First identify which Teams account and content you use: Microsoft’s self-service export instructions apply to Teams for personal use, not necessarily to a work or school account. For personal Teams, request and download an export from Microsoft’s Export page. For work or school Teams, contact your IT administrator or records/compliance team promptly to ask about retention and approved preservation options. The feature and change date are not specified here, so confirm the change and any deadline with Microsoft or your organization.
Check your account and the content you need to preserve
The right preservation route depends on whether your account is personal or organization-managed, and whether you mean a regular chat, a meeting chat, or a meeting recording.
- Teams personal use: Microsoft documents a self-service export request for chat history, media, or both.
- Work or school Teams: retention is controlled by your organization. Ask an administrator which policy and approved preservation process apply; the personal export instructions do not establish a work-account export route.
- Meeting chat or recording: chat messages and recordings have separate access and storage rules, so handle them as distinct items.
Because no particular live-chat feature change or cutoff date is identified, do not assume a universal deadline. Confirm which feature is changing, which accounts are affected, and when access may change.
How to export chat history from personal Teams
Microsoft’s personal-use export process lets you request chat history, media, or both. Use the Microsoft Account associated with your Teams personal-use account.

- Go to Microsoft’s Teams personal data export instructions and open the Export page.
- Sign in with the Microsoft Account used for Teams personal use.
- Select Chat history, Media, or both, submit the request, and continue through any prompts.
- Return to the Export page later and check Available Exports.
- When the download link appears, download the files. Microsoft says the material may arrive as a
.tararchive. Keep the original archive and check that it opens before relying on the copy.
Store the downloaded files somewhere you control. An external drive is optional; Microsoft does not recommend a particular storage device. The export does not include previously deleted chats, so it cannot be relied on to restore content that was already deleted or is no longer accessible.
What to do for work or school Teams
For an organization-managed account, contact your IT administrator or records/compliance contact rather than relying on the personal-use export steps. Microsoft says organization retention policies determine how long Teams messages and files are retained or visible. Ask promptly, before a feature or access change, what applies to the content you need.

- Identify the account, the chat or meeting involved, and the feature or access change you expect.
- Ask which retention policy applies and whether a preservation hold or compliance export is appropriate.
- Request the organization’s approved process and follow its instructions for preserving or accessing the records.
- If the content is from a meeting, ask separately about meeting-chat history and any recording.
Microsoft documents compliance search, eDiscovery, and legal-hold capabilities for organizational content, but these are administrator or compliance functions—not a universal end-user export option. Microsoft also states: “Messages deleted by a retention policy can’t be recovered.”
Meeting-chat history is not the same as a recording
Meeting chat access
Access to earlier meeting messages depends on a participant’s relationship to the organizing organization, how they were invited, and the meeting type. Microsoft says in-organization users can access chat history when directly added to the meeting or series invitation. Someone who joined through a meeting link or a forwarded invitation may not see messages from before they joined or were added. An in-organization user can also be added directly to a meeting chat with a selected amount of history. Check access with the organizer or administrator if earlier messages matter.

Recording storage and expiration
A recording is a separate file, not part of the chat export route described above. Microsoft says non-channel meeting recordings are stored in the organizer’s OneDrive for Business; channel meeting recordings are stored on the channel’s SharePoint site. The IT administrator sets recording expiration, though organizers can change recording expiration dates. Ask the organizer or administrator where the recording is stored and whether its expiration needs attention.

Microsoft’s Teams Free support page lists call history as available for 30 days, but that figure is not a retention period for chat messages. The same page says message availability is determined by the user: messages remain until they are deleted, the user leaves the conversation, or permissions change. Do not use the call-history duration to estimate how long chats will remain available.
