Duplicate technology is worth reviewing when multiple applications or IT systems do the same or similar work. The overlap can add licensing and maintenance expense, complicate integrations, fragment data, and leave security capabilities uneven. But similar tools are not automatically wasteful: the right decision depends on how well each one serves current and future business needs, what departments rely on it, and what consolidation would cost.

What counts as duplicate technology?

Duplicate technology is the use of multiple tools or systems with overlapping functions. It can include redundant applications, replicated systems, and shadow technology adopted within departments without a coordinated organization-wide view.

Overlap often accumulates gradually. Reorganizations and organic growth can leave teams with separate tools; mergers and acquisitions can bring overlapping systems into one company; and poor communication, departmental silos, weak IT governance, new tools, or new use cases can add further duplication. These are common paths to overlap, not proof that any particular pair of systems should be merged.

Why can overlap become a bottom-line problem?

Namratha Peddisetty’s July 1, 2024 article for ITPro Today describes several potential costs and operational problems associated with duplicate systems. These are qualitative industry commentary, not quantified results from a study or company case.

  • Fragmented data and processes: Separate systems may hold inconsistent records or make it harder to standardize work across teams.
  • Uneven security capabilities: Different systems may not provide the same cybersecurity capabilities, complicating a consistent security posture.

Consolidation may reduce licensing and management costs and improve process and data integration, but it requires transition investment. The article reports no savings percentage, payback period, measured comparison, or named company outcome. An organization therefore needs to establish its own costs and expected benefits rather than treating savings as guaranteed.

How should an organization assess overlapping systems?

Start with an inventory, then compare tools against business needs and the practical consequences of keeping or changing them. The sequence below reflects recommendations in Peddisetty’s article; it is not a validated or independently tested methodology.

  1. Inventory applications and systems. Include departmental and shadow tools, not just software formally managed by central IT. Record what each tool does and which teams rely on it.
  2. Assess business fit. Compare each system with current and anticipated needs. As Peddisetty puts it, “The first step in eliminating tech redundancy is to evaluate existing technologies to determine which tools best align with current and future business needs.”
  3. Compare the real trade-offs. Consider department requirements, integration and data flows, maintenance burden, licensing and operating costs, cybersecurity capabilities, customer experience, and the effort required to migrate. Similar functionality alone does not establish that one tool can replace another.
  4. Involve stakeholders. Include relevant departments in selecting or changing a platform so that organizational goals and team requirements are represented.
  5. Review proposed additions and migrations through IT governance. A governance group can assess whether a new tool or migration is necessary and advantageous before another system becomes part of the portfolio.
  6. Keep the inventory useful. Application portfolio management tools can help maintain software inventories and effectiveness metrics for governance decisions. Peddisetty mentions this category without endorsing a particular product or vendor.

When should customer systems get attention?

If separate customer-facing systems maintain different records or IDs, assess whether that separation prevents staff from seeing a coherent customer view. Peddisetty suggests customer-facing technologies may deserve priority because customer experience affects revenue. Treat that as a consideration, not a proven sequencing rule: the organization still needs to weigh customer impact against migration risk, transition effort, and other business requirements.

What does the evidence establish—and what does it not?

Peddisetty’s article, “Duplicate Tech: A Bottom-Line Issue Worth Resolving,” was published by ITPro Today on July 1, 2024. ITPro Today’s page now notes that the publication ended on September 30, 2025. The article supports the general case for reviewing overlapping technology, but it does not quantify the costs of duplication or the benefits of consolidation. Kannan Subbiah’s July 2, 2024 LinkedIn post reproduces the title and central passage; it is corroboration of the article, not an independent study.
