You can replace many of its everyday tasks with free, open-source apps, but there is no proven one-for-one substitute for every app and cloud service in the subscription. A practical mix is LibreOffice for documents, spreadsheets and presentations; Thunderbird for email and calendar; and Nextcloud for synced files and selected collaboration if you can arrange hosting.
What free, open-source apps can replace Microsoft 365? The answer depends on which parts you use. Start with the task-by-task options below, then test your own files and workflows before cancelling a subscription.

Replace Word, Excel and PowerPoint with LibreOffice
LibreOffice is the most direct option here for local office work. The Document Foundation describes it as free and open source, with six applications:

For everyday documents, spreadsheets and slide decks, the first three are the likely starting point. LibreOffice is a standalone desktop suite, not a promise of Microsoft 365’s complete cloud collaboration or subscription bundle. What businesses should know
The Document Foundation’s FAQ says businesses may use LibreOffice without license fees, including at large scale, and advises larger deployments to consider professional support. Free licensing does not remove the need to plan for rollout, user training, file compatibility or support.

Test your important files first
Neither the cited product information nor this comparison establishes formatting fidelity for every Microsoft Office file, support for every macro, or compatibility with a particular team’s collaboration workflow. Before relying on LibreOffice, open representative documents, complex spreadsheets and presentations; check formulas, macros, fonts, page breaks and layouts; and exchange edited copies with the people you work with. Keep the originals until you are satisfied with the results.
Replace Outlook email and calendar tasks with Thunderbird
Thunderbird is an option to evaluate if your main Outlook needs are email and calendar. A circa-2024 study by the Swiss Federal Administration and Bern University of Applied Sciences lists it as an alternative in those categories. Thunderbird describes its product as free, and its mobile app as open source, on its official site.

That makes Thunderbird an email-and-calendar candidate, not an office suite or a full substitute for Microsoft 365’s cloud services. Check that your email provider, calendar sharing, address books and any work-required account policies fit your intended setup before switching.
Use Nextcloud for file sync and selected collaboration
Nextcloud Files provides self-hosted storage and synchronization. Its Hub brings together Files, Talk, Groupware, Office, Assistant and Flow, so it can cover more than file storage for people who want a broader collaboration platform. See the Nextcloud Hub overview.
Self-hosting is the key trade-off: you need a server or a hosting arrangement, and someone must operate it. Nextcloud advertises a provider ecosystem, but provider prices and service levels are not compared here. Unlike installing a standalone desktop app, adopting Nextcloud involves a hosting and maintenance decision.

A circa-2024 Swiss Federal Administration and Bern University of Applied Sciences alternatives study identifies additional tools for particular Microsoft products:
- Joplin as a candidate for OneNote-style note-taking
- OpenProject for Microsoft Project-related project management
- Penpot for Visio-related diagramming workflows
- Element for Teams-related communication workflows
The study is a shortlist, not a consumer feature-parity guarantee. Compare each app with the functions you actually use—such as shared editing, diagram formats, project views or team policies—before making it part of a replacement plan. How to decide whether you can stop paying monthly
- List what you use. Separate desktop documents, spreadsheets and presentations from email, calendar, file sync, collaboration and any specialist tools.
- Choose a replacement for each task. LibreOffice, Thunderbird and Nextcloud address different needs; no single one should be assumed to replace the whole subscription.
- Run a realistic trial. Use copies of important files and test your usual editing, sharing, calendar and sync routines with the people or systems you rely on.
- Account for ongoing work. A desktop suite and an operated self-hosted platform have different setup and maintenance demands. For business deployments, consider how users will get support.
- Cancel only after the gaps are acceptable. If a must-have file, macro, collaboration feature or team workflow fails your test, keep the relevant Microsoft service or find a suitable alternative before ending the subscription.
These apps can reduce or eliminate the need for particular Microsoft 365 features, but the available product information does not establish that they reproduce every Personal entitlement or suit every workflow. Treat replacement as a task-by-task decision, not an automatic swap.
