnecessary.
- Reconcile and review. Import bank activity, match payments and expenses, reconcile on a plan that supports it, and inspect dashboards and reports for overdue invoices, profitability, and cash movement.
- Prepare for tax or handoff. Use tax-time reports and give your accountant access where your plan permits. Export or retain the records required by your jurisdiction.
The exact menu labels can change as FreshBooks updates its interface. Before inviting an accountant or connecting a bank, confirm that your plan includes the needed permission and reconciliation features.
Integrations and ecosystem
FreshBooks’ integrations directory lists API and developer resources and names connections including HubSpot, Gusto, Wagepoint, Zapier, and a Claude connector. FreshBooks Support also confirms integrations for payments, payroll, banking, and workflow automation. TechRadar’s February 2026 UK review additionally names PayPal, MailChimp, Basecamp, WordPress, Gusto, and Zendesk. Connector availability and capabilities can differ by country, plan, and the third-party service’s current terms, so verify each one in the official directory before designing a workflow.
FreshBooks is not a universal replacement for every business system. For example, an integration may pass customers or invoices without synchronizing every accounting field. Map the direction of data flow, synchronization frequency, duplicate handling, and what happens when a connection is revoked. If you need a connection that is not listed, check the API resources or use an automation service only after testing with sample records.
FreshBooks compared with other accounting options
The right choice depends on whether invoicing simplicity or accounting depth is your bottleneck. NerdWallet positions QuickBooks Online as stronger for larger or more complex businesses and Wave as a lower-price option. The table below uses the comparison axes that matter most to an invoice-led service business; where the available evidence does not establish a direct specification, it says so rather than guessing.

Disadvantages and risks to plan for
Reporting may be too limited for complex operations
NerdWallet’s tester called invoicing “Exceptionally user friendly” but noted limited report customization. NerdWallet also says businesses needing detailed transaction tracking and reporting may not find FreshBooks sufficient. If you require many departments, locations, inventory movements, or specialized management reports, confirm that the available report dimensions answer your questions before migrating.
Payment and bank-feed reliability needs monitoring
Aggregated user feedback cited by NerdWallet includes payment-processing delays, long ACH deposit waits, bank-feed synchronization problems, mobile-app lag, and mixed support experiences. These are user reports, not controlled tests, and they do not establish how often each issue occurs. Protect your cash-flow process by keeping a reconciliation checklist, checking payment status against the bank, and maintaining a separate way to contact customers when a deposit is delayed.
Plan limits can create surprise upgrades
Five clients on Lite and 50 on Plus may be adequate at launch but restrictive after growth. A second user, payroll, Advanced Payments, and payment processing all add cost. Price the plan you will need after the introductory period, not only the first four months.
Regional and connector differences
Payment methods, payroll, taxes, app features, and integrations can vary by country. The pricing figures above are US figures, while one cited app review is UK-focused. Confirm local availability, currency, tax support, and data-export options before signing a long-term agreement.

For a freelancer with up to five clients, Lite can be cost-effective during the promotional period and provides the essential invoice, estimate, expense, payment, and tax-report workflow. Many solo professionals will find Plus a better long-term fit because proposals, retainers, receipt scanning, accountant access, and broader reporting reduce manual work as the client list grows. The decision is less about the introductory price than whether the client cap, reconciliation availability, and reporting depth match your next year of work.

Is FreshBooks suitable for a small business with employees?
FreshBooks can support a small contractor-based business through Premium’s unlimited clients, bill scanning, project profitability, and team-member add-ons. Select adds two included team accounts, dedicated phone support, migration assistance, and customized onboarding. Businesses with substantial payroll, complex approvals, or demanding financial reporting should test those workflows directly and compare the total cost with a product designed for larger operations.
Bottom line
FreshBooks is a strong choice when the central problem is turning service work into invoices and collecting payment with minimal friction. Start with Lite only if five clients and basic accounting are genuinely enough; choose Plus for a more complete solo-business workflow; move to Premium when unlimited clients and project profitability matter; and treat Select as a custom, service-heavy agreement. Its simplicity is the advantage, but limited report customization, plan boundaries, and reported payment and bank-feed complaints deserve a realistic trial before you move your books.
