Good group itineraries start with the people taking the trip: ask what interests them, then make the plan’s schedule, transport, breaks, optional activities and extra costs easy to understand. For school groups, that means balancing learning with fun and giving students a voice in activity choices.
Start by learning what the group wants
An itinerary should reflect the travelers, not just a list of attractions. Ask the group what they are curious about and what they hope to do. For school trips, Esto Tour Designer Jodie recommends balancing learning with fun to help students stay interested. The same principle works for adult groups: use their interests to guide the choices, then make sure the pace suits the people who will follow the schedule.
Give travelers a meaningful say in choices
Participation can make a plan feel more relevant without turning every decision into a group negotiation. For a London school trip, Jodie suggests considering several theatre shows and asking students to vote for their top three. That gives organizers a clear signal about preferences while leaving them responsible for shaping a workable itinerary.
Talk through the plan
When a detail is unclear or a group has competing needs, a conversation can resolve it faster than a long email chain. Jodie’s advice is direct: “My biggest tip for planning trips is to just pick up the phone.” She adds: “A proper conversation clears things up so much quicker, builds trust, and saves emails clogging up your inbox.”

Make the itinerary easy to follow
A schedule is useful only if travelers can understand what happens, where, and when. GetYourGuide’s supplier guidance recommends showing the sequence of events, main sites, what takes place at each stop, how long activities and transfers take, the transport mode, and where breaks fit.
- Show the order: Make the progression from one stop or activity to the next clear.
- Describe each stop: State the main site and what travelers will do there.
- Include timing: Give durations for activities and transfers.
- Name the transport: Clarify how the group gets between locations.
- Mark breaks: Show where rest or meal breaks occur.
Make inclusions and extras explicit
At a single location, distinguish the separate activities rather than presenting them as one vague stop. Clearly label optional steps and any added fees. Travelers should be able to tell what is included in the plan, what they can choose to skip, and what may cost extra before they commit.
