A dedicated app suits structured entries and built-in search; a spreadsheet suits custom fields and analysis; a notebook suits handwriting and freeform notes. None is proven to make better coffee—the difference is how you record, find, and protect your brew history.
What should a useful coffee brew log record?
Record enough of the brew to make a past cup understandable and, when you want, repeatable. Reader examples include coffee or bean, dose, grind setting, water amount, brewing method, temperature, technique, and tasting notes. You can also note output and a rating. The exact fields depend on how you brew; consistency matters more than filling every possible field.
A Reddit discussion about keeping track of recipes captures the practical question: how to remember a previous coffee, grinder setting, water temperature, and grams or milliliters. Its examples include spreadsheets, small notebooks, phone notes, and recipe cards; they illustrate individual habits, not a controlled comparison. Read the discussion.
How do the three record-keeping methods compare?
| Consideration | Dedicated app | Spreadsheet | Notebook or recipe cards |
|---|---|---|---|
| During the brew | Structured forms and sometimes timers; the workflow depends on the app. | Flexible, but you may need to design the entry layout first. | Freeform and device-free; handwriting is part of the process. |
| Finding and comparing brews | Some apps offer history, search, filters, or statistics. | You can build custom tables, formulas, and charts, but must maintain them. | Usually requires manual review and comparison. |
| Customization | Varies by app; some let you configure methods and records. | You control the columns, tabs, and formulas. | You can write freely, without a fixed form. |
| Portability and backup | Check storage, export, backup, and phone-transfer details for that app. | Depends on the spreadsheet service and your backup habits. | A paper copy can be lost or damaged; digital backup is not inherent. |
| Equipment data | Some apps support connected equipment; compatibility depends on the app and model. | Measurements can be entered manually; automation requires setup. | Measurements are recorded by hand. |
The spreadsheet and notebook trade-offs are format-level guidance informed by reader examples, not results of controlled testing. There is no basis here to say one method is universally faster or produces better extraction or flavor.

When is a dedicated coffee journal app the right fit?
Choose an app if you want a repeatable set of fields and expect to search or review past brews on a phone. Depending on the particular app, features can include timers, guided recipes, bean inventories, ratings, filters, statistics, repeat-brew workflows, visualizations, and equipment connections. These are not standard features of every coffee app: check the platform and capabilities you need.
Beanconqueror
Beanconqueror describes brew overviews and details, statistics, visualizations, Bluetooth-device support, offline local storage, and an open-source project. Its documentation describes iOS and Android availability, configurable brewing methods, bean and roast tracking, water records, and integrations with named scales and profiling devices.

Plan how you will protect its data. The app’s FAQ warns users to make a full backup before uninstalling because records are stored locally on the phone. It also describes synchronization and login as substantial development and testing work. Do not treat local storage as automatic cloud backup or assume that changing phones will transfer your log without preparation.
BeanBench
BeanBench describes an iOS-focused journal with guided recipes, searchable brew logging, a bean library, café check-ins, statistics, and CSV or JSON export. Its site says an account is not required, describes storage as local-first with optional iCloud, and documents importing Beanconqueror history. It also describes optional Bluetooth scale data and manual refractometer readings for extraction-yield calculations. These are the developer’s feature descriptions, not independent usability test results.

Brew Logs
Brew Logs describes a mobile-first workflow with timers, history, ratings, filters, search, duplication, quick statistics, offline use after loading, local device storage, and export. Its changelog lists version 0.26.0 dated July 3, 2026, and version 0.25.2 dated June 27, 2026. Check the current app details for the platform and features relevant to you.
When does a spreadsheet make more sense?
A spreadsheet is a good fit if you want to choose exactly what to record or make your own comparisons. One brewer described separate tabs for brewing methods, coffee details, and ratings, with fields such as coffee, dose, grind size, brew water, output, and tasting notes. That illustrates the flexibility; it also shows the setup and maintenance the user takes on. The example is anecdotal, not proof that spreadsheets are better than apps.

You can start with a single row per brew and columns for date, coffee, method, dose, grind, water, temperature, time, output, and notes. Add formulas, tabs, or charts only when they help answer a question you actually have. The format itself does not guarantee a useful analysis: entries need to be consistent, and you are responsible for keeping the structure usable and the file backed up.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. When is a notebook or recipe card better?
Choose paper if you like writing by hand, want freeform space, or prefer not to use a device while brewing. A reader described writing down when and how a brew was made—including grind size, method, and technique—then adding impressions and bean details. Another used phone notes while experimenting and copied a successful recipe onto a card in a recipe book. These are personal examples, not comparative testing. See the reader discussion.

Paper has no built-in search, copying, graphing, or backup, so those tasks may take more manual work. A simple index, dated pages, or one card per recipe can make a handwritten log easier to revisit, but the organization is yours to maintain.
How should you decide?
- Pick an app if structured entry, phone-based history, and built-in search or statistics are priorities. Verify platform availability, export options, and backup behavior first.
- Pick a spreadsheet if custom columns, formulas, or your own analysis matter more than having a ready-made brew workflow.
- Pick paper if you value handwriting and freeform notes enough to accept manual searching and backup.
- Try a hybrid if it fits your routine: one reader experimented in phone notes and transferred a successful recipe to a card. You do not have to preserve every draft in one system.
Before committing, enter a few ordinary brews and check whether the method captures the details you care about without becoming a chore. For an app, also confirm that you can retrieve or export those entries and understand what happens if you delete it or change phones.
Do you need a connected scale or refractometer?
No. A connected scale can automate some measurements if both the scale and app are compatible; support is model-specific. Beanconqueror describes integrations with named devices, while BeanBench describes optional supported scale pairing for weight and flow data. Check the app’s compatibility information before buying equipment.
A refractometer is relevant to a narrower workflow: BeanBench describes entering readings to calculate extraction yield. It is not a prerequisite for keeping a useful brew journal; ordinary recipe details and tasting notes can be logged without one.
Is Brewfather a coffee brew journal?
No. Brewfather’s official documentation and App Store listing describe beer recipe design and batch tracking, so it is not a direct coffee-journal alternative.
