If Windows search is missing a local file or returning incomplete results, first check that the file is within the indexed locations. Then open Indexing Options, select Advanced, and choose Rebuild under Troubleshooting on the Index Settings tab. Confirm the warning and allow indexing to run; rebuilding restarts the catalog, but it does not add excluded folders or recover deleted files.
Before rebuilding, check what is missing
The right fix depends on whether you are searching for a local file, a OneDrive item, a hidden or moved file, or an Outlook message. The Windows Search index is a catalog of indexed terms and metadata that helps Windows return results quickly. Rebuilding restarts indexing; it cannot make an out-of-scope location searchable or restore a file that is gone.
- Local file: Search This PC and check the folder where you expect the item to be.
- OneDrive file: Check OneDrive separately; cloud content can have different availability and search behavior.
- Hidden or moved file: Check whether the file is hidden and whether it was moved to another folder or user profile.
- Outlook message: Outlook has its own search scope and uses indexed Outlook data. Check the selected mailbox or folder and whether Outlook is included in indexed locations.
Microsoft’s guide to finding lost files after upgrading Windows recommends searching This PC and provides separate guidance for OneDrive items. It applies to Windows 10 and Windows 11.
Check which folders Windows indexes
Windows Search has two coverage modes. In Classic mode, it indexes common user folders and the desktop by default. Enhanced mode indexes the entire PC, including user folders and files, and may use more system resources. Rebuilding does not change this scope.

To review the locations, open Settings > Privacy & security > Search. Under Windows Search, check whether Classic or Enhanced is selected. In Classic mode, use Customize search locations and then Modify to review or add locations. The exact settings wording can vary by Windows version.
If the missing item is in a folder outside the indexed locations, add that folder or switch to Enhanced if indexing the whole PC suits your needs. Microsoft’s Windows Search indexing overview explains the modes and their trade-offs.

Run the Search and Indexing troubleshooter
If the location is included but expected results are still absent, use the built-in troubleshooter to check for search and indexing problems before rebuilding.
- Open Settings > Privacy & security > Search.
- Select Advanced indexing options to open Indexing Options.
- In Indexing Options, select Advanced.
- Under Troubleshooting, select Troubleshoot search and indexing, then follow the wizard.
Microsoft lists this as a diagnostic for missing or incomplete results in its missing-files guidance. It is a reasonable first step, though Microsoft does not prescribe one order for every search problem.

Rebuild the Windows Search index
Use these steps when the index needs to be restarted. The rebuild control is in Windows Indexing Options. Microsoft documents the same control in an Outlook catalog article, but the action itself is not limited to Outlook.
- Open Indexing Options. You can reach it through Settings > Privacy & security > Search > Advanced indexing options.
- Select Advanced.
- On the Index Settings tab, under Troubleshooting, select Rebuild.
- Confirm the warning. Windows will restart indexing of the data files in the configured locations.
Microsoft warns that the rebuilt index may take a long time to complete in its Instant Search catalog instructions.

Allow indexing to finish, then test the right kind of search
Do not expect every result to return immediately after rebuilding. Microsoft says initial indexing can take up to a couple of hours; actual time depends on the device and the amount and type of indexed content. That guidance is not a guaranteed rebuild duration for every PC. Leave the computer available while indexing proceeds, then search for the item again.
If a filename appears but words inside a document do not, check the file-type setting. In Indexing Options > Advanced > File Types, choose the relevant extension and confirm whether it is set to index properties only or properties and file contents. Properties-only indexing can make names and metadata searchable without indexing the text inside files.

For Copilot+ PCs, Microsoft describes semantic indexing for supported file types and recommends keeping the device plugged in during initial indexing. This is a device-specific feature, not a general requirement for every Windows PC. Microsoft’s guide to finding files and apps in Windows covers Windows search, including its newer capabilities.

- Only some folders are searchable: Recheck Classic or Enhanced mode and the specific indexed locations. Rebuilding cannot include a folder that remains excluded.
- Names work, document text does not: Check whether that file type is set to index properties and contents rather than properties only.
- The item is in OneDrive, hidden, moved, or another profile: Locate the file and verify its availability and path; a rebuild is not a file-recovery method.
- Only Outlook searches fail: Check Outlook’s selected search scope and whether Outlook data is included in the Windows index. The Microsoft rebuild guidance cited above addresses Outlook’s Instant Search catalog specifically, so its Outlook symptoms should not be assumed to explain every taskbar search problem.
Microsoft’s general search page notes that Windows 10 support ended on October 14, 2025. The indexing and missing-file guidance cited here covers Windows 10 and Windows 11, but Windows 10 is no longer in regular support.
