The best team communication tool for a small business depends on what it already pays for and how its people work. Start with Microsoft Teams if your business runs on Microsoft 365, Slack if channel-based messaging and integrations are the priority, Google Workspace if your work is already centered on Google services, or Connecteam if you have a mobile or deskless workforce. Zoom is worth considering when chat needs to stay closely connected to meetings. These are fit-based recommendations—not a ranking from hands-on product tests.

Microsoft Teams: for businesses already using Microsoft 365
Teams is a strong first candidate when a business wants chat, meetings, file sharing, and collaboration within the Microsoft environment. Microsoft describes Teams as a place to “Chat, meet, and securely share files with your team and customers”; that is vendor marketing, not an independent assessment.
On Microsoft’s US small-business page accessed September 30, 2026, Teams Essentials was listed at $4 per user per month, paid yearly. The plan lists group meetings of up to 30 hours and 300 participants, 10 GB of cloud storage per user, file sharing, tasks and polling, and recordings with English transcripts and live captions. Microsoft 365 Business Basic was listed at $7 per user per month, paid yearly; it adds web and mobile Office apps, custom business email, 1 TB of storage per user, and other apps. Slack: for channel-based messaging and integrations
Slack centers communication on messaging, with audio and video huddles and app integrations. Its business-communication page said its marketplace had more than 2,600 apps when accessed September 30, 2026. Check the current plan details to confirm which capabilities and limits apply to your team.
