Asana’s event planning template is a reusable project workflow for organizing an event’s budget, vendors, guests, tasks, deadlines, logistics, and day-of schedule in one shared place. Asana’s template page presents the workflow as a way to coordinate planning from the initial schedule through event day.
What the Asana event planning template includes
Asana describes the template as free and reusable, with pre-populated sections, automations, and custom fields. Its purpose is to keep the related pieces of event work together rather than scattering them across separate lists and documents. The template page identifies several kinds of information teams can track:
- Tasks and subtasks: Break planning work into assignments, name owners, set deadlines, and connect steps that depend on one another.
- Budget: Track planned costs by categories such as venue, catering, production, and travel. Asana says the template can help teams track a budget ahead of time.
- Vendors and logistics: Keep vendor details and operational information alongside the work they support.

Asana also describes AI-assisted drafting for agendas, scripts, speaker bios, attendee materials, invitations, status updates, and promotional copy, as well as translation. These are Asana’s stated capabilities; the page does not establish the quality of generated content or which plans include each feature. Review AI-generated material for accuracy and suitability before sharing it.
How to use the template to plan an event
Asana’s suggested workflow is to set up the shared project before planning begins, then use it to coordinate preparation and execution. The exact labels and available features may vary in the live product.

- Create the event project: Start with the event planning template and enter the event’s general details. Agree on key dates and deadlines so contributors have a shared schedule.
- Add owners, tasks, and budget categories: List the work to be done, assign owners, and add relevant budget categories and vendor information. Include the teams responsible for each area, such as marketing, facilities, or finance.
- Set deadlines and dependencies: Give tasks due dates and connect work that must happen in sequence. For example, make a later task dependent on an earlier approval when that approval is a genuine prerequisite.
- Review the timeline: Use timeline view to see preparation tasks and event execution in sequence. Asana’s help-center guidance also says a team can save an event planning project as a reusable template instead of rebuilding it for each event: Asana Help Center’s event-planning guidance.
- Build the run of show: Arrange event-day items by start time and duration, including sessions, speaker transitions, and cues. This provides a sequence the team can follow during the event.
- Monitor and adjust: Use the project’s dashboard to review workload and timing, then update assignments or dates when plans change.
