There is no universal “most secure” AI assistant. For a team handling confidential information, the safest choice is usually the assistant that fits the identity provider, document permissions, retention rules, audit tooling and regional requirements you already administer. A practical shortlist is Microsoft Copilot, Google Workspace with Gemini or Gemini Enterprise, Anthropic Claude commercial plans and OpenAI business products.
Compare each option on contractual data-use commitments, model-training defaults, connector permissions, retention and deletion, auditability, regional processing, incident response and procurement terms. Then deploy the selected service as a controlled data system—not as an ungoverned chatbot.
What a secure AI assistant must protect
An enterprise assistant can see far more than a public chatbot when it is connected to mail, files, calendars, source code, customer records or internal knowledge bases. Security therefore depends on the whole information path: the account that authenticates the user, the permissions on every connected source, the prompts and uploaded files, the model provider’s handling of that data, the generated response, and the logs retained by your organization.
Model quality and safety features matter, but they do not compensate for excessive access. A highly capable assistant with a misconfigured connector can expose sensitive material to an otherwise authorized employee. Conversely, a service with strong contractual controls can still be unsafe if staff use personal accounts, copy regulated data into prompts or allow broad group permissions.
#1 Best Overall
- POWERFUL SECURITY KEY: The YubiKey 5 NFC is the most versatile physical passkey, protecting your digital life from phishing attacks. It ensures only you can access your accounts
- WORKS WITH 1000+ ACCOUNTS: Compatible with popular accounts like Google, Microsoft, and Apple. A single YubiKey 5 NFC secures 100+ of your favorite accounts, including email, password managers, and more
- FAST & CONVENIENT LOGIN: Plug in your YubiKey 5 NFC via USB and tap it, or tap it against your phone (NFC), to authenticate. No batteries, no internet connection, and no extra fees required
- MOST SECURE PASSKEY: Supports FIDO2/WebAuthn, FIDO U2F, Yubico OTP, OATH-TOTP/HOTP, Smart card (PIV), and OpenPGP. That means it’s versatile, working almost anywhere you need it
- PRIMARY & SPARE KEYS: Just like having a spare house key, we recommend buying two YubiKeys - one for daily use and one as a spare. That way you’ll never get locked out of your accounts
- Data use: Determine whether prompts, uploaded content, outputs and feedback are used to train models, and whether that commitment is contractual or merely a product setting.
- Identity and access: Require managed accounts, single sign-on, multifactor authentication, role administration and least-privilege group membership.
- Source permissions: Confirm that retrieval follows the original document permissions and that administrators can review or disable connectors.
- Retention and deletion: Establish how long prompts, files, outputs and logs remain available, how deletion works, and whether legal holds override ordinary deletion.
- Location and transfer: Check processing regions, data residency options and any cross-border transfer terms relevant to your jurisdictions.
- Audit and response: Verify event logs, administrator visibility, export capability, alerting and the process for investigating misuse or a suspected breach.
- Human oversight: Keep people accountable for high-impact decisions; an assistant’s confident wording is not evidence that its answer is correct or lawful.
The correct question is not “Which brand is safest?” It is “Which service gives our administrators enforceable control over the data and identities this team already uses?”
Shortlist comparison
The following summary reflects the vendors’ stated commercial controls. Treat each row as a starting point for contract and tenant verification, because plan names, defaults and regional availability can change.
| Option | Stated data-use position | Identity, permissions and governance | Questions to verify before purchase |
|---|---|---|---|
| Microsoft Copilot | Microsoft says enterprise prompts and responses receive the same contractual protections as Microsoft 365 commercial data. Prompts, responses and Microsoft Graph data are not used to train foundation models. | Copilot respects Microsoft identity models and permissions, inherits sensitivity labels, applies retention policies and supports audit. | Confirm the exact Copilot license and tenant configuration; test inherited permissions, labels, retention and audit events in your environment. |
| Google Workspace with Gemini or Gemini Enterprise | Google says interactions stay within the organization and that customer prompts, outputs and data are not used to train Google generative AI models or another customer’s models without permission. | Existing Workspace protections apply, subject to the edition and administrator settings you operate. | Verify edition-specific controls, data regions, retention behavior, administrator restrictions and connector scope. |
| Anthropic Claude commercial plans | Anthropic says inputs and outputs from commercial products are not used to train models by default. | For Claude for Work, the customer controls submitted data and Anthropic acts as processor under commercial terms. | Review feedback settings, retention, regional terms, administrator roles, identity integration and the precise commercial agreement. |
| OpenAI business products | OpenAI says business data is not used to train models by default and describes customer-control and compliance commitments. | Capabilities and administrative controls depend on the exact business product and tier. | Identify the product tier, data-residency choices, retention controls, audit features, connector permissions and contractual terms that apply to your account. |
Microsoft Copilot: the natural fit for Microsoft 365 estates
Copilot is the strongest first candidate when a company already governs work in Microsoft 365. Microsoft states that enterprise prompts and responses receive the same contractual protections as Microsoft 365 commercial data. It also states that prompts, responses and Microsoft Graph data are not used to train foundation models.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →Permission-aware retrieval and labels
Copilot is designed to respect Microsoft identity models and existing permissions. It can inherit sensitivity labels, apply retention policies and support audit. These controls reduce the risk of creating a second, parallel permission system: a user should retrieve only the mail, files or sites that the underlying Microsoft account already permits.
That protection is only as good as the tenant. Overshared SharePoint sites, stale security groups or inherited access can produce an accurate answer that the recipient should never have been able to see. Before enabling broad retrieval, identify high-risk repositories, clean up permissions and test with accounts representing ordinary employees, managers, contractors and administrators.
What to verify
- The Copilot license and plan attached to each user or group.
- Whether sensitivity labels and retention policies cover every content source the assistant can search.
- Which audit events are generated, who can access them and how long they remain available.
- Whether external sharing, guest accounts and third-party connectors are in scope.
- How a departed employee’s account, tokens and cached results are revoked.
Copilot is not automatically the best choice for a company whose authoritative data lives outside Microsoft 365. In that case, connector behavior, regional processing and the quality of the external permission mapping may matter more than the Microsoft 365 integration.
Google Workspace with Gemini and Gemini Enterprise
Google positions Workspace with Gemini and Gemini Enterprise for organizations that already manage collaboration in Google Workspace. Google says interactions stay within the organization, existing Workspace protections apply, and customer prompts, outputs and data are not used to train Google generative AI models or another customer’s models without permission.

Administration and data boundaries
Workspace protections do not remove the need to configure editions and administrator settings carefully. Decide which users can invoke the assistant, which Workspace services it may access and whether external applications or extensions are allowed. Keep data-region and retention decisions aligned with the same policies used for Gmail, Drive and other Workspace content.
What to verify
- The exact Workspace edition or Gemini Enterprise offering and the controls included with it.
- Data-region options and whether all relevant processing follows your required geography.
- Retention and deletion behavior for prompts, generated content, administrative logs and legal holds.
- How Drive sharing, shared drives, groups and external collaborators affect retrieval.
- Whether administrators can export logs and investigate a user’s access to sensitive material.
Gemini is a sensible default when Google identity and Drive permissions are already authoritative. If your most sensitive records are in another system, test that system’s connector independently rather than assuming Workspace protections extend unchanged to it.
Anthropic Claude commercial plans
Anthropic says inputs and outputs from its commercial products are not used to train models by default. For Claude for Work, Anthropic says the customer controls submitted data and Anthropic acts as a processor under commercial terms. That combination can suit teams that want a focused assistant while retaining contractual control over business content.
Commercial data handling
“By default” is an important qualification. Review the settings and terms governing user feedback, optional product-improvement programs, support access, retention and deletion. Decide whether employees may submit thumbs-up or thumbs-down feedback containing confidential text, and whether administrators can disable that behavior.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsIdentity and integrations
Evaluate Claude against your existing identity provider and knowledge systems rather than treating it as a standalone chat window. Confirm single sign-on, multifactor authentication, role administration, connector permissions and audit exports for the exact commercial plan. If the service cannot express your existing groups or document boundaries, restrict it to approved data sets until that gap is resolved.
What to verify
- Which Claude commercial plan is being purchased and which administrator controls it includes.
- Feedback, support and abuse-monitoring settings that could expose submitted content to human reviewers.
- Retention periods for conversations, uploaded files, generated artifacts and logs.
- Processing regions and cross-border transfer terms for your users and customers.
- How an administrator disables access and removes data when a user changes role or leaves.
OpenAI business products
OpenAI says business data is not used to train models by default and describes customer-control and compliance commitments. The label “business products” covers more than one tier, so security decisions must be made against the exact product, workspace configuration and contract—not against the consumer service with a similar name.
Define the product boundary
Record the product tier, account type, enabled models, connected applications, administrator roles, retention settings and data-residency choices. A team should not be allowed to mix consumer accounts and a managed business workspace for the same confidential workflow; the organization loses consistent logging and offboarding when it does.

- BUILT TO LAST: Made from tough, waterproof, and crush-resistant materials. Manufactured in Sweden and programmed in the USA with the highest security standards.
What to verify
- The written data-use commitment and whether it covers prompts, files, outputs, feedback and support interactions.
- Available data-residency regions and any restrictions on where processing occurs.
- Workspace retention, deletion, legal-hold and export capabilities.
- Single sign-on, multifactor authentication, role separation and group provisioning.
- Connector and API scopes, including whether retrieval honors source-system permissions.
OpenAI may be the best fit where teams need its business ecosystem or API capabilities, but the answer depends on the tier and governance controls you can actually enforce. Do not generalize a default from one OpenAI product to every other product.

Choose by your existing control plane
Use this decision framework to narrow the shortlist without declaring a universal winner.
Choose Microsoft Copilot first when
- Microsoft Entra identity, Microsoft 365 files and Microsoft retention and labeling policies are already authoritative.
- Your security team relies on Microsoft audit data and wants the assistant to inherit those controls.
- You can remediate overshared SharePoint, OneDrive or Teams content before enabling broad retrieval.
Choose Google Workspace with Gemini first when
- Google identity, Drive sharing and Workspace administration define the organization’s normal access model.
- Data-region and Workspace retention controls meet your legal and customer commitments.
- You want the assistant’s interactions to remain inside the organization’s Workspace boundary under Google’s stated terms.
Choose Claude commercial plans first when
- You need a commercial assistant with Anthropic’s stated no-training-by-default position and processor terms.
- Your team can integrate or constrain identity, connectors, retention and audit controls for the selected plan.
- You are prepared to govern feedback and optional improvement settings explicitly.
Choose an OpenAI business product first when
- The required workflows depend on a specific OpenAI business tier or API capability.
- The product’s residency, retention, identity and audit controls satisfy your risk assessment.
- You can keep business use inside managed workspaces and prevent consumer-account fallback.
A secure rollout plan
Roll out the assistant as a controlled pilot, measure how it behaves with realistic permissions and expand only after the controls pass.
-
Classify data and prohibit unsafe prompts
Create a short policy that names data employees must not paste or upload without an approved workflow. Include passwords, private keys, payment-card data, unredacted health information, export-controlled material, confidential deal documents and another person’s personal data where processing is not authorized. Map each classification to an approved assistant, connector and retention rule. Make the policy visible in the chat interface, onboarding material and incident-reporting process.
-
Use managed identities and least privilege
Require work accounts, single sign-on and group-based provisioning. Apply least privilege to users, connectors and administrators. Separate ordinary users from people who can change retention, export logs, approve integrations or access support cases. Disable shared accounts; they make attribution and offboarding unreliable.

Review source permissions before retrieval
Inventory the repositories that the assistant will search. Remove stale group membership, anonymous links and broad guest access. Test a normal employee, a manager, a contractor and a newly created account. Ask each account for the same sensitive record and confirm that the response matches the underlying permission boundary. Include deleted, archived and legally held content in the test.
-
Require phishing-resistant administrator authentication
Protect administrators and high-risk users with phishing-resistant multifactor authentication. Yubico describes the YubiKey 5 Series as hardware-based authentication supporting FIDO2/WebAuthn and strong phishing defense in its 2025 Annual Report. Whichever authenticator you choose, maintain recovery procedures, spare keys and a tested process for revoking a lost device.

-
Set retention, deletion and regional requirements
Have security, privacy and legal owners agree how long prompts, files, outputs, audit events and support records may remain. Document deletion triggers, legal holds, employee offboarding and customer erasure requests. Confirm the processing regions and transfer mechanisms for every enabled feature, including support and abuse-monitoring paths.
-
Pilot with synthetic or low-sensitivity data
Start with a small group and non-sensitive test material. Record which prompts, files and connectors are used, then review logs for unexpected access. Do not treat a successful demo as proof of security; deliberately include malformed prompts, conflicting instructions, hidden text in documents and requests for data outside the user’s role.

Test prompt injection and exfiltration
Place instructions in a test document that tell the assistant to ignore policy, reveal hidden context or send data to an external destination. Ask users to retrieve records they should not see and to combine several individually harmless fields into a sensitive conclusion. Confirm that connectors preserve source permissions, that outbound actions require approval and that alerts reach the right responders.
-
Add human review to high-impact workflows
Require a named person to review outputs used for employment, credit, insurance, health, legal, safety or customer-impacting decisions. Keep the source evidence and the reviewer’s decision separate from the generated prose. Provide a simple route for reporting unsafe, biased, confidential or clearly incorrect output.
Threat scenarios to test before launch
| Scenario | What can go wrong | Control and test |
|---|---|---|
| Overshared repository | The assistant faithfully summarizes a file exposed to a broad group. | Clean group and link permissions; test retrieval with accounts at each access level. |
| Prompt injection in a document | Embedded instructions persuade the assistant to ignore policy or disclose hidden context. | Use adversarial test files; require tool and outbound-action approvals. |
| Personal account fallback | An employee copies confidential text into a consumer chatbot outside organizational logging. | Block or discourage unmanaged accounts where possible; train staff and provide an approved alternative. |
| Excessive connector scope | A connector can read an entire repository when the workflow needs one folder. | Grant the smallest scope, review tokens and test revocation. |
| Stale access after departure | Cached sessions or group membership let a former user continue querying data. | Automate deprovisioning, revoke sessions and verify access after termination. |
| Unsafe generated action | A user accepts a plausible but incorrect email, code change or customer decision. | Require human approval, preserve source context and log the final action. |
Contract and procurement checklist
Security claims in product pages are not a substitute for the terms that govern your account. Ask the vendor to identify the controlling documents and the product features to which each commitment applies.
- Scope: Name the product, tier, regions, models, APIs, connectors and support channels covered.
- Data categories: State whether prompts, uploaded files, outputs, feedback, telemetry and support material are customer data.
- Training: Confirm the no-training default, exceptions, opt-in mechanisms and who can change the setting.
- Processor role: Establish roles, subprocessors, confidentiality duties and assistance with data-subject requests.
- Retention: Document defaults, configurable limits, deletion timing, backups and legal-hold behavior.
- Location: Record processing regions, transfer mechanisms and notice requirements for changes.
- Security evidence: Request current independent assurance reports, penetration-test summaries or equivalent evidence appropriate to your risk.
- Incident response: Set notification timelines, contacts, cooperation duties and evidence-preservation expectations.
- Exit: Define data export, deletion certification, token revocation and assistance when the contract ends.
Operating the assistant after launch
Security is a recurring operating process, not a one-time configuration. Assign an owner for each control and review it on a schedule appropriate to the data risk.

Logging and monitoring
Send available assistant and identity events to the organization’s monitoring process. Look for unusual volume, repeated requests for restricted subjects, new connectors, mass exports, access from unexpected regions and attempts to bypass policy. Retain enough context to investigate without keeping sensitive prompts longer than necessary.
Training and feedback
Teach employees to verify source permissions, avoid secrets, recognize prompt injection and report unsafe output. Explain that a generated answer can be confidential even when it is wrong, and that copying it into another service creates a new disclosure path. Update the training when the assistant gains a new connector or action capability.
Change management
Reassess the service when the vendor changes plan names, models, default retention, processing regions, administrator settings or contractual language. Record the decision, affected users and rollback plan. A feature that was acceptable for summarization may require a new assessment when it gains the ability to send messages, edit files or call external systems.

Common mistakes and practical fixes
Choosing by brand alone
Fix: Score each candidate against your actual identity provider, authoritative repositories, regions, retention rules, audit workflow and contract requirements.
Assuming a consumer account has enterprise protection
Fix: Permit confidential work only in a managed business product whose data-use and administrative terms your organization has approved.
Assuming the assistant repairs bad permissions
Fix: Treat source access as the security boundary. Clean groups and sharing links before enabling retrieval, then test with representative accounts.
Leaving defaults unexamined
Fix: Explicitly configure retention, feedback, connectors, regions, administrator roles and logging; record the chosen values and their owners.
Ignoring exit and incident procedures
Fix: Rehearse account disablement, token revocation, log preservation, vendor notification, data export and deletion before a real incident occurs.
The practical verdict
Microsoft Copilot is generally the most straightforward secure starting point for a Microsoft 365-controlled organization; Google Workspace with Gemini is the analogous choice for a Google-managed environment. Claude commercial plans and OpenAI business products can be strong choices when their specific contractual, residency, identity, retention and connector controls meet the team’s requirements. None is safe merely because it is marketed for business.
Adopt the assistant that lets your existing administrators enforce least privilege, observe use, retain and delete data appropriately, and respond to incidents. Start with a constrained pilot, prove that retrieval boundaries hold, and expand only after security, privacy and legal owners approve the tested configuration.
