There is no single best email client for every Windows 11 user. Choose Outlook for Windows if you want Microsoft’s mail experience and broad account support, Thunderbird if you want a free, open-source desktop client with no ads, or eM Client if you want email alongside calendar, tasks, contacts, and notes. Before choosing Outlook, check whether you need a feature that is available only in classic Outlook.

Outlook for Windows: decide between new and classic
“Outlook” is not one uniform Windows experience. Microsoft maintains a new Outlook for Windows and classic Outlook, and its feature comparison shows meaningful differences. Microsoft describes new Outlook as bringing current features, Copilot-assisted capabilities, and a modernized design; that description is Microsoft’s characterization, not an independent evaluation.
Choose new Outlook for broad account support and the current interface
Microsoft says new Outlook supports Microsoft accounts such as Outlook.com and Hotmail, work or school accounts, Gmail, Yahoo, iCloud, and other accounts connecting through IMAP. Its live comparison lists IMAP and POP in both new and classic Outlook, but marks on-premises Exchange as only partially available in new Outlook. Offline support is also partial in new Outlook.

If you are moving from classic Outlook, review Microsoft’s new Outlook and classic Outlook feature comparison, which Microsoft says was updated September 23, 2026. In particular, Microsoft lists COM add-ins and VBA macros as unsupported in new Outlook and PST support as partial. Do not switch until you have confirmed that the features you use are available in the version you plan to use.
Choose classic Outlook if a legacy workflow depends on it
Classic Outlook is the safer fit when your work relies on VBA, COM add-ins, or fuller PST workflows. Compatibility depends on your organization’s setup and license; check with your administrator before treating a work account as proof that desktop Outlook is included.

Know when Outlook is ad-supported or requires a work license
Microsoft says free users of Outlook.com, Hotmail, Gmail, and other supported accounts without a Microsoft 365 subscription may see ads in Outlook for Windows. Microsoft says paid Microsoft 365 customers do not receive Microsoft-served ads. For an organizational Microsoft 365 address, Microsoft says desktop Outlook use requires a plan that includes desktop apps. Business Standard and Business Premium are examples; Business Basic includes web and mobile productivity apps. Confirm your organization’s entitlement with its administrator because plan availability and terms can vary.
Thunderbird: a free, open-source alternative
Thunderbird is the clearest choice here if your priorities are a no-cost desktop client, multiple accounts, and an optional unified inbox. Its official Windows desktop page describes the application as free and open source, and lists calendar, contacts, and tasks alongside email. The page also describes the app as ad-free.

Thunderbird’s product page says, “We do not make money by reading your email.” Treat that as the project’s own statement, not as an independent audit or a complete assessment of data handling. Open-source licensing by itself does not establish that any application is more secure or private than another.
eM Client: email with a built-in productivity workspace
Consider eM Client if you want email, calendar, tasks, contacts, and notes together rather than a mail-only experience. Its official site also describes features such as message encryption, translation, inbox categories, and snooze, and links compatibility information for Google Workspace, Office 365, Outlook, and Exchange.

Those descriptions are vendor claims, and the available features can depend on the current edition and account setup. Check eM Client’s current plan details and the compatibility guidance for your provider before committing. The site states that the product is trusted by over 100,000 businesses and 4,000,000 users, but does not state a reporting year on the page; this is an eM Client claim, not an independently verified adoption count.

The account protocol matters as much as the client. Microsoft’s Exchange Online POP and IMAP overview, last updated November 2, 2023, describes typical behavior for Exchange Online—not every provider’s configuration.

- IMAP: Generally keeps messages on the server and synchronizes folders, making it easier to access mail from several devices.
- POP: Commonly downloads messages to a local inbox and may remove them from the server by default. Settings can often be changed to keep a server copy, but POP does not synchronize server folders in the same way as IMAP.
- Exchange connections: Basic POP or IMAP access does not provide all the richer mail, calendar, and contact functions available through other Exchange connections.
If mail appears on one device but not another, check whether the account uses POP and whether it is configured to keep messages on the server. For work accounts, ask the administrator which connection method and features are supported.

How to choose
- List the accounts you need. Check whether they are personal or work accounts and whether your provider uses IMAP, POP, or an Exchange connection. Confirm any required sign-in or authentication setup with your provider or administrator.
- Check for Outlook dependencies. If you need PST workflows, VBA macros, COM add-ins, or offline access, compare the exact new and classic Outlook feature status before switching.
- Decide whether you want a mail app or a workspace. Thunderbird and eM Client both describe calendar, contacts, and task tools; eM Client also lists notes and other productivity features.
- Factor in ads and licensing. Free Outlook may show ads, and an organizational address does not by itself establish that desktop Outlook is licensed. Check your Microsoft 365 plan or ask your administrator.
- Verify current product limits. Before installing or migrating, check the vendor’s current edition details and account guidance, especially for eM Client and any specialized work account.
