Smokeball says its price depends on firm size, plan, required features, and services; its page does not establish a single price for all buyers.
How to compare tools against your firm’s work
Score each candidate against the same real workflows. A feature list is useful only if the relevant capability is available in the plan, jurisdiction, and configuration you would actually use.
- Matter, task, and deadline management: Can the system organize work by matter, assign responsibility, and surface important deadlines in the way your team operates?
- Documents: Can users find, store, produce, and, where needed, automate documents? Check how the system works with your existing storage and word-processing tools.
- Time and billing: Can staff capture time reliably and turn it into invoices? If trust accounting matters, verify the exact workflows rather than relying on a general billing claim.
- Client workflows: Check intake, client communications, messaging, and any client portal against your actual process and security requirements.
- Integrations and migration: Confirm connections to the firm’s email, calendar, storage, accounting, and court-filing tools. Ask how existing matters, documents, contacts, and financial records would move.
- Security and permissions: Test role-based access and the controls relevant to confidential matter information. Confirm vendor documentation and contractual commitments directly.
- Fit and adoption: Assess practice-area fit, firm size, usability for each role, training, and implementation work—not just the administrator’s experience.
- Total cost: Include users, necessary add-ons, onboarding, migration, payment processing, storage, and contract terms alongside the subscription price.
A practical demo process
Bring the people who will use and administer the software, and ask each vendor to demonstrate the same representative matter from start to finish. This makes it easier to spot missing steps and compare what is included with what requires extra configuration or another product.

- Assign work and deadlines: Create tasks, assign owners, and show how deadlines appear in the matter and relevant calendars.
- Produce and find documents: Demonstrate document storage, retrieval, and any automation your workflow requires.
- Capture time and bill: Enter time, prepare an invoice, and walk through trust accounting if your firm requires it.
- Update the client: Show the actual communication or portal workflow your team would use.
- Review and report: Demonstrate the reports managers need to monitor matters, work, and firm operations.
- Validate your environment: Test the integrations and migration approach against the systems and data your firm already uses.
Ask users to complete the steps themselves during the demo. Record where the workflow is direct, where it requires manual work, and which capabilities depend on a particular plan, add-on, or implementation service.

Before deciding, confirm current plan price, billing period, seat and contract terms, required add-ons, onboarding and migration charges, trial or demo availability, supported jurisdiction, and integrations. SaaS features, AI functions, prices, and terms can change; vendor confirmation is more useful than a dated comparison-page number.

Which option should a small firm or solo attorney choose?
There is no single best fit for every small firm. Start from the work that causes the most friction: disconnected matter records, document production, time capture, billing, intake, or accounting. Then choose the narrowest system that solves those problems without leaving critical legal operations stranded in separate tools.
- If you want a broad connected practice-management hub, put Clio Manage on the shortlist and validate its plans, integrations, and workflow against your needs.
- If document automation, automatic time tracking, legal forms, or trust accounting are central, evaluate Smokeball’s stated capabilities in a matter-specific demo.
- If your primary need is complex workflow automation, lead management, solo usability, or accounting, compare Filevine, Lawmatics, PracticePanther, or CosmoLex respectively—but verify the particular functions and fit directly.
- If considering MyCase, evaluate the product on the workflow it demonstrates for your firm; do not treat its Smart Time Finder time figure as a promised result.
The winning system is the one your team can implement and consistently use while meeting its matter, document, financial, and client-service requirements.
