Yes—free office apps can replace Microsoft 365 for many teams whose work is mostly browser-based, uses ordinary documents and spreadsheets, and fits within free storage limits. A free suite is a reasonable replacement when people mainly create, share, and edit routine files in a browser. It is especially practical when collaborators can use the same service, the storage allowance is sufficient, and no one depends on desktop-only features.

- Everyone can collaborate through shared cloud files rather than relying on local copies.
- Your files fit comfortably within the free storage available to the relevant accounts.
- Your team has tested its important files and does not depend on formatting or functions that fail to carry across suites.
Where Microsoft 365 or another setup may still be necessary
Desktop apps or specialized Office features
Microsoft’s free account provides web apps only; it does not include the desktop apps available with paid Personal or Family subscriptions. If a workflow depends on a particular desktop capability or advanced Excel behavior, confirm that the web version supports it before switching.

More cloud storage
The free Microsoft allowance is 5 GB, while Google Workspace Essentials lists 15 GB per user. For a Microsoft 365 Personal or Family subscription, Microsoft lists 1 TB per person. Consider how much storage your files actually consume and whether the account’s allowance covers the whole team’s needs.
Microsoft file behavior and co-authoring
Google Drive can open and edit uploaded Office files, and Google says changes are automatically saved to the file in its original Office format. That is useful for exchange, but it is not a promise that every complex layout or specialized feature will behave identically. Microsoft co-authoring depends on shared files and permissions. People working offline will not make their changes visible to others until they reconnect, and overlapping edits can require conflict resolution. Third-party storage can be an option, but supported features depend on the provider, account type, and administrator settings. Google lists Box, Dropbox, and Egnyte as possible storage integrations, with limitations compared with Drive. Its documentation identifies unsupported capabilities for files held outside Drive, including Google Forms, mobile editing in Docs, Sheets, and Slides, Apps Script and APIs, some Sheets functions, and Drive file-management controls. How to decide before switching
- List the must-haves. Identify desktop app requirements, advanced spreadsheet functions, offline work, file types, storage needs, and administration controls.
- Choose the likely home for shared files. Microsoft co-authoring requires a supported storage and permissions setup; Google’s strongest collaboration path is its own Drive environment.
- Test representative files. Open a typical document, spreadsheet, and presentation in the alternative suite. Check layout, formulas, comments, sharing permissions, and how collaborators’ edits appear.
- Check the storage arithmetic. Compare the actual space used by team files with the applicable free allowance, including the per-user nature of Google’s stated Essentials storage.
- Move a small workflow first. Confirm that all collaborators can edit and recover the files as expected before moving work that would be costly to disrupt.
Verdict
Free office apps can replace Microsoft 365 when collaboration is mostly online, files are routine, and the free storage and feature set are enough. They are not a like-for-like replacement for paid Microsoft 365 if the team needs desktop Office apps, greater storage, specific Microsoft functionality, or a particular administration workflow.
