There is no single best email host for every small business. Google Workspace is a strong fit for teams already using Gmail and Google collaboration tools; Microsoft 365 suits businesses built around Outlook, Microsoft apps, or Teams. Zoho Mail is worth considering when cost is the priority, while Fastmail and Proton Mail address more specific needs. The right choice depends on your existing software, mailbox and shared-address needs, security requirements, migration plans, and the full cost over your billing term.
This is a needs-based comparison, not a report of independent hands-on tests. TechRepublic says its 2026 comparison evaluated six providers against 27 criteria and tested selected platforms; that is TechRepublic’s methodology, not testing conducted for this article. Prices and features can vary by country, billing term, and promotion. Plan examples below are U.S.-specific where stated and reflect information available on October 5, 2026.
How to choose business email hosting
Start with the software your staff already rely on. Switching email providers can also mean changing calendars, file storage, contacts, meeting tools, and account administration. A provider that fits your existing workflow may be a better value than a lower-priced mailbox that requires another set of tools.
Compare the following before choosing:
- Total cost: Work out the cost for the actual number of paid users and billing term. Check whether a quoted price requires annual billing, excludes tax, or is promotional, and confirm what renewal will cost.
- Mailbox versus cloud storage: A mailbox limit is not necessarily the same as a combined or pooled storage allowance for mail, files, and other services. Check what counts against each limit.
- People and addresses: Count paid users separately from shared addresses such as info@ or sales@. Confirm how the plan handles shared mail, calendars, and contacts.
- Administration and security: Review the controls available to manage accounts and protect company data. For encryption, determine how protection works with the kinds of recipients your team actually emails.
- Migration and compatibility: Check what migration assistance the provider offers and whether staff can use the email clients and protocols they need.
- Standalone email or web-hosting bundle: If you are considering email included with website hosting, compare renewal costs, mailbox limits, and the effect of having email tied to the hosting account.

Plan terms can change by geography, billing frequency, and promotion. Verify local prices, taxes, renewal terms, plan names, storage, and included features directly with the provider before signing up.

Choose Google Workspace for a Google-centered team
Workspace is a natural candidate if staff already work in Gmail and Google’s collaboration tools. The U.S. Starter listing combines custom business email with 30 GB of pooled storage per user. That is a pooled allowance, so compare it with your company’s actual file and email use rather than treating it as a standalone mailbox quota. The listed $7 per user per month requires an annual commitment and excludes tax.

Choose Microsoft 365 for an Outlook- and Microsoft-centered team
Microsoft 365 is a strong candidate where Outlook, Microsoft applications, or Teams are already part of daily work. TechRepublic’s 2026 comparison gives Business Basic as an example at $6 per user per month with annual billing and a 50 GB mailbox. Microsoft’s plan details vary by tier, so verify the local pricing page rather than applying that mailbox limit across the product range.
Consider Zoho Mail when price matters most
Zoho Mail’s free custom-domain option may suit a very small team if it is available in the business’s data center and the missing protocols are not needed. The official listing describes one domain, up to five users, and 5 GB per user, but no IMAP, POP, or ActiveSync. Paid Mail Lite offers 5 GB and 10 GB storage variants with annual billing. Confirm which variant and billing terms apply to your account.

Consider Fastmail for shared email workflows
Fastmail Business Basic is worth a look if shared addresses, calendars, and a company address book are central to the workflow. Its listed 6 GB total per user consists of separate allowances for mail, calendar and contacts, and files. That breakdown matters if your team expects one undivided storage pool.
Consider Proton Mail when privacy is a priority
Proton Mail for Business may merit consideration for privacy-sensitive work, and its business page discusses migration support and its encryption approach. Encryption is not a blanket guarantee that every message to any external address is end-to-end encrypted. Check how the specific sending method works for your recipients and verify the plan details for your region.

Use a web-hosting bundle only when the trade-off makes sense
Bundled email can be practical if your business already needs the web-hosting service and its mailboxes meet your requirements. Compare the renewal price and mailbox limits, and think through what happens to email if you later change hosting providers. Do not judge a bundle only by an introductory price.

Neither is universally better. Gmail through Google Workspace is the more direct fit for a team already organized around Google tools. Outlook through Microsoft 365 is the more direct fit for a team working in Microsoft’s ecosystem. Compare the full set of services your company will use, not just the appearance of the inbox or the quoted mailbox allowance. The relevant question is which ecosystem reduces friction for your staff while meeting your storage, administration, and budget needs.
What to verify before switching providers
- Count accounts and addresses. Separate the number of employees who need accounts from shared addresses such as info@ or sales@, then confirm how the selected plan supports them.
- Check storage definitions. Confirm whether the published allowance is mailbox-only, pooled, or divided across mail, calendars, contacts, and files.
- Review the complete billing terms. Confirm currency, tax, billing frequency, required commitment, current promotions, and renewal price for your region.
- Check compatibility. If staff use desktop or mobile mail apps, verify support for the required clients and protocols. Zoho’s free option, for example, excludes IMAP, POP, and ActiveSync.
- Plan the migration. Confirm what migration help is available and decide how to move mail, contacts, calendars, and accounts without interrupting staff.
- Test the security workflow against real recipients. For privacy-focused plans, establish how messages are protected when recipients use ordinary external email.
- Consider account dependencies. If email comes with web hosting, decide whether the cost and convenience justify linking mail to that hosting account.
What this comparison can—and cannot—tell you
