If you want an alternative to a dedicated AI message-reply tool, start with the email app you already use: Gmail and Outlook offer short built-in reply suggestions, while Gemini for Gmail and Copilot for Outlook can help with longer or prompted drafts. Grammarly is another option when you want writing help across its supported apps and extensions. This comparison focuses on email; it does not establish which tools work for SMS, social messages, or team chat.
Quick comparison: which tool fits your email workflow?
| Option | Best suited to | What it does | Key eligibility or limitation |
|---|---|---|---|
| Gmail Smart Reply | Quick responses in Gmail | Offers short suggested replies that you can select, edit, and send. Google’s Smart Reply guide explains the feature. | Use it as a short-reply aid; it is distinct from Gemini’s longer drafting features. |
| Gemini in Gmail | Longer, contextual or prompted drafting in Gmail | Gemini Suggested Replies can use email context to draft personalized responses; Help me write can assist with drafting. Google’s Gmail AI feature page describes availability and features. | Eligibility depends on the Google account or Workspace subscription and plan. |
| Outlook Suggested Replies | Short responses in Outlook | Displays up to three brief response choices when a message can be answered shortly. Microsoft’s guide covers supported Outlook versions and settings. | Available across the Outlook experiences covered by Microsoft’s guide; suggestions can be edited before sending on mobile and the feature can be turned off. |
| Copilot in Outlook | Prompted drafting and broader inbox questions | Supports email drafting and inbox assistance, with capabilities shaped by account and license. See Microsoft’s Copilot in Outlook FAQ. | Some scenarios are limited to the primary mailbox; archive, group, shared, and delegate mailboxes are excluded. Some encrypted messages are inaccessible, and Outlook chat requires a work or school account and new Outlook for Windows or Outlook on the web. |
| Grammarly generative AI | Writing assistance across supported surfaces | Can help compose, rewrite, ideate, and reply. Grammarly’s feature guide lists relevant supported products and surfaces. | Availability depends on the Grammarly product and plan. The documentation does not establish that Grammarly reads or drafts from every email thread. |
There is no evidence here for a universal winner or a measured productivity advantage. The practical choice depends on your inbox, the length and context of the reply you need, and which features your account includes.
Choose the right kind of reply assistance
For a fast, brief response
Try Gmail Smart Reply or Outlook Suggested Replies if you usually need a short acknowledgment or straightforward answer. These features offer brief options inside the email workflow. They are not the same as a tool that writes a longer message from a prompt or uses more context to shape a draft.
For a longer or more contextual draft
In Gmail, consider Gemini’s Suggested Replies or Help me write when you want a more personalized response or a prompted draft. In Outlook, Copilot is the broader option for prompted email drafting and inbox questions. Check the account and license requirements before relying on either feature.

For writing help in more than one app
Grammarly is worth considering if you want generative writing assistance across its supported browser extensions, editor, desktop apps, or mobile products. Its documented compose, rewrite, ideate, and reply features make it a cross-surface writing option, but do not assume it has the same access to a particular email thread as a feature built into Gmail or Outlook.
What to check before choosing
- Where you work: Gmail and Outlook tools are tied to their respective email environments. Grammarly’s relevant features are available through supported Grammarly products and surfaces.
- How much drafting you need: Short suggested phrases suit simple responses; longer contextual or prompted drafting calls for Gemini or Copilot assistance.
- Whether your account qualifies: Google account type and Workspace plan affect Gemini availability. Microsoft Copilot features depend on account and license; do not assume every Outlook user has the same capabilities. Grammarly availability also depends on product and plan.
- What the tool can access: Copilot in Outlook has mailbox and encryption limits. For any assistant, consider whether it can access the relevant message context before expecting a tailored reply.
- How you retain control: Check whether you can edit a suggestion and review the complete draft before sending. Microsoft Support advises users that AI output is a starting point and should be reviewed, edited, and verified.
Important limits of AI-generated replies
A plausible draft is not necessarily an accurate one. Check names, dates, commitments, factual details, tone, and whether the reply actually addresses the sender’s question. In particular, Microsoft notes that Copilot in Outlook may not access some mailbox types or encrypted messages, so a response can lack relevant context. Treat generated text as a draft, not as a message ready to send without review.
