Microsoft Forms can connect responses to an Excel workbook, but “live” depends on how the form and workbook were created and which sync experience they use. Microsoft announced the expanded Excel workflow on June 28, 2024; its current support guidance covers several form-creation paths, while later notices document changes to sync and migration for older workbooks.
What changed in the June 2024 Microsoft Forms update?
Microsoft said Forms data sync to Excel was fully available with additional capabilities on June 28, 2024. The central option is to start a form from Excel for the web: choose Insert > Forms, then create the form in the Forms experience that opens. Questions and responses connect to the workbook. The June 2024 rollout dates and account availability statements in that announcement are historical. They should not be read as a current promise that every Forms workbook, Excel client, or account type behaves identically.
How do I sync Microsoft Forms responses to Excel?
Choose the route that matches where the form starts and who needs to work with its results. Microsoft Support currently describes live-connected workbooks for forms created from OneDrive for work or school, SharePoint Online, Excel for the web, Teams, or the Forms web part. Share the workbook separately when coworkers need the results
For a group form, the workbook is saved in SharePoint. The June 2024 announcement says coworkers who need to inspect or analyze its syncing responses should be given the Excel link; access to the form response page alone does not provide access to the syncing workbook. Share the workbook with the appropriate people using the relevant OneDrive or SharePoint permissions.
Can I get real-time updates in my Excel workbook?
Microsoft Support answers: “Yes, you can get live updates about your forms without checking each one individually.” That describes the supported connected-workbook experience, not a guarantee that every client continuously refreshes every workbook in the background.

Microsoft’s July 17, 2024 Message Center notice MC816207 gave a more specific condition for the original workflow: “New responses will automatically sync while the workbook is open in Excel for the web.” It also described coauthor updates there. In that workflow, Excel for the web was the relevant open workbook; do not assume that having desktop Excel open alone triggers the same sync. Microsoft 365 Message Center Archive: MC816207
A later notice described a newer sync solution, so the exact trigger depends on whether a workbook uses the original or newer connection. Microsoft’s September 30, 2024 notice MC901820 said that, under the announced newer workflow for OneDrive and SharePoint forms, after responses arrive users create the Excel workbook from the Forms results page; sync is triggered in Excel for the web. Why is my Forms spreadsheet not updating?
Check the connection and sync path before treating the workbook as broken. The first diagnostic question is whether you are opening the workbook connected to the form, rather than a downloaded copy or a separate export.
- Identify where the form was created. Check whether it began in Excel for the web, OneDrive for work or school, SharePoint Online, Teams, the Forms web part, or a Microsoft 365 group. Microsoft Support lists these contexts for live-connected Excel workbooks.
- Open the connected workbook in Excel for the web. The original MC816207 workflow tied automatic syncing to the workbook being open there. A newer workflow also uses Excel for the web as the sync trigger.
- For a newer OneDrive or SharePoint workflow, create the workbook from Forms results if needed. MC901820 described creating the Excel workbook from the Forms results page after responses were received. Then allow the web workbook to sync before expecting the data in desktop Excel.
- Check whether the workbook uses the older sync solution. Microsoft’s migration notice said older-sync workbooks would stop receiving new responses after the 2025 retirement dates unless migrated. Those dates are past; if an older workbook has stopped updating, follow Microsoft’s current migration guidance rather than relying on the historical rollout schedule.
- Review automations that expect unattended updates. Microsoft warned that workflows depending on automatic updates without user action would be affected by the older sync retirement and suggested Power Automate. Microsoft Support also describes Power Automate workflows, but the right flow depends on the required trigger and destination.
- Confirm access to the file. For team use, make sure collaborators have the Excel link and the necessary SharePoint or OneDrive access; permission to view form results does not by itself grant workbook access.
Microsoft’s August 8, 2024 notice MC855685, updated January 22, 2025, is historical migration guidance. Its key practical point is that the older sync path had retirement milestones and unattended-update workflows could be affected; it is not a current schedule for all Forms workbooks.
