For a normal goods export paid in full, give your authorised-dealer (AD) bank a matching commercial invoice, shipping bill or bill of export, foreign-inward-remittance proof, supporting bank statement, eBRC or other bank-realisation record, and current KYC identifiers. The AD bank—not the exporter—matches the remittance with the Customs shipping-bill record and updates the Export Data Processing and Monitoring System (EDPMS). Payment appearing in your account does not close the entry by itself.
Use the checklist below, then confirm your bank’s current form, portal, email address, branch and exception-document requirements. Operating procedures differ between banks and can change.
What EDPMS closure means
EDPMS is the Reserve Bank of India (RBI) platform that brings together Customs shipping-bill data, bank realisation information and Directorate General of Foreign Trade (DGFT) Importer Exporter Code (IEC) details. Indian Bank’s customer FAQ explains that an export transaction is closed after the inward remittance is matched to the shipping bill and the status becomes completed.

Your practical objective is therefore to give the bank a packet in which the invoice, shipping bill, remittance and realisation records describe the same export without unexplained differences.

Core EDPMS closure document checklist
Prepare the following for each open shipping bill. The bank may request scans, signed copies, a prescribed declaration or originals for inspection.
| Document | What to check before submission | Why the bank needs it |
|---|---|---|
| Commercial or export invoice | Invoice number, date, currency and declared value should correspond with the shipping bill and the amount being reconciled. | Establishes the export value against which the inward remittance is matched. Indian Bank and practical banking checklists treat it as a core document. |
| Shipping bill or bill of export | Verify the Customs number and date. For a non-EDI shipment, provide the applicable export declaration or equivalent Customs record. | Identifies the EDPMS entry that must be closed and supplies the official export details. |
| Foreign-inward-remittance evidence | Include the bank credit advice, inward-remittance message or IRM details, SWIFT or payment confirmation, and UTR or other payment reference. Add a FIRA or FIRC when the bank has issued one. | Shows where, when and how the export proceeds were received so the bank can connect them to the shipping bill. |
| Bank statement | Mark the relevant credit entry and show the value date, currency, amount and remitter details. Supply the statement period requested by the bank. | Corroborates the remittance evidence. A statement alone is not necessarily sufficient because it may not contain all IRM or transaction-level details. |
| eBRC or bank-realisation record | Provide the electronic Bank Realisation Certificate (eBRC), or the bank’s equivalent realisation record, tied to the correct shipping bill and invoice. | Links realised foreign exchange to the export transaction. DGFT’s newer process allows exporters to self-declare eBRCs from bank-shared IRMs. |
| KYC and account identifiers | Keep IEC, PAN, GST details where applicable, the AD code and the bank-account details used for the export available and consistent with the bank’s records. | Lets the bank verify the exporter, account and reporting relationship before it changes the EDPMS status. |
Use the exact invoice value and currency that appear in the Customs and banking records. If conversion, charges or deductions create a difference, attach a reconciliation rather than silently altering a figure.
How to submit an EDPMS closure packet
- Request the open-entry list. Ask your AD bank, trade portal or branch for the current list of shipping bills still open in EDPMS. Record each shipping-bill number, date, invoice reference and outstanding amount.
- Build a transaction match sheet. For every entry, place the shipping-bill number and date beside the invoice number, invoice value and currency, remitter name, remittance amount, credit or value date, UTR and IRM reference. This exposes mismatches before the bank reviews the packet.
- Attach the core evidence. Add the invoice, shipping bill or bill of export, inward-remittance evidence, bank statement, eBRC or realisation record, and the requested IEC, PAN, GST, AD-code and account details.
- Document any exception. If the amount is short, delayed, received as an advance, written off, set off against imports, refunded, or routed through a payment platform, include the relevant explanation and documentary proof listed below.
- Use the bank’s designated channel. Submit through the AD bank’s specified branch, secure email, trade portal or other workflow. Do not assume that a form or email address used for another bank will be accepted by yours.
- Obtain an acknowledgement and status check. Ask for a receipt, ticket or email acknowledgement. After the bank reconciles the records, verify that the EDPMS entry shows completed or closed and retain the acknowledgement with your export file.
eBRC: what changed and what remains different
DGFT’s FAQ dated April 21, 2025 says that, after a bank’s API integration, the bank shares IRM data and the exporter can declare an eBRC directly. Banks can view those declarations for reconciliation. This does not remove the bank’s role in checking the underlying receipt or closing the EDPMS shipping-bill record.

The same FAQ distinguishes DGFT-generated eBRCs from legacy eBRCs issued by banks. An exporter can cancel a DGFT-generated eBRC through the DGFT workflow, but cannot cancel a legacy bank-issued eBRC there. A legacy certificate must be cancelled or reissued through the issuing bank’s process.
A 2024 Sberbank India policy records that AD banks upload IRM details to DGFT from February 1, 2024, enabling exporters to generate eBRCs at their end. Availability still depends on the bank’s integration and the particular transaction. If the IRM is missing, duplicated or associated with the wrong shipping bill, ask the AD bank to correct or re-share it before attempting an eBRC declaration.
What to provide for common exceptions
Advance payment received before shipment
Give the AD bank a written mandate identifying the shipping bill against which the advance IRM should be appropriated. Include the invoice and shipping-bill references so the bank can apply the advance to the correct export rather than leaving the IRM unmatched.

Partial realisation, commission or bank deductions
Submit a reconciliation statement that starts with the invoice value, identifies the amount received and explains every difference. Show agent commission, correspondent-bank charges, discounts or other deductions separately, and attach contracts, debit notes, remittance advice or correspondence that supports the explanation. The bank may ask for a declaration in its prescribed format.
Delayed realisation
If proceeds cannot be received within the applicable period, request an extension through the AD bank instead of waiting for the EDPMS entry to remain unresolved. Indian Bank’s FAQ states that the bank updates the exception in EDPMS after processing the extension request. Supply the reason, expected payment date and any buyer correspondence the bank requests.
Write-off of unrealised export proceeds
A write-off requires evidence that reasonable recovery efforts were made. RBI guidance lists examples such as buyer insolvency, an official-liquidator certificate, settlement through an embassy or chamber, and destruction or auction of goods by authorities. Provide the specific documentary evidence for your case, together with the bank’s write-off request or declaration.

Where applicable, surrender export incentives in the proportion required for the amount written off. The AD bank will determine the reporting and supporting documents under the relevant RBI conditions; do not treat a commercial decision to stop collection as sufficient proof.
Set-off against imports
For a set-off, provide the written, legally enforceable agreement or verifiable mutual consent required for the transaction. Identify the matching export and import invoices, amounts, currencies and counterparties. Ask the AD bank to report the export and import legs separately so the set-off is auditable rather than appearing as an unexplained non-receipt.
Refunds, re-imports, destruction or auction abroad
Expect to prove the transaction’s bona fides and show that export incentives were not claimed or have been surrendered. If goods were destroyed or auctioned abroad and you seek a waiver of re-import, provide the official destruction, auction or disposal evidence. A refund request should also explain why the payment returned, identify the bank transaction and connect it to the original shipping bill.

Cancelled, unusual or payment-platform transactions
Keep cancellation or return records, platform remittance reports, the underlying buyer invoice and any declaration requested by the bank. A payment-platform receipt may not display the original remitter or IRM information in the format the AD bank needs, so ask the bank what supplementary report or confirmation it accepts before filing.
Entries of ₹10 lakh or less
Sberbank India’s policy describes a special procedure for EDPMS entries up to ₹10 lakh: closure may be based on an exporter declaration, and declarations may be consolidated quarterly. This is a bank-implemented facility, not a universal entitlement. Confirm eligibility, declaration wording, quarter-end timing and submission channel with your own AD bank.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. Is a FIRC or FIRA enough on its own?
Usually not. A FIRC or FIRA can support proof that foreign currency was received, but the bank still needs to identify the corresponding shipping bill and verify the export value. Submit it with the shipping bill, invoice, bank credit details and eBRC or other realisation record. If the certificate covers multiple invoices or a net amount after charges, add a transaction-level allocation and reconciliation.

- Reference mismatch: The UTR, IRM, invoice or shipping-bill number differs by a digit, date or suffix. Correct the reference with the originating bank or Customs record; do not overwrite the document.
- Amount mismatch: The credit is lower because of charges, commission, exchange conversion or a short payment. Provide a calculation and evidence for each component.
- Wrong remitter: A group company, marketplace or payment intermediary paid instead of the buyer shown on the invoice. Explain the contractual relationship and provide platform or buyer confirmation.
- Missing IRM or eBRC access: Ask whether the bank has uploaded the IRM to DGFT and whether its API integration supports exporter declaration. Legacy certificates require the issuing bank’s correction route.
- Incomplete KYC: IEC, PAN, GST, AD code or account details are outdated or inconsistent. Update the bank’s KYC record before requesting closure.
- No proof of submission: A branch or email may have received files without opening a case. Obtain a ticket or written acknowledgement and follow up against the shipping-bill list.
Questions to ask your AD bank before filing
| Area | Confirm these details |
|---|---|
| Submission route | Whether the bank accepts branch delivery, secure email, a trade portal or a prescribed online form; file-size and signing rules. |
| Exception handling | Separate forms and evidence for advances, short realisation, extension, write-off, set-off, refund, re-import and platform receipts. |
| IRM/eBRC integration | Whether IRMs are visible in DGFT, whether exporter self-declaration is enabled, and how legacy bank-issued eBRCs are corrected. |
| Turnaround and acknowledgement | Expected processing time, escalation contact and how a completed EDPMS status is communicated. |
| KYC and charges | Documents needed to refresh IEC, PAN, GST, AD-code or account data, plus any current reconciliation, amendment or certificate fee in the bank’s tariff. |
These are operational questions, not guarantees of a particular service level. Confirm answers in the bank’s current written instructions and tariff.
