Choose an e-signature tool by matching its sending limits, repeat-document workflow, signing record, and client experience to your work—not by the number of features on a pricing page. First estimate how many documents you send in a typical month; then check what the provider counts as a send and whether the signing process fits the document and law that apply to your agreement.
Start with your monthly signing volume
Plan limits can be easy to misread because providers do not necessarily count a “send” the same way. DocuSign calls a signing package an envelope; it can contain one or more documents submitted together for signature. Its U.S. Personal plan lists five envelopes per month. Dropbox Sign describes its free package as allowing up to three signature requests a month. Those are different units, so compare them against the way you actually bundle documents—not just against a headline number. DocuSign U.S. plans; Dropbox Sign product page.
Before choosing a plan, count your typical monthly requests, including client agreements, statements of work, approvals, and amendments. Consider busy months too. Confirm whether a multi-document package uses one allowance unit or several, what happens when you reach the cap, and whether an upgrade or paid overage is required. Plan details vary by country and can change; verify the current offer for your location before subscribing.

- How many separate signing requests do you usually send, and how many documents go into each request?
- Does the provider count envelopes, requests, or another unit?
- Is the stated allowance monthly and recurring, and what happens when it is used up?
- Does the plan include the templates, integrations, or controls you need, or are those reserved for another tier?
Look for tools that reduce repeat work
If you send the same service agreement or approval form repeatedly, reusable templates can save preparation time and reduce missed fields. DocuSign and Dropbox Sign both describe reusable templates. Check whether a template can preserve your standard text and field placement, whether it can be reused for each client, and whether your plan includes enough template capacity for your workflow. A template should make routine sending easier, not turn a generic contract into legal advice. DocuSign describes its independent-contractor service agreement template as editable and intended for a service provider and client; the page says it was updated on 5 February 2026. The provider’s general template guidance recommends customization and attorney review for local requirements and possible gaps. Review the governing law and terms such as scope and deliverables, fees and payment timing, revisions, confidentiality, intellectual property, termination, and dispute handling with appropriate professional advice. Check the completed-document record
For client work, a useful signing record should help you establish who received and signed a request and when. Dropbox Sign describes a non-editable, time-stamped audit trail; DocuSign lists real-time audit trails for its individual plan. An audit trail supports recordkeeping, but it does not by itself prove that a particular signature method satisfies every legal requirement. If a document or client requires identity verification, signer authentication, restricted access, or a particular retention practice, confirm those capabilities explicitly rather than assuming they come with an audit log.

Match the signer experience to your clients
Signing should be straightforward for clients who may be opening the request on a phone or who do not use your document platform. Compare mobile-responsive signing, whether signers need an account, language support, reminders, and notifications. Dropbox Sign describes reminders, notifications, and signing in multiple languages; DocuSign lists mobile capabilities. Also map the tool to your existing workflow. Check whether it integrates with the cloud storage, document, CRM, invoicing, or automation services you already use. If you need more than one signer, confirm whether you can set signing order; if your documents have variable information, check whether custom fields can be prepared and reused. Vendor feature listings can identify stated capabilities, but they do not establish how well an integration performs in your particular setup.
Choose a signature method that fits the document and jurisdiction
Do not treat “e-signature” as a guarantee that every electronic signing method is suitable for every document. The European Commission’s eIDAS guidance says an electronic signature cannot be denied legal effect or admissibility solely because it is electronic or non-qualified. It also says: “A qualified electronic signature explicitly has the equivalent legal effect of hand-written signatures.” National or sector-specific procedures may still require a particular tool or signature level. That guidance is specific to the EU framework; it should not be generalized to every country or document. Check the rules that govern the agreement and the parties involved. If the document requires an advanced or qualified signature, identity assurance, or a specified signing process, confirm that the provider and plan support it before sending.

Adobe Acrobat Sign may be worth considering if your work is PDF-first, but the available comparison document is older. It describes workflow templates, integrations, and auditability; use it only as a starting point and check Adobe’s current product and plan details directly. Adobe comparison document.

A practical selection checklist
- Count your requests. Estimate a normal month and a busy month, including recurring agreements and approvals.
- Translate the plan limit. Check the provider’s sending unit, its monthly cap, and what happens at the limit.
- Test your repeat workflow. Confirm template reuse, field preparation, signer sequence, and any sharing or template-count limits that matter to you.
- Inspect the record. Verify what the audit trail records, how completed documents are stored, and whether the identity or access controls you need are included.
- Check the client path. Confirm mobile signing, account requirements, languages, reminders, and notifications.
- Map integrations. Make sure the service connects to the tools you actually use and supports your document-handling process.
- Check the legal requirement. Identify the jurisdiction and document-specific signature level or procedure before relying on a standard electronic signing flow.
- Verify live terms. Recheck pricing, limits, and features for your country on the provider’s current plan page before committing.
