Google Calendar exposes calendars, events, calendar lists, settings and access-control rules through a REST API and client libraries. Microsoft Graph provides Outlook calendar operations for personal and work or school accounts. In both cases, automation is limited by the account owner’s authorization, sharing settings, provider terms, applicable law and your own retention and security practices.
This guide shows how to choose an API route, design a reliable extraction or synchronization job, handle time zones and recurring events, and avoid the compliance and data-quality failures that make browser scraping fragile.
What “calendar scraping” should mean in a production system
People often use scraping to describe any automated extraction. A production integration should instead authenticate to the provider’s supported API and request only the resources your workflow needs. Browser automation against a logged-in calendar page is not automatically authorized: the user’s permission, the calendar owner’s sharing decision, the service’s terms and applicable law still govern access and retention.
Do not treat an API response as a license to build a permanent mirror. Google’s API terms state: “Unless expressly permitted by the content owner or by applicable law, you will not, and will not permit your end users or others acting on your behalf to, do the following with content returned from the APIs:” The terms restrict scraping, permanent copies, excessive caching and disclosure of non-public content. Microsoft’s API terms similarly require minimum necessary permissions, consent, security, privacy information and retention/deletion controls.

The reviewed documentation does not establish a single current quota, price, or universal scope set for either provider. Verify those details in the provider’s current documentation for your account type and application registration.
Define the extraction contract before writing code
Specify the minimum fields
Write down exactly what the job needs: for example, event identifier, title, start and end, time-zone information, recurrence, organizer, attendees, location and last-change state. If a report needs only free/busy windows, do not collect descriptions or attendee addresses. This is both a privacy control and a way to reduce synchronization work.
Decide whether you need read, write or sharing access
- Read: reporting, search or downstream availability.
- Write: creating, changing or cancelling events.
- Sharing/delegation: operating on another person’s calendar. Confirm the owner’s rights and the recipient’s accepted invitation or added calendar.
Set a retention and deletion rule
Document how long event data, refresh credentials, logs and exports remain. Delete records when the user disconnects, uninstalls or withdraws access. Keep tokens out of source control and redact event titles and descriptions from routine logs.
Authorization and permissions workflow
- Register an application in the provider’s developer portal and configure the redirect URI and environment-specific credentials.
- Request the narrowest permission set that implements the extraction contract. Do not ask for write or sharing privileges when read-only data is sufficient.
- Obtain explicit user consent. Explain which calendars and fields are processed, where data is stored, who can see it and how to disconnect.
- Store credentials securely. Use a secrets manager or protected environment variables; encrypt tokens at rest and restrict operational access.
- Record the granted account and calendar context. A user can have multiple calendars, and access can change after consent.
- Handle revocation and expiry. Treat authorization failures as a signal to pause synchronization and ask the user to reconnect, not as a reason to retry indefinitely.
Exact OAuth scope names and consent-screen requirements vary by provider and account type. Use the current Google and Microsoft documentation when implementing registration.

Build an extraction pipeline that survives real calendars
1. Discover calendars, then select explicitly
Do not assume the primary calendar is the only source. Enumerate the calendars available to the authorized user, present a clear selection, and persist the provider calendar identifier. For shared calendars, verify that the owner’s sharing or delegation is still valid.
2. Normalize time without destroying meaning
Store the provider’s event identifier, the original start and end values, and the original time-zone identifier when supplied. Convert to an internal UTC representation for ordering, but retain the source zone for display and recurrence calculations. Microsoft’s overview notes that Outlook event start and end times are returned in UTC by default while original time-zone properties are also available; do not interpret a UTC value as proof that the meeting was created in UTC.
3. Treat recurrence as a rule, not a pile of independent events
Keep the recurring-series identity and exception data. Expand occurrences only for a defined reporting window, and preserve edits or cancellations to individual instances. A “next 30 days” report should not permanently materialize every future occurrence.
4. Make synchronization idempotent
Use the provider event identifier plus calendar context as your natural key. Upsert records rather than inserting duplicates. Track changed and deleted states where the API exposes them, and define what happens when an event moves calendars or an account loses access.

5. Isolate failures
- Retry transient network or service failures with bounded exponential backoff.
- Do not retry authorization, permission or validation errors without changing the request or reconnecting the account.
- Send malformed events to a quarantine queue so one record does not stop the entire import.
- Record request correlation data and status codes, but avoid logging private descriptions or attendee lists.
Implementation shape: a provider-neutral Python worker
The following structure is deliberately provider-neutral because endpoint paths, OAuth scopes and pagination parameters change and must be copied from the current provider documentation. It demonstrates the safety properties your implementation should have: a short field allow-list, timeout, bounded retries, idempotent upserts and deletion handling.

Set CALENDAR_EVENTS_URL to the documented events-list endpoint for your provider, and adapt the response field names and pagination token to that API. This avoids presenting an invented endpoint or scope as universal. For production, add persistent checkpoints, metrics, a dead-letter queue and tests around daylight-saving transitions and recurring-event exceptions.
Google Calendar-specific considerations
Google models events, calendars, a calendar list, settings and ACLs. Use the calendar list to discover which calendars the authorized user can access, inspect the relevant ACL before processing a shared calendar, and read the user’s time-zone setting when presenting results. Keep API-returned non-public content inside the consented application boundary. Google’s terms are published at Google APIs Terms of Service; review the current language before choosing a cache or export design.
Microsoft Graph-specific considerations
Microsoft Graph’s Outlook calendar API supports creating, managing and responding to events for personal and work or school accounts. For a shared calendar, the owner controls visible details and write access; the recipient must accept the invitation or explicitly add the calendar in Outlook before API management can proceed. Microsoft’s API terms require minimum necessary permissions, consent, security, a user-facing privacy statement and retention/deletion controls. Operational, security and cost decisions
- Polling versus event-driven updates: poll only as often as your freshness requirement justifies; use a provider-supported change or notification mechanism when available.
- Backups: keep only the minimum recoverable data. A full permanent copy can conflict with provider terms and your stated purpose.
- Observability: measure successful records, authorization failures, transient retries, latency and deletion processing without exposing event content.
- Load control: paginate, cap concurrency, honor provider responses and make jobs resumable.
- Legal review: the platform terms are not legal advice or a complete survey of every calendar provider. Get advice for regulated, employment, education or cross-border use cases.

Can I automate a calendar I can see in my browser?
Visibility in a browser does not by itself grant permission to automate or retain the data. Use the provider’s API and confirm the account owner’s authorization and sharing rights.
Should I store every event returned by an API?
No. Store only fields required for the stated workflow, set a deletion schedule, and avoid permanent copies where the provider’s terms or the user’s consent do not allow them.
