If configured, that software can create or update a CRM record, check for duplicates, assign follow-up, send notifications or emails, and pass the data to another system. There is no universal sequence: it depends on the form handler, integrations, and rules the site owner has set up.
What happens immediately after submission?
The form first accepts the visitor’s entries and hands them to whatever service processes the form. That might be the website itself, a CRM, a marketing platform, or an integration between services. The visitor may see a confirmation message or be taken to a thank-you page, but that screen alone does not show what happened behind the scenes.
The next steps require configuration. For example, Salesforce documents a form connected to a Flow; without that connection, the example signup form does not pass data into Salesforce. Google’s lead-form webhook is a different integration pattern: its documentation says an HTTP POST request is sent to a configured URL after a person submits a lead form from an ad. How submitted information can become a lead record
Fields are mapped to a CRM
A configured workflow can map form answers—such as a name, email address, or request—to corresponding CRM fields and create a lead record. A workflow can also map a source parameter to a field such as Lead Source. Depending on the system’s rules, it may create a new record or update an existing one; the form submission itself does not dictate one universal behavior. (Salesforce’s form-to-Flow example)

Duplicates and consent may be checked
A workflow can look for a matching record before creating or updating a lead. It can also record a consent action. Salesforce’s example includes both matching-record checks and a consent step, but these are configured workflow choices, not automatic features of every form. (Salesforce form-to-Flow documentation)
How a person or team may be assigned follow-up
Once a lead is available to the connected system, automation may assign it to a team or a specific user, create a task, or notify staff by email. These actions can help an organization decide who should respond and what they should do next. The available actions depend on the platform, account plan, and setup; for example, HubSpot documents assignment, task creation, and internal email notifications as possible form-workflow actions. What the person who submitted the form may receive
A configured workflow may send an acknowledgement or other follow-up email. A double-opt-in process is a distinct case, not the default for all submissions: Salesforce describes a transactional confirmation email, a wait for the recipient to click, and then recording the confirmed opt-in. When form data is sent to another application
A website or CRM can pass form data to another service through an integration such as a webhook. HubSpot lists webhooks among its available form-automation actions. For Google lead-form webhooks, the organization configures a destination URL, and Google describes sending the lead data there by HTTP POST; its setup also uses a key to validate incoming lead data. Delivery depends on correct endpoint setup and integration behavior, so a submission should not be taken as proof that another system received or processed it. Form submission is not blanket permission for marketing
Providing information through a form does not, by itself, establish permission for every later marketing communication. HubSpot’s privacy playbook distinguishes a basis to process personal data from a basis to communicate with the person. A system may capture consent or an opt-in confirmation, but how that should work depends on the purpose, geography, and implementation. Salesforce also cautions that double opt-in alone does not guarantee full compliance. These product materials are guidance, not legal advice for every situation. Two common ways organizations process a submission

These approaches can also be combined: a form may be processed by one platform and pass selected information onward. The important questions are which system holds the authoritative record, how data is matched and validated, and which service is responsible for each follow-up action.

Why the exact sequence varies
- Form configuration: A form may only display a confirmation, or it may be connected to a workflow.
- Integrations: A CRM, marketing service, or webhook endpoint may receive some or all of the submitted fields.
- Business rules: Assignment, duplicate checks, tasks, and emails occur only when configured and supported by the platform.
- Privacy choices: Consent records and marketing permissions depend on the form’s stated purpose and applicable requirements.
- Delivery and processing: A handoff can fail or be rejected; the submitter’s confirmation does not necessarily verify that every connected service completed its work.
Product documentation describes available configurations, not average response times or a guaranteed delivery window. Without information about a particular site’s setup, it is not possible to know exactly who will receive a submission or when they will act on it.
