For occasional office printing, start with a refillable color ink-tank all-in-one if you need color documents, scanning and copying. It costs more to buy than a basic cartridge inkjet, but bottle refills avoid frequent cartridge purchases and suit low, irregular page counts. Choose a cartridge inkjet when the lowest purchase price matters, a color laser when fast text and long idle storage matter more than photo output, or an outside print service when you print so rarely that owning any printer is hard to justify.
The right choice depends on five things: how many pages you print, whether they include color or photos, how long the printer sits unused, which functions you need, and the local price and availability of supplies. No technology has the lowest total cost for every household or office.
Which printer type replaces a monochrome printer best?
A monochrome laser printer is optimized for black text. Its alternatives differ mainly in color capability, maintenance and the cost pattern between the machine and its supplies.
| Option | Best for | Advantages | Trade-offs |
|---|---|---|---|
| Refillable color ink-tank all-in-one | Occasional mixed office documents, color pages, scanning and copying | Low-cost bottle refills after the initial purchase; color and photo capability; multifunction models are widely available | Higher purchase price than cartridge inkjets; cleaning cycles use ink; long periods of inactivity still require care |
| Cartridge color inkjet all-in-one | Very small budgets and short, irregular print jobs | Usually the lowest entry price; compact models with Wi-Fi, scanning and copying | Replacement cartridges can be expensive relative to page volume; ink can dry or be consumed by maintenance; some models stop printing when one color is empty |
| Color laser | Fast text, business graphics and offices where the printer may sit idle for weeks | Toner stores well; fast, sharp office output; no liquid ink to dry | Higher purchase price and larger footprint are common; photo output is not its main strength; color toner sets can be costly |
| Print service or local copy shop | A few color jobs per year | No hardware, maintenance or consumable inventory | Per-page charges, travel or shipping, and less immediate access to documents |
HP’s use-case guidance identifies an ink-tank printer as the best option for infrequent printing and maps occasional home printing to a wireless all-in-one inkjet. That is a manufacturer recommendation, not a guarantee that every tank model will cost less in every region. Compare your local purchase price, bottle prices and expected page mix before deciding.

Match the technology to your actual printing pattern
Choose a refillable tank when you print occasionally but need color
Tank printers keep liquid ink in reservoirs that you refill from bottles rather than replacing a cartridge for every color. This design is most useful when your work includes invoices, forms, presentations or occasional photos and you also want a scanner and copier. The higher initial price is exchanged for inexpensive, widely available refills over the life of the machine.
A tank is not maintenance-free. The print head can still need cleaning, and a machine left unused for long periods may spend ink on servicing before it produces a clean page. Buy one only if you can perform a short maintenance routine and store it correctly.
Choose a cartridge inkjet when entry price is the priority
Cartridge models are attractive when you print only a handful of pages and cannot justify a more expensive tank. They are often small and include wireless printing, scanning and copying. Their weakness appears when a low-volume user repeatedly replaces partly used cartridges or loses ink to automatic cleaning.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteCheck whether the model uses separate black and color cartridges, whether it can print black when a color cartridge is empty, and the price and local availability of each cartridge. Brother support documentation, for example, states that some of its models stop all printing when any cartridge reaches end of life. That behavior is model-specific, so read the exact manual before buying.

Choose a color laser when idle reliability and speed outrank photos
Toner is a dry powder and generally tolerates long storage better than liquid ink. A color laser is therefore sensible for an office that may print nothing for several weeks and then needs a stack of clean text pages quickly. It also suits charts and forms where photo-grade shading is not important.
Do not assume that a color laser is automatically cheaper. Compare the printer’s purchase price, the cost and rated yield of black and color toner sets, drum or imaging-unit replacement requirements, and electricity use. For a few pages a month, those fixed costs can outweigh the benefit of toner’s storage stability.
Choose outsourcing when ownership cannot be justified
If you print only a few color pages per year, a local copy shop, office-supply counter or online print service can be economical. Include the value of your time, transport or shipping, privacy requirements and the need for same-day output. Keep a digital master so you can send the file without maintaining a printer at home.

| Rated speed | Up to 12 pages per minute black; up to 5 pages per minute color | Not stated in the supplied specification |
| Recommended monthly volume | 400–800 pages | Not stated in the supplied specification |
| Maximum monthly duty cycle | Up to 3,000 A4 pages | Not stated in the supplied specification |

| Scanning | 1,200 dpi optical scanning | Scan function; optical resolution not stated |
| Duplex printing | Not stated in the supplied specification | Automatic two-sided printing |
The Smart Tank 5105’s 400–800-page recommendation is far above a typical occasional user’s output; it describes the manufacturer’s recommended monthly range, not a minimum. Printing fewer pages does not make the printer unsuitable, but it makes storage and maintenance more important than duty-cycle capacity. The ET-2850 is a useful comparison if automatic duplexing and cartridge-free ownership are priorities.
How to compare total cost without a misleading page-rate claim
No reliable cross-brand total-cost figure applies to every region. Instead, estimate your own cost over a realistic period, such as three years.
- Record the purchase price. Include delivery, a USB cable if required, and any extra paper. Note whether the box contains full-size bottles or starter quantities.
- Estimate your page mix. Separate black text, color documents and photos. A page with heavy graphics consumes far more ink or toner than a lightly filled form.
- List the exact consumables. Write down the model-specific bottle, cartridge, toner and imaging-unit codes. Do not assume that a similarly named supply fits.
- Use the manufacturer’s yield method. Treat quoted yields as standardized estimates, not a promise for your documents. Infrequent printing or predominantly using one color can reduce real-world yield.
- Add maintenance consumption. Inkjet cleaning can draw from all colors, even when you select black-only output. Epson cautions that extended monochrome printing can use all colors for maintenance and that infrequent printing can lower yields.
- Include replacement timing. A low-volume office may replace ink because of age or clogging before reaching the nominal page yield. A laser may require a drum or imaging unit even when toner remains.
- Compare the same period for outsourcing. Multiply your expected jobs by the local per-page price and add travel or shipping. This gives a fair alternative to ownership.
The result is a decision specific to your geography, page mix and behavior. Avoid universal claims such as “tanks are always cheaper” or a fixed percentage saving.

Will ink dry out if the printer sits unused?
It can. The risk is not simply that a bottle evaporates; ink can dry in the print-head nozzles or on the capping and wiper parts that seal the head. Long idle periods can then produce missing lines, color casts or repeated cleaning cycles.

Manufacturers document this trade-off differently. Brother explains that scheduled cleaning uses ink from the cartridges, including during black-only use on some models. Epson warns that yields may be lower when printing infrequently or using mainly one color, because maintenance can consume all colors. These statements apply to the documented models and systems, not every inkjet printer.
A tank system reduces the frequency of purchasing supplies but does not remove the need to keep the head usable. If you know the printer will remain untouched for months at a time, a color laser or outsourcing deserves serious consideration.
Low-volume inkjet maintenance routine
Follow the instructions for your exact model; menus and intervals vary. The routine below prevents common problems without wasting ink unnecessarily.
- Keep the printer powered as instructed. Many inkjets perform a controlled capping or maintenance cycle when shut down normally. Use the power button rather than unplugging immediately after a job.
- Print a small color test periodically. A nozzle-check page or a simple document containing black, cyan, magenta and yellow blocks confirms that each channel is flowing. Use the interval recommended in the manual rather than running frequent cleanings preemptively.
- Run a cleaning cycle only when the test shows a defect. Cleaning consumes ink. Allow the printer’s specified waiting period before repeating it; several back-to-back cycles can empty tanks without fixing a mechanical blockage.
- Use the correct paper and storage conditions. Keep paper dry and flat. Close tank vents or bottle caps exactly as the manual shows, and store unopened ink in the temperature range specified by the manufacturer.
- Refill before a tank reaches its minimum mark. Running a channel dry can introduce air and require a longer recovery procedure. Use only the bottle code approved for the model.
- Move the printer carefully. Lock or cap the tanks as directed, keep the unit level and protect it from heat. Leaks or air in the ink path can create problems that a normal cleaning cycle will not solve.
Setup for an office that prints only sometimes
- Install the current driver or mobile app. Connect the printer to the same Wi-Fi network as your computers and phones. If your network blocks device discovery, use the documented Wi-Fi Direct option where available.
- Set paper defaults deliberately. Select the everyday paper size, duplex preference and color mode in the driver. This prevents an occasional user from accidentally sending a photo-quality job to plain paper.
- Label supplies. Record bottle or cartridge codes on the printer cabinet and keep one sealed replacement set only if local availability is unreliable. Do not stock large quantities of liquid ink that may age before use.
- Make a test scan and copy. Confirm that the scanner glass is clean, the document feeder (if fitted) works and files save to the intended location.
- Document recovery steps. Keep the model’s manual and a nozzle-check or alignment procedure with the printer. An occasional user may otherwise mistake a clogged nozzle for a failed device.
When a monochrome laser is still the better choice
If almost every page is black text and you rarely need color, replacing one monochrome laser with a color device may add cost and complexity without solving a real problem. A color laser makes sense when color is occasional but important, output must be fast, or the device may remain idle for long stretches. A refillable ink tank makes more sense when scanning, copying, color documents and occasional photos are central.

For a text-only office, also consider keeping the existing monochrome printer and outsourcing the few color pages. That two-part setup can avoid paying for color hardware that spends most of its life unused.
Common problems and practical fixes
The first page after weeks of inactivity has missing lines
Print a nozzle check, then follow the model’s normal cleaning procedure once. Wait the specified interval and test again. If defects remain after the manual’s allowed cycles, inspect the ink level, vent position and paper path; continued cleaning can consume ink without addressing a dried or damaged head.
The printer refuses to print black because a color is empty
Check the manual for the exact model. Some all-in-ones stop all printing when any cartridge reaches end of life, even for black-only jobs. Replacing the specified cartridge is the supported fix; changing driver settings cannot override a hardware lockout.
Color pages look uneven or one color is missing
Verify that the correct paper type is selected, run an alignment or nozzle check, and confirm that each tank vent is open as instructed. Do not mix unapproved inks. If the pattern remains broken after the documented maintenance steps, service may be more economical than repeatedly flushing ink.
Wireless printing works from one device but not another
Confirm that both devices are on the same network, reinstall the current driver or app, and check whether the printer has switched to Wi-Fi Direct. Guest networks often isolate devices. A temporary USB connection can distinguish a network problem from a printer problem.
The printer is too slow for a short deadline
Check the rated black and color speeds and the selected quality mode. High-quality color or photo settings can take much longer than draft text. If bursts of many pages are normal, a color laser or business inkjet may be a better fit than a low-volume tank model.
A decision checklist
- Need scanning and copying as well as printing? Favor an all-in-one.
- Need color documents or photos every few weeks? Favor a refillable tank or cartridge inkjet.
- Print only a few pages per year? Price outsourcing before buying hardware.
- Leave the printer untouched for months? Favor a color laser or outsourcing unless you will follow an inkjet maintenance routine.
- Print mostly black text in bursts? Compare a color laser with keeping a monochrome laser and outsourcing color.
- Require automatic two-sided printing? Verify it in the specification; the Epson EcoTank ET-2850 explicitly includes automatic duplexing, while the supplied Smart Tank 5105 specifications do not state it.
- Rely on mobile printing? Verify Wi-Fi, Wi-Fi Direct and compatibility with your devices before purchase.
- Concerned about running cost? Price the exact bottles, cartridges or toner available in your region and include maintenance consumption.
For most occasional offices that need color, scanning and copying, a refillable color ink-tank all-in-one is the most balanced alternative to a monochrome printer. A cartridge inkjet remains the budget-entry option, a color laser protects against long idle periods and speeds up text-heavy bursts, and outsourcing wins when printing is genuinely rare.
