Which free time tracker is the best fit?

Clockify: a larger free-team cap

Clockify’s free tier covers up to five users and includes time tracking, timesheets, automatic tracking, calendar features, mobile and desktop apps, a Pomodoro timer, idle detection and reminders, integrations, team activity, and reports. Its pricing comparison says free-plan reports cover a one-month data range, so check whether that reporting limit works for your record-keeping needs. The listed free-plan feature set does not mean every administrative or reporting capability is included.

Toggl Track: a smaller free-team cap

Toggl Track’s free plan covers up to three users. Its pricing page describes manual and real-time tracking, calendar integrations, simple planning, and personal reports. That can suit an individual or a small group that needs basic tracking, but review the plan comparison if you need shared team oversight or more advanced planning.

How much should a small team budget?

Multiply the per-seat rate by the number of people who need accounts, then account for the billing term and the features your workflow requires. A low seat price can still become a meaningful recurring expense as a team grows.

How to make the decision

  1. Count the users. Check whether a free plan’s cap covers everyone who needs to track time: five users for Clockify or three for Toggl Track, according to their 2026 pricing pages.
  2. List required functions. Separate basic time entry from team reports, approvals, billable rates, project estimates, and invoicing. Compare only the functions your work requires.
  3. Calculate recurring cost. Multiply the paid per-seat price by your seats and note whether the displayed amount requires annual billing.
  4. Check the work setting. Decide whether desktop or mobile apps are enough, or whether an on-site kiosk workflow needs further plan and hardware confirmation.
  5. Verify live terms. Recheck the vendor’s current pricing page and plan details before purchase, particularly for Harvest, whose current price and plan limit are not established here.
