Set a freelance history-writing rate by estimating the full work, calculating the minimum income your practice must earn, and negotiating a fee that reflects the brief, expertise, rights, expenses, and deadline. There is no single rate that applies across countries or types of history work; published association figures are useful only when their role and assumptions match your assignment.

1. Define the assignment before you price it

“History writing” can mean a research report, commissioned book, heritage study, exhibit text, tour, oral-history project, or multimedia work. Each has a different mix of research, writing, consultation, and production. Get the client and writer aligned on the output before estimating a fee.

Record the purpose, audience, length or other deliverable, research period, available and unknown sources, interviews or consultations, format, deadline, and review process. Commissioning guidance from the Professional Historians Association of Queensland emphasizes setting out scope, budget, responsibilities, and contract terms.

2. Estimate the complete workload

Calculate time by phase rather than counting only the hours spent drafting. A useful estimate includes:

Oral-history assignments can require recording, processing, archiving, and documentation as well as interviewing and writing. The Oral History Association’s statement on freelance labor stresses that projects should budget for appropriate skilled work; the Oral History Society’s budgeting guidance also shows how duties can be bundled into contractor roles.

3. Calculate a sustainable minimum

Your floor rate needs to cover more than the time directly invoiced to a client. Include operating costs and the time spent running a practice, such as insurance, retirement or pension provision, leave, equipment, workspace, supplies, utilities, memberships, finding work, and administration. Local taxes and business obligations differ, so use the rules that apply where you work.

Professional Historians Australia says its self-employed rate model accounts for leave, superannuation, and usual business expenses. Its model assumes an average of 28 to 30 chargeable hours in a working week, an assumption for that schedule—not a promise that every freelancer can bill that amount. The Professional Historians Australia Scale of Fees explains the model and its scope.

One practical calculation is to total your annual income target and business costs, then divide by the chargeable hours you realistically expect to invoice. This gives a minimum hourly figure to test against a project estimate; it is not necessarily the rate you should quote for every kind of work.

4. Choose how to charge

Billing structure When it can fit What to define
Hourly or daily Research scope may change, or the client needs consulting or work whose extent is not yet known. Rate, time records, billing intervals, and approval for work beyond an agreed limit.
Project fee Deliverables and the work required to produce them can be bounded with reasonable confidence. Deliverables, assumptions, included revision rounds, schedule, and how additional work is priced.
Block of time A client needs a defined allocation for advisory or public-history work. Hours or days included, expiry or scheduling terms, and treatment of unused or extra time.

The National Council on Public History describes hourly, blocks-of-time, and lump-sum product charges as strategies for public-history professionals; these are options to consider, not a rate card for all history writing. Whatever structure you choose, test a project fee against your estimated total hours and sustainable floor. If the work expands beyond the original assumptions, agree on the change and its price before proceeding.

5. Separate expenses and additional roles

List likely outlays separately or state clearly how they are handled. Depending on the assignment, these may include repository access, document copies, images, maps, travel, or research assistance. Clarify whether the client pays them directly, reimburses them, or has approved a specified allowance.

Do not quietly fold substantially different duties into a writing fee. Editing, image sourcing, indexing, production, project management, or oral-history processing should be identified and priced as part of the scope if the client expects them.

6. Account for rights and urgency

Discuss rights before settling the fee: copyright, permitted uses, territory, duration, exclusivity, credit, adaptations, and future editions. A broader grant of rights can justify a larger fee. If royalties are proposed, treat them as uncertain rather than as guaranteed payment for work; the Society of Authors’ rates and fees guidance addresses rights, deadlines, and negotiation.

A short deadline or scarce specialist skill may also support a premium, especially if the schedule requires other work to be displaced. State the deadline and any accelerated-work charge in the quote rather than leaving urgency implicit.

7. Use benchmarks without treating them as universal rates

Published figures are meaningful only when geography, currency, role, experience, included duties, expenses, tax treatment, and rights are comparable. A day rate for interviews, preparation, archiving, documentation, liaison, and administration is not equivalent to a day spent writing alone.

The Professional Historians Australia scale distinguishes its experience-based fee levels from its professional-accreditation categories. The association’s fee page is the appropriate place to verify the current Australian schedule, rather than relying on a remembered or copied figure. The Oral History Society table is useful for comparable oral-history duties, not as a substitute benchmark for a different commission.

The Society of Authors describes observed fees as negotiating tools and says it cannot recommend rates because of competition law. Its examples for other creative work should not be relabeled as history-writing rates.

8. Put the agreement in writing

A written brief and contract protect both parties from different assumptions about what the fee buys. Include:

  • Scope, deliverables, format, timetable, and presentation requirements
  • Known archival resources, consultation, and client responsibilities
  • Fee, budget, payment schedule, and approved expenses
  • Copyright, usage rights, credit, confidentiality, and access arrangements
  • Included review rounds and a process for approving extra work
  • Insurance responsibilities and how disputes will be handled

For practical context about freelance or consultant history work in New South Wales, the Royal Australian Historical Society event page, dated 10 February 2025, lists questions about matters such as tax, insurance, finding clients, and the advantages and disadvantages of freelance work. Those matters are jurisdiction-specific; check applicable local requirements rather than assuming one country’s arrangements apply elsewhere.
